Library Management System for Municipal Library of Villanueva
The Villanueva Municipal Library as a vital institution in the community,
emphasizing its role in education, research, and recreation. This capstone research
project aimed at improving the library's management and operations. A key focus of
this project is to enhance the ability to locate, add, barrow, return and update books
in the library's collection, ultimately aiming to meet the growing needs of library
patrons, streamline processes, and improve user experiences while supporting
library personnel.

Background of The Study

The Villanueva Municipal Library established in 2022, and has been a pillar of
knowledge dissemination, community engagement, and cultural enrichment. It has
played a vital role in making information accessible to all, promoting literacy, and
supporting lifelong learning. However, to adapt to the digital age and changing
patron expectations, there is a need for a more organized and digitized approach to
library management.

Traditionally, municipal libraries relied on manual processes for book management,


leading to inefficiencies and inaccuracies. To remain effective and efficient in today's
rapidly evolving environment, municipal library management systems are
transitioning from traditional methods to computerized library management
systems. These systems incorporate digital collections, automate routine tasks, and
enhance the overall management experience.

This study aims to identify the challenges faced and areas for improvement by
thoroughly examining the current library management procedures. The project seeks
to empower municipal libraries to better serve their communities by adopting the
latest technology and best practices, ensuring that these institutions continue to be
vital hubs of information and culture in the digital era.
Statement of the Problem

The Municipal Library currently relies on a manual system for all its transactions,
which is causing various issues and inefficiencies. These problems include:

 Time-consuming processes for borrowing books and finding specific book


locations due to manual procedures.
 Difficulty in locating desired books within the library's manual catalog,
leading to wasted time and effort.
 Challenges and issues associated with traditional card catalogs.
 Labor-intensive operations, as staff must rely on card indexes instead of
computerized systems for book issuing and returning.
 Reduced staff interaction with library users due to excessive administrative
tasks.
 Frequent misplacement of books without immediate awareness by the
librarian. Risk of data loss if the manual record book is misplaced.
 Lack of accurate records for book transactions.
 Inability to provide real-time inventory counts.

The Municipal Library's manual system is inefficient and prone to various


operational problems, affecting both staff productivity and user experience.

Proposed Solution

To address these problems, we propose the development of a modern, web-based


Library Management System exclusively for librarians. The system will include the
following key features:

 Adaptable interface for librarians to manage books, patrons, and library


resources.

 Advanced search and filtering options for books and patrons.

 Real-time tracking of book circulation and availability.

 Automated notifications for overdue books.

 Reporting and analytics tools for data-driven decision-making.

 QR code scanner for the registration of library patron.

System Architecture

The system will be designed with a multi-tier architecture:

 Presentation Layer: The user interface will be developed using Hypertext


Markup Language, Cascading Stye Sheet, and JavaScript. It will offer an intuitive
and user-friendly interface for librarians to manage resources, users, and
generate reports.

 Application Layer: PHP will be used for the application layer to process user
requests, manage business logic, and interact with the database.

 Data Layer: MySQL via phpMyAdmin will be used to store and manage data
efficiently. It will include tables for books, users, transactions, and more.

The proposed Library Management System will be developed using a web-based


architecture:

 Hypertext Markup Language, Cascading Style Sheet, and JavaScript:

 Hypertext Markup Language for structuring the web interface.

 Cascading Style Sheet for styling to enhance user experience.

 JavaScript for client-side interactions and dynamic content loading.


 PHP:

 Backend scripting language for processing user requests and interfacing


with the database.

 Server-side validation of user inputs to ensure data integrity and security.

 MySQL and phpMyAdmin:

 MySQL as the database management system for storing and managing


library data.

 phpMyAdmin for administering the database, including creating tables,


queries, and backups.
