CHAPTER 1

INTRODUCTION

1.1 Background of the Problem

ACLC College of Butuan, like any other educational institution, relies on an enrollment

system to manage the admission process of students. The enrollment process involves various

procedures, including evaluation, admission, subject advising, cashier, subject laading,

accounting and confirmation of enrollment. ACLC College in Butuan is a leading institution

in the Caraga region that provides quality education to its students. The college has a well-

established enrollment system, but there is still a need to evaluate the system's effectiveness

and identify areas for improvement. According to Islam, Beer and Slack (2015), "It may

enhance the quality of teaching and learning, report the need for higher institutions for

maintaining competitive advantage, and access to education and training in this globalizing

marketplace for students

This assessment includes examining the effectiveness of the system in managing student

records, ensuring accuracy of data, providing timely updates to students, and facilitating

communication between students and faculty. It also involves evaluating the system's

capacity to handle a large volume of applications, ensuring the security of student

information, and providing a user-friendly interface for students and staff.

The institution can determine opportunities for development by evaluating the

enrollment system process and procedures at ACLC College of Butuan and implementing

necessary changes to ensure a seamless enrollment experience for both students and faculty.

The assessment can also help the college remain competitive in attracting and retaining
students, as a streamlined enrollment process is a key factor in student satisfaction and

success.

Faculty members play a critical role in the enrollment process as they are responsible for

preparing and offering courses, advising students on their academic plans, and providing

academic support. Staff members, on the other hand, are responsible for managing the

administrative tasks related to enrollment, such as registering students, processing financial

aid applications, and maintaining student records.

Students, on the other hand, are the primary beneficiaries of the enrollment process.

They are the ones who register for classes, apply for financial aid, and complete other

enrollment-related activities. As such, their satisfaction with the enrollment process is crucial

to the success of the institution.

By including faculty, staff, and students as respondents in the study, the researchers can

obtain a comprehensive understanding of the enrollment system's effectiveness. The faculty

and staff members can provide insights into the administrative and academic aspects of the

enrollment process, while the students can provide feedback on their experience as the end-

users of the system.

There are some concerns and feedback why researchers conduct this study.

1. Enrolment system needs improvement- The term ACLC College of Butuan refers to

the lack of advancement or growth in the college's enrollment policies and practices,

which may lead to inconsistencies, inefficiencies, and disgruntled students. This may

be the result of a number of things, including outmoded technology, a lack of

resources, and insufficient planning and execution of improvements unique to the

college.
2. Lengthy grade-review processes - The ACLC College of Butuan's usage of manual

and paper-based methods in the college's assessment process results in a delay in

processing and publishing student grades. Students may become frustrated and

anxious as a result of this, and it may also compromise the validity and objectivity of

the evaluation system used by the college.

3. Duration of the delay - Students may have experienced long waiting times during the

enrollment process, particularly during peak periods such as the start of the semester.

This can result in frustration and dissatisfaction among students.

4. Not specifying the waiting time of each process - The ACLC institution of Butuan

refers to a problem in the enrolling process and procedure where the institution does

not expressly state the anticipated waiting time for each phase of the process.

Students may become frustrated and dissatisfied with the registration process as a

result of this uncertainty and delay.

5. Failure to push grades into the system, which results in manual reflecting of grades in

the evaluation sheet, refers to a problem with the electronic grading system when

grades are not correctly updated and reflected in the system, requiring the

requirement for manual entry of grades on evaluation sheets. These elements might

lead to erroneous and inconsistent grading, as well as a delay in the release of the

students' grades.

6. Lack of manpower refers to a problem in the enrollment process of ACLC College of

Butuan where there are an insufficient number of personnel available to handle the

tasks involved in the process. This can result in longer waiting times, slower

processing of documents, and an overall delay in the enrollment process. This can

negatively impact the quality of service provided by the college and may lead to

dissatisfaction among students.


Finally, by conducting a study on the assessment of the enrollment system process and

procedure in ACLC College of Butuan, the institution can identify the specific reasons and

problems affecting their enrollment process and develop strategies to address them. The study

can provide insights into the effectiveness and efficiency of the enrollment system, identify

areas for improvement, and help the institution enhance the student experience and improve

student retention.

The study focuses on assessing the enrollment system process and procedure at ACLC

College of Butuan with the goal of identifying areas for improvement and formulating

suggestions to improve the system's effectiveness and efficiency, organize the flow of

transactions, and reduce the time and effort required of the students during enrollment.

Through surveys and interviews, data from faculty, staff, and students are gathered, and the

results are then analyzed to come to conclusions and offer actionable advice.

