AVANTIS
POLICY
Avantis recognises that significant health and safety hazards may arise when driving company vehicles and will take all steps
to reduce risks to the lowest level reasonably practicable. Supervisors are responsible for ensuring compliance of this
procedure.
Please also refer to the “Company Vehicle Policy” held in Appendix 01 to this manual.
ARRANGEMENTS
Although Avantis is not a transport company, we recognise that there are legal and moral requirements upon us for
compliance. In line with this requirement, the company aims to support, train and inform personnel of the requirement.
The procedure detailed below is mandatory and failure to comply may result in company disciplinary measures being
initiated.
GENERAL COMPLIANCE
• The company must maintain a written vehicle, maintenance and driver policy.
• Drivers hours and tachographs are observed and records maintained.
• Vehicles and trailers will not be overloaded, working within their specific parameters at all times.
• Vehicles will operate in line with the local Road and Vehicle Traffic Regulations and observe all speed limits, without
exception.
• A system will be in place to enable prompt reporting and rectification of defects, with records maintained (15
months).
• A routine inspection regime will be planned and carried out, to provide regular maintenance and compliance of
vehicles to a road worthy condition.
• The company will operate all vehicles within the terms of their current vehicle operator’s license at all times.
CONTROLS
• Drivers will receive Information, training and supervision to ensure the safe and legal operation of vehicles.
• Persons involved with loading vehicles will receive Information, training and supervision to enable vehicles to be
loaded / unloaded in a safe manner.
• A vehicle file will be maintained where appropriate.
• periodic inspections will be carried out, subject to the vehicles use, by a competent maintenance fitter and all de-
fects reported and repaired promptly.
• Records will be maintained of all maintenance activities in the vehicle file.
• A Drivers Handbook will be available to all personnel for reference (Europe only).
• An authorised drivers protocol will be achieved by submission of the drivers license periodically and a published
spreadsheet maintained.
• Drivers will be expected to pay the Insurance Excess for any incident that they may be involved where it is found
that they were at fault.

RECORDS
Records will be kept of:
• a log of Driving Activities (where there is a legal or specific management requirement only).
• information and training provided.
