Thank you for your keen interest in Mardhiyyah Hotel & Suites as a venue for your forthcoming function.
We are pleased to submit our proposal for your kind attention.

If event extend the stated timing, a room rental will be applicable. (30 minutes = RM500.00+)

 Usage of conference room

 Papers & Pencils, Water & Mints
 Basic PA system (Rostrum with microphone)
 Backdrop to a maximum of thirty (30) alphabets without logo

TERM & CONDITION

1) TAXES
 Service Tax - Effective date : 01st September 2018
- The above rates is subject to 6% Service Tax.

 Tourism Tax (TTx) – Effective date : 01st September 2017

- Tourism Tax (TTx) will be collected upon check in at RM10.00nett per room per night
from all Non – Malaysians registered guest
(Tax exemption will be for all Malaysian Citizen and Permanent Resident of Malaysia who holds a
MyPR Card.) Identification of Malaysian Citizenship and PR status to be provided upon request at the
check in counter.

2) PRE SET UP
 Early access for pre-set is subject to availability of the function room space and a room rental
charge is applicable.

3) SURCHARGE
 The organizer shall be responsible in ensuring that the function room is vacated as per contract.
Should your event extend the stated timing, a room rental will be applicable at RM600.00 per
hour.

4) VENUE
 Function room is subject to available for the above date
 The hotel reserves the right to change the venue if the number of persons falls below the
Minimum requirement.
 It is not allowed to bring food and beverage from outside in the hotel. Hotel keep the right to
move this food and beverage.

5) ATTENDANCE
 The hotel will charge based on the guaranteed number or the actual number of attendance,
whichever is higher. However, the hotel requires 72 hours (3days) of notification should there
be any changes or revision.

6) INTERNET CHARGES

8) STATIONARY CHARGES

9) OUTSIDE EVENT MANAGEMENT / DECORATOR / MUSICAL EQUIPMENT

 A levy charge of RM3, 500.00 for bringing in outside decorator or event management or any
other musical equipment. (I.e. Band, Music Machine, Karaoke Set and etc...)
 All vendors will require to do saliva test at the hotel’s entrance. Vendors to bring their own
saliva test kit

10) BACKDROP
 Complimentary standard backdrop wording up to 30alphabets (excluding logo)
Additional alphabets : RM2.50 each
Logo (minimum) : RM250.00 per logo

 Promotional materials and display should not be posted, tacked, nailed, screwed or attached to
columns, walls, floor or other parts of the building furniture. Should permission on the above be
granted, the organizer shall be responsible, for all damages, breakages and the cleaning of all
materials and displays

11) LOBBY SIGNAGE

 We will announce your function in our lobby and functions room levels for your guest’s
attention. Kindly advised us on the wording 14 days prior to the event.

12) STORAGE
 Should there be a requirement for storage facilities at the hotel, either before, during or after
the function, the hotel will not be liable for any damages or losses of equipment and material.

13) LICENSING
 Please be advised that you are require to obtain a public performance license from the
Phonographic PERFORMANCE MALAYSIA SDN BHD (PPM) and/or MUSIC AUTHORS’
COPYRIGHT PROTECTION BERHAD (MACP) for any kind of music entertainment program

14) DAMAGES
 Any damages to the Hotel’s property caused by the organizers or their guests or appointed
contractors throughout the function held in the Hotel’s premises, whether unintentionally or
intentionally, the organizers shall be liable to the damages caused and the Hotel reserves the
right to charge the organizers on the damages accordingly.

15) CAR PARKING FACILITIES

 Parking facilities are available at our basement car park. The charges are as follow: 1 st at hour:
RM5.00. Subsequent hour: RM4.00. Maximum charge per day: RM12.00.
 Complimentary parking is applicable for all in-house guests.

16) CUTOFF DATE AND DEPOSIT

a) Cut- off date
Currently your booking is held on tentative basis until 5th June 2023 before 5.00pm.
If further no confirmation you’re booking shall be auto released for general sales.

b) Deposit
In order to confirm and secure the function venue, we would like the following;
 60% deposit required (Non – Refundable deposit)
 Letter of Undertaking (if you have credit facilities)
 Local Order (government agencies only)

c) Terms of Payment
 Balance payment is to be settled at least 14 working days before the event date
 Method of payment are by company’s cheque, cash or credit card
 Posted dated and personal cheque are not acceptable

Without the above mentioned documents / payments, we are unable to proceed with
your event. Failure to do so, we also reserve the right to cancel the event with
notification.

In the meantime should here be another client wishing to confirm a function on the same date or venue, the
hotel reserves the right to cancel this tentative booking unless a confirmation has been received from your
organization with the require deposit.

18) CANCELLATION / POSTPONEMENT FOR DEFINITE FUNCTION

 The hotel shall charge full based on estimation of the event for cancellation or postponement
of any event which earlier confirmed
 All deposit paid shall not be refundable

19) AMENDMENT NOTICE

 Please be notified all amendments to the arrangement are to be made at least 72 hours (3
working days) prior to the function. The hotel will not be able to accept any amendment or
changes made after the stipulated time.