1.2 Review of Related Literature

The enrollment process is a crucial component of any academic institution. It serves as

the gateway for students to pursue higher education and as such, it is essential for institutions

to have an efficient and effective enrollment system process and procedure. Dennis (1998)

defines enrollment management as forecasting trends that will affect higher education and

utilizing research to plan for the future. The aim of this review of related literature is to

provide an overview of the history, definition, importance, and areas of assessment of

enrollment system processes and procedures. The review will also examine the findings and

results of related literature in assessing the enrollment system process and procedure in

academic institutions.
The evolution of technology has transformed various systems and processes, including

the enrollment system in higher education institutions. Before the advent of technology, the

enrollment process was entirely manual, which resulted in time-consuming processes and

errors. Over the years, educational institutions worldwide have implemented technology in

their enrollment processes to make it more efficient and effective. An enrollment system must

be a good computer generated process, this said is to manage a time for the avoidance of a

workload so that the accurate information that the school needs and it benefits only a student

and the administrator (Jeffy Lomboy, February 2011).

The enrollment system is a vital component of higher education institutions that manages

student enrollment, registration, and grading. It includes various processes, such as admission

applications, evaluation of transcripts, enrollment confirmations, and student billing. An

effective enrollment system ensures that these processes run efficiently, improving the overall

experience for both students and faculty. In a study to Matthew Townsly, “The

implementation of the successful enrollment management program requires cooperation,

coordination and teamwork among various campus constituencies.” The study also

highlighted the importance of having a well-defined enrollment process that includes

application, assessment, and confirmation of enrollment.

An efficient and effective enrollment system process and procedure is essential for the

success of any academic institution. A streamlined process ensures that students can enroll

quickly and easily, leading to higher satisfaction rates and ultimately, retention. It also

ensures that the institution can efficiently manage the registration process, reducing

administrative burden and increasing staff productivity. According to Jeffy Lomboy,

Enrollment System is good example of a computer generated process. This can lessen the
workload and provides accurate information needed by the school. As a result, it will benefit

not only the student but the administration as a whole.

The use of enrollment systems has become increasingly widespread across different

educational institutions, including colleges, universities. Enrollment systems are used to

manage different aspects of the enrollment process, such as Registrar Office (Evaluation of

Grades), Admissions Office, Subject Advising, Cashier, Subject Loading, Accounting and

Registrar (Enrollment Verification). They also play a crucial role in managing student

records, providing accurate and up-to-date information to teachers and administrators.

Hossler and Bean (1990) define enrollment management as “efforts to influence the

characteristics and the size of enrolled student bodies by directing the activities of the offices

of admissions, financial aid, new-student orientation, career planning, retention, and a

number of other student affairs areas.

According to Ian Sleight, Enrollment system is the must have system in a school. When a

student is enrolling for a specific course the school requires all the necessary information of

the enrollees. When the school retrieves the important information from the student, the

encoder now should input the detail of the student in the enrollment system.

In a similar study by Daniel John Hossler, Enrollment System is a comprehensive

process designed to help achieve and maintain optimum enrollment (recruitment, retention,

and enrollees rate). It is an institution wide process that permeates virtually every aspect of

the school functioned and culture. (Daniel John Hossier, System Structure etc. pg. 41, 2011)

In a study by Joshua Jamora, Enrollment System is used for student information records.

A well – built Enrollment System can be useful to reduce the load of the people that normally

has to do all the manual work. A well enrollment system built for a faster process

information. Enhancing the enrollment system of Colegio de Saint Monique.


A useful enrollment system is used to reduce the load of the human that normally has to

do all manual work like in the enrollment process. A well enrollment system is built for a

faster process for enrollment process. Enrollment system enhances the school of Colegio de

Saint Monique in Binangonan. (Joshua Jamora, February 2013).

1.3 Statement of the Problem

The study will specifically answer the following problem.

1.4 Objective of the Study

To assess the enrollment system process and procedure in ACLC College of Butuan,

with the aim of identifying areas of improvement and making recommendations to

enhance the efficiency and effectiveness of the system and to organized flow of

transactions and minimize the time and effort of the students during enrollment.

1.5 Conceptual Framework

An Enrollment System process & procedure identifies the modern process of

technology on how it works quickly for the students.

