TASK SUMMARY:
You are required to demonstrate your skills and knowledge by working through a number of
activities that require you to plan and prepare communications for two different groups
within the context of organisational policies and procedures..

Notes: Vocational education and training is all about gaining and developing practical skills that are industry relevant
and that can help you to succeed in your chosen career. For this reason, we are giving you the choice to base this
project on your own business, one you work in or a familiar with. It is important that you are able to access enough
information for your chosen business in order to be able to do your assessment. As a minimum this should include:
 organisational objectives
 relevant policies/procedures that guide communication (e.g. Meeting policy and procedure)
 a scenario that requires you to present information to and negotiate with two different groups of people.
If you are unable to access the above information, you can use the case study provided. This will mean that you are
applying your knowledge and skills in a relevant, practical and meaningful way to your own situation!

CASE STUDY SCENARIO


Ozhouse Clean is based in Melbourne and offers professional, residential cleaning services, including regular home
cleans, as well as spring cleans. The company was established in 2005 and is a family business established by James
and Nancy Anderson.

Ozhouse Clean’s key focus is providing quality services to all their customers. Key values are:
 valuing and respecting all of our customers
 caring for the environment through our environmentally friendly services
 caring for our staff through a friendly working environment
 promoting excellence and innovation in all of our business practices.
The objectives are to:
 increase the number of clients by 20%
 meet or exceed the expectations of customers
 implement best practice in cleaning operations, including environmentally sustainable practices.
James and Nancy are the Directors of the company and finance any business expansion themselves. Their daughters,
Amanda and Sarah, are also Directors and manage the business for their parents who are not involved operationally.
Amanda is the Operations Manager and Sarah is the Administration Manager. The company employs 15 casual
cleaners (paid $25 per hour).

The target customers are people in the greater Melbourne region who want a professional, trustworthy and
immaculate cleaning service. The company currently has approximately 70 regular and loyal clients, based around
Melbourne inner city. These clients require regular home cleaning, either weekly or once every two weeks for 4 to 6
hours (cost of $30 per hour).
All ongoing cleaning supplies are currently purchased from Total Cleaning Supplies in Melbourne. However, OzHouse
Clean does not currently offer environmentally friendly products as these products cannot be purchased from Total
Cleaning Supplies.

INSTRUCTIONS TO STUDENTS

Review the Case Study above and complete the following activities:
Part A: Report
1. Planning Communication

A. Provide an outline of the following information


1. What is the name of the organisation?
2. What are the main activities of the organisation?
3. What are the organisational objectives?
4. Choose and describe a scenario in the case study that requires you to present information to others.
Note: In Part B, you will be creating a presentation to present material to two (2) different groups of people at two
(2) separate meetings. One of the groups of people you choose to communicate to must be appropriate team
members.

a. Your Report must be prepared using MS WORD application of similar.
b. Include all sources of information.

PART B: Preparing Communication - Develop two (2) presentation plans


With reference to the work you have completed in Part A, complete the following tasks:
A. Prepare a visual/written presentation to communicate your information to your two chosen audiences.
Note: As far as possible, use the same presentation for both meetings, but adjust them to suit the audience and
purpose accordingly.
B. Prepare any other additional meeting materials such as:
1. Agenda
2. Feedback/survey form etc
Note: Attach a Feedback form with a 4-point scale (Unsatisfactory / Good / Satisfactory / Excellent). List at least five
(5) appropriate questions in the Feedback form – you may consult with your Trainer to provide you with sample
questions.
3. Any pre-reading materials
