The computer age has provided us with different tools
on how to accomplish tasks easier. Nowadays writing
reports, making slide presentation, and organizing and
analyzing spreadsheets data have never been easier and
more efficient using software. We can now communicate
instantaneously with other using instant messengers,
video conferencing tools, and emails. The latest
development in the world of information technology has
rise in popularity of online collaboration. Through online
collaboration, teams can now be together remotely that
makes accomplished tasks and finishing project more
convenient. Using available online collaboration tools
change the way how we work at office or even at home. It
also change the way of studying. Now, a student can
communicate with his or her teacher even if he or she is
not at school, quizzes and exams can now be taken and
submitted online.

➢ Content Syndicator - Shares the team's content to external sites and third-party platforms to increase its
exposure.

➢ Analytics Expert - Studies the data to ensure that the content is achieving its objectives. Identifies which parts of
the content need to be retained, updated, or deleted.

➢ Website Manager - Makes the team's content available to the public by publishing it to a website, social media
site, or video streaming site. Ensures that the website is updated regularly and performs well.
Online collaborative tools facilitate remote teamwork, enabling groups to communicate and share ideas
effectively, even when physical presence isn't possible. They're invaluable for projects with dispersed teams,
transcending location and time constraints for achieving objectives. Many organizations, including those with
co-located teams, rely on these tools for efficient task completion.

Google Drive and Google Group as Online Collaboration Tools
Google, with its Google Drive, offers one of the best free online collaboration
tools. Google drive allows user to store files on google servers and to synchronize

Creating a group in Google Group

Go to Google Group website


and create new group.
Assign a group name, group email, and
group description. Ideally, a group name is
always the same with group email.

Since the aim of this group is group online collaboration,


choose the option most ideal for a group people.
Assign group members, group managers, and group
owners. (by default, the creator of the group is the
group owner.)

Set the welcome message you want to appear when


somebody joins the group and how you want the email
to be sent to group members

have members accept an invite before joining the
group.

Click Create Group


After successfully creating the group, the group name will appear on the list of group.

After creating the group, one can now utilize the group for the following purposes:
sending emails to members of a group by sending it to group email; and
sharing files saved in Google Drive to all group members through group email.
Creating Collaborative Files Using Google Drive

Go to Google Drive, and click New.


Choose what type of file you want to create.

You may choose to create any of the following


types of file:

Google Docs – to create word processing


documents
Google Sheets – to create spread sheets
Google Slides – to create slide show
More – for other types of files as shown on
the right.
A new tab will appear showing the work area for the files you created.

Any changes you made to the document will be automatically saved in


your Google Drive.
Sharing Files in Google Drive

Go to the Google Drive folder


where the file is located. Then,
right-click the file and click
share.
Type the group email to which you want to
share the file.

The dropdown on the right allows you to set


what type of access you are giving to people
whom you are sharing the file with.

Viewer – view only, no ability to do anything


Commenter – authority to give comment only,
no authority to make changes to the file
Editor – authority to edit or modify the shared
file.

Click send notify recipients that a file has been


shared with them.
After successfully sharing the file, an image will appear showing that the file is already
shared with others.

Once a document, sheet, or slide, has been successfully shared, all people whom the file
has been shared with can now modify the said file. Of course, the authority to edit the files
depends on what authority has been granted by the owner. One can also share an open
document by clicking the Share button on the top right portion of the window.
The sample image shows that a shared document can now be edited by all people whom the file has
been shared with. As shown in the upper most box: an indicator will tell if there are other people
currently reading or editing the document. Notice also that there are multiple cursors indicating that
there are multiple users currently reading or editing the file.

1. Google Calendar-This is used to organize the team's
schedule. One can also assign task, send an invite for a
meeting, and set an event reminder using Google Calendar
2. Tasks - This is used to organize tasks and remind users of
an upcoming task that is connected or set in Google
Calendar.
3. Google Meet-This is used for video conferencing. It also has
a feature to share what is on the screen of the meeting
attendees.
4. Google Hangouts - It is just like other common messaging
applications. It allows a user to send instant messages to
others or to the team for the members to quickly see when
they are working on the online collaborative project.