Through this conceptual framework, the study aims to assess the enrollment system

process and procedure at ACLC College of butuan and identify areas for improvement in the

system. The study will focus on the interaction between Process and procedure in the system
and examine the variables that influence the effectiveness and efficiency of the enrollment

system

Assessing the different areas of the study, including the Registrar Office (Evaluation

of Grades), Admissions Office, Subject Advising, Cashier, Subject Loading, Accounting, and

Registrar (Enrollment Verification), is essential to:

1. Identify Areas of Improvement: Assessing each area of the study can help to identify

areas of improvement to enhance the enrollment system process and procedure. By

identifying the areas that need improvement, the school can implement changes to
improve the quality of service, streamline processes, and enhance the student

experience.

2. Improve the Quality of Service: Through assessing the different areas of the study, the

school can identify the strengths and weaknesses of the enrollment system process

and procedure. This can help the school to provide better quality services to students

by addressing areas that need improvement and refining those that are already

performing well.

3. Enhance Student Experience: By assessing each area of the study, the school can

improve the student experience. This can include enhancing the admission process,

providing better academic advising, making it easier for students to load and enroll in

courses, and improving the overall process for verification of enrollment.

4. Ensure Accuracy: Assessing the different areas of the study can help to ensure the

accuracy of data and records. This can include verifying the accuracy of grades,

ensuring the accuracy of accounting records, and verifying the accuracy of enrollment

records.

5. Facilitate Decision-Making: Assessing the different areas of the study can provide

valuable information to school administrators and decision-makers. This information

can inform decision-making related to policy, resource allocation, and service

delivery.

Overall, assessing the different areas of the study is critical to improving the quality of

1.6 Scope and Limitation

Scope:
 The study will focus on the assessment of the enrollment system process and

procedure in ACLC College of Butuan.

 The study will examine the entire enrollment process, including Registrar Office

(Evaluation of Grades), Admissions Office, Subject Advising, Cashier, Subject

Loading, Accounting and Registrar (Enrollment Verification), and will aim to identify

areas for improvement to enhance the overall experience for students.

 The study will use descriptive research methods to collect data from students, staff,

and faculty members, as well as from the college's records and documentation.

Limitation:

 The study will be limited to ACLC College of Butuan and may not be generalizable to

other educational institutions.

 The study will rely on self-reported data from students, staff, and faculty members,

which may be subject to bias or error.

 The study may face challenges in accessing certain data or information due to privacy

or confidentiality concerns.

 The study may be limited by the timeframe and resources available for data collection

and analysis. It is important to consider the scope and limitations of a study in order to

ensure that the research is feasible, focused, and relevant. By acknowledging the

limitations upfront, the researcher can anticipate potential challenges and develop

strategies to address them. This can help to ensure the quality and validity of the

research findings.
1.7 Significance of the Study

1. The significance of studying the enrollment system process and procedure in ACLC

College in Butuan is to identify the existing problems and to come up with

recommendations to improve the system. This study can benefit the stakeholders in

various ways:

can help the college administration to identify the

current shortcomings and take corrective measures to make the process more efficient and effective.

This can reduce the waiting time for students, avoid overcrowding, and improve the accuracy of the

records.

3. Cost-effective: A well-designed enrollment system can reduce the administrative

costs associated with the process, such as paperwork manual data entry, and staffing.

This can help the college to save resources which can be utilized for other purposes,

resources, course offerings, and other academic policies.

1.8 Definition of Terms

Enrollment system - The process and procedure by which students apply for admission and

enroll in courses at ACLC College of Butuan.


Registrar office - The Registrar office is responsible for evaluating and maintaining student

academic records, including the assessment of grades. The evaluation of grades involves

reviewing and assigning grades to student work, determining standing, and ensuring

compliance with academic policies and regulations.

Admission - The process of reviewing and accepting students' applications to attend ACLC

College of Butuan based on their qualifications and requirements.

Subject advising - The process of providing and support to students in selecting appropriate

courses and programs of study. It involves assisting students in understanding academic

requirements, course sequencing, and degree planning, as well as providing guidance on

career paths and other relevant academic and professional goals.

Cashier - Is responsible of receiving and managing student tuition and fee payments. They

maintain financial records, issues receipts, and reconcile transactions to ensure the accuracy

and completeness of financial records. The Cashier also provides customer service to student

and parents regarding financial matters related to the school.

Subject Loading - Refers to the process of assigning academic subject to student bases on

their course requirements and academic standing. This involves reviewing course catalogs,

degree requirements and academic transcripts to ensure that students are enrolled in the

appropriate course and meeting academic standards.

Efficiency - The degree to which the enrollment system process and procedure at ACLC

College of Butuan is able to accomplish tasks quickly and effectively, while minimizing

waste of time and resources.


