GRPS reviews data on a daily basis. We use this data inform next steps and find ways to best support
the student.

The Synergy programs used to generate the attendance reports look for any attendance records
associated with a student’s academic course schedule for each day. Attendance codes that reflect the
following reasons are skipped and not reflected as an absence in the attendance reports (see Table 1).

NOTE: When schools are closed due to weather, Synergy treats the day as a non-school day and no
attendance is recorded for non-school days.
All other attendance codes will be included in the calculations for absences. Table 2 illustrates these
attendance reason codes.

In order to comply with requirements of the pupil accounting audit process, students who follow an
elementary scheduling model moving as an entire class will have daily attendance taken, while students
who follow a secondary scheduling model with independent schedules will have period attendance
taken. Daily attendance is taken twice per day (AM/PM attendance). Absences for students with daily
attendance are in 0.5 increments per day for a maximum of 1.0 full day absence. Period attendance is
taken every hour. Most students following a secondary scheduling model have six class periods.
Absences for students with period attendance – assuming a six-class period schedule – are in 0.17
increments (1/6) per period for a maximum of 1.0 full day absence.

NOTE: Per the district’s attendance policy as outlined in the Student Handbook, elementary students
who are more than 30 minutes late in the morning or who leave with more than 30 minutes left in the
school day will be marked absent for 0.5 day in either the AM (if late in the morning) or PM (if late in the
afternoon). If an elementary student is both more than 30 minutes late in the morning and leaves more
with more than 30 minutes left in the school day, the student will be marked absent for 1.0 full day
absence. For students who follow a secondary schedule, arriving for class 15 or more minutes late will
result in an absence for that class period (0.17 absence if the student has a six-period class schedule).
