Invigilation

Abstract

Our project is entitled as “Invigilation”. The examination invigilation system is proposed to


facilitate the preparation of examination invigilation schedules so as to reduce manual
involvement and the amount of time taken to prepare examination invigilation schedules. This
system is made possible with the creation of database that collects information pertaining to the
examination invigilation schedules such as lecturers’ preferences of invigilation dates and time
and their constraints. Besides, the system also allows lecturers in the educational institute to
provide reason for examination invigilation absence and any other relevant information to the
invigilation scheduling committee. Our proposed system is computer-aided and easily accessible
by lecturers online, the lecturers can utilize the system at their own convenience. This system
benefits especially the Academic Administration Office of institutions of higher learning because
it enables them to produce comprehensive examination invigilation schedule. This automated
way of capturing, optimizing and disseminating invigilation information paves the way for the
development of a systematic approach in preparing examination invigilation schedules.

Modules
Our Proposed invigilation system has the following modules. Administrator module is the
primary module because the overall process of our proposed system is manipulated by the
administrator and we introduce the admin manipulated modules as the sub modules.They are as
follows
 Department records
 Staff details
 Subject details
 Exam dates
 Allocate invigilation
 Sms alert
 Reason updating module
 Report module
Department records
By this module administrator can add the number of available department in their college and
brief details about the department like department name, number of staff in the department,
department hod name, number of students in the department etc.

Staff details
Staff details menu is to feed staff details of the department. Staff details of this proposed system
includes staff name, department name, handling subjects of the current semester etc.

Subject details
Subject details refers to the information about the number of department wise subject and its
name and other important also maintained with this section.

Exam dates
Upcoming exam details are added, updated and deleted with this section. So exam menu of the
admin section is managing the exam details like exam name, subject code and date and time of
the exam.

Allocate invigilation
After feeding the staff, subject and exam details into database, administrator can allocate the
exam invigilation to each and every staff of the department. Invigilation is purely based on
allotting unrelated staff to the particular exam.

Sms alerting module


After the exam invigilation allocation to the staff administrator has to send the sms about the
allotment to the lecturer’s mobile number. That Short message service includes place of
examination, date and time of exam and invigilation exam name also.
Reason updating module
If there is no objection in the allotment, staff will attend the exam invigilation. If there is any
objection in the allotment they can intimate their opinion to the administrator. Now the
administrator will cancels the allotment with the reason and sends the cancellation message to
the lecturer’s mobile.

Report module
Report module is to retrieve records from the database easily because our proposed system is
centralized one and the user can download the output in the form document or pdf for further
reference.