Effectiveness - The degree to which the enrollment system process and procedure at ACLC

College of Butuan achieves its intended goals, such as providing a positive enrollment

experience for students.

Student experience - The overall experience of a student during the enrollment process,

including factors such as ease of navigation, clarity of communication, and level of support.

Staff and faculty - The employees of ACLC College of Butuan who are involved in the

enrollment process, including admissions staff, faculty advisors, and administrative support

personnel.

ACLC College of Butuan - This is the institution where the proponents gather questions and

datasets.

CHAPTER 2

RESEARCH METHODOLOGY

Introduction
This chapter discusses the research method used in this study. The researchers explain

and organize the necessary data and information to address the research objectives and

questions: collect, present, and analyze. This section describes the process used to organize

the data and identifies analyses conceived to aid the researchers in answering the raised

research question.

Methods of Research 

The researchers use the descriptive-qualitative method of research to assess the enrollment

system process and procedures at ACLC College of Butuan. The researchers use qualitative

surveys to gather data and will interpret the information collected from the respondents. The

method is use to describe and explain the enrollment system process and procedure at ACLC

College

This Study will be conducting at the ACLC College of Butuan that is located at 999

J.C Aquino Avenue, Butuan City, Agusan Del Norte. This school is an educational institution

located in Butuan City, Philippines. It is part of the ACLC College network, which offers a

variety of academic programs and courses in fields such as information technology, business

administration, and Computer Science.

Description of Respondents

The Respondents of the study are (644) ACLC College of Butuan Faculty, Staff, and

students. Faculty and Staff is composed of 21 Employee. Student are divided into 4 courses.

Bachelor of Science in Information Technology is composed of 257 students. Bachelor of

Science in Computer Science

consisting of 58 students. Bachelor of Science in Business Administration major in

Marketing Management has 150 students. Bachelor of Science in Business Administration

major in Financial Management are composed of 158 respondents.

The table shows the number of students enrolled in the said programs. The first-year

level has (246). The second-year level has (151) students. The third-year level has (82)

Students. The Fourth-year level has (144) students. A total of 644 students and the total

number of Faculty and Staff is composed of 21 employees.

The table shows the number of students at 5% margin of error by using stratified

random sampling; there are 255 students who will respond to the survey. but the researchers

need only 100 Respondent out of 255 total of Respondents students. The first-year level has

13 students. The second-year level has 57 students. The third-year level has 20 students. The

fourth-year level has 16 students. Faculty and Staff has 7 employees.

Population, Sampling Method

All the Faculty, staff and students in ACLC College of Butuan that have four

specializations and are enrolled this SY 2022-2023, 2nd Semester.  These are the Bachelor of

Science in Information Technology, Bachelor of Science in Computer Science, Bachelor of


Science in Business Administration major in Marketing Management, Bachelor of Science in

Business Administration major in Financial Management. 

The stratified random sampling is what the respondents obtain by dividing the

population elements into mutually exclusive, non-overlapping groups by conducting the

survey. The researchers use stratified random sampling to assess the enrollment system

process and procedures in ACLC College of Butuan.

Statistical Treatment of Data

The researchers have also using the Lickert’s Scale Method as the standard method.

The researchers have using weighted mean in order to know the degree of importance of each
answer in the survey questionnaire and to measure the average of the overall results of the

responses of the students, Faculty, and staff. This verifies the satisfaction of the

questionnaire.

Data Gathering Procedure 

In gathering the data needing for the study, the researchers made a letter of consent to

conduct the survey, sign and approve by the Dean of the Business Education Department.

After the approval, the researchers ask permission to conduct a survey. The questionnaire had

been distribute to the respondent. After the distribution of the questionnaire, the researchers

analyze the results base on the information given by the respondents.

Data Analysis

This data analysis focuses on examining the enrollment process and procedures in

ACLC College of Butuan, with a comprehensive analysis of various aspects involve. It

covers the Registrar's Office for evaluation, Admission Office, subject advising, Cashier,

Subject Loading, Accounting, and Registrar for enrollment verification. By analyzing


relevant data, this study aims to identifying areas of improvement and making

recommendations to enhance the efficiency and effectiveness of the system and to organized

flow of transactions and minimize the time and effort of the students during enrollment. The

number of responses providing by the students and how frequently they adhere to the norms

will be counted by the researchers using the Likert’s Scale Method. Mean. The average or

most frequent value among a group of numbers is called the mean. The mean will be used by

the researchers to determine the average of all of the students' responses.

Research Instrument 

The research will be collecting primary data using questionnaires. The questionnaire

consists of a 5-point scale ranging from strongly agree to strongly disagree. The survey’s

primary purpose was to determine the Enrollment System Process and Procedure in ACLC

College of Butuan.

CHAPTER lll

RESULT AND DISCUSSION


The aim of this study was to assess the enrollment system process and procedure in

ACLC College in Butuan. The assessment was conducted through surveys administered to

first-year, second-year, third-year, and fourth-year students, as well as the faculty and staff

members of the college. The overall weighted mean scores were computed for each group,

and the interpretation of the scores was categorized as "Agree." The results of the assessment

provide valuable insights into the strengths and areas for improvement of the enrollment

system.

The highest result of the survey was obtained from the responses of the first-year

respondents, with an overall weighted mean equivalent of 4.42. This indicates that the first-

year students generally agreed with the enrollment system process and procedure in ACLC

College in Butuan. The high score suggests that the enrollment system is effective in meeting

the needs and expectations of the first-year students. This positive feedback from the students

reflects well on the college's efforts to ensure a smooth and efficient enrollment process for

incoming students.

On the other hand, the lowest result of the survey was obtained from the responses of

the third-year respondents, with an overall weighted mean equivalent of 3.66. While this

score still falls within the "Agree" interpretation category, it suggests that there may be some

areas for improvement in the enrollment system for the third-year students. The feedback

from the third-year students can help identify specific areas that need attention, such as

streamlining the enrollment process, addressing any difficulties or challenges faced by the

students, or enhancing communication channels to ensure clarity and transparency.

Table 1 presents the responses of the first-year respondents, who reported the highest

overall weighted mean equivalent. Their positive feedback indicates that the enrollment

system in ACLC College is meeting their expectations. This group's satisfaction with the
process and procedure reflects the effectiveness of the college's efforts in providing a

seamless enrollment experience for first-year students.

Table 2 displays the responses of the second-year respondents, who obtained an

overall weighted mean equivalent of 3.70. Although slightly lower than the first-year

respondents, this score still falls within the "Agree" category, indicating that the second-year

students generally have a positive perception of the enrollment system. Their feedback may

offer valuable insights into areas where enhancements can be made to further improve the

enrollment process for this group.

Table 3 shows the responses of the third-year respondents, who reported the lowest

overall weighted mean equivalent of 3.66. This score suggests the need for closer attention to

the specific concerns and experiences of third-year students during the enrollment process.

Their feedback should be carefully analyzed to identify areas for improvement and ensure a

satisfactory enrollment experience for this group of students.

Table 4 presents the responses of the fourth-year respondents, who obtained an

overall weighted mean equivalent of 3.77. While their score is slightly higher than that of the

third-year students, it still falls within the "Agree" category. The feedback from the fourth-

year students can provide additional insights into the enrollment system's strengths and

weaknesses, which can guide further improvements to enhance the overall experience.

Lastly, Table 5 represents the responses of the faculty and staff members, who

reported an overall weighted mean of 3.90. Their positive feedback indicates that the

enrollment system is generally effective in supporting their roles and responsibilities.

However, their input should not be overlooked, as they play a crucial role in implementing

and managing the enrollment process. Their suggestions and concerns should be considered

in order to optimize the enrollment system from an administrative perspective.

CHAPTER V

SUMMARY, CONCLUSION AND RECOMMENDATIONS

Summary

Based on the study conducted by the researchers and when the data was obtained from

the respondents, the researchers found out that the Development of enrollment system in

ACLC College of Butuan will impose the interactive material for the students and staff. This

study proves that the computerized enrollment system process and procedures is necessary, it

will greatly help the school in adding, deletion, and updating of all student records and the

enrollment process. It speeds up data processing can make accurate and organize the report

easysssssssss to understand. This system can easy provide results as compared to manual

registration.

Descriptive method research was used and sampling with proportional allocation was

used for respondents. There are one hundred (100) respondents who correspond for this

study, the Administration staff and the Students are based on the findings, analysis, and

interpretation of the results of the study. The respondents have a positive approach in

assessing the enrollment system process and procedure.

Conclusion
After the study was conducted and with the response obtained among the respondents,

researchers concluded that the development of the Enrollment system will be very helpful

and significant, in terms of providing a new enrolment process and procedure.

Recommendation

After the study was conducted, the researchers strongly recommended the following:

1. The computerized enrollment system must be implemented as the main process of

enrollment in ACLC College of Butuan.

2. Design a platform with a clean and user-friendly interface that is easy to navigate.

Consider using modern web design principles to enhance the user experience.
