Subject: First Quarterly Report - Project 150 Aircon Installation
Purpose of Report
In response to you April 5, 2023, requests, following is our first quarterly report on Project 150 aircon
installation ( University of Mindanao). University is in the start-up phase of our installation of aircons
2023.This procedure is to define the sequence for all critical installation activity pertaining to the type of air
conditioning units in the university building and the frequency of which the inspections are to be carried
with scope of work, applicable standards and drawings . These include the following:
Work Accomplished
In the first quarter, we have completed the following:
1. Installers- We are now ready for an installation includes reviewing system requirements, ready for
upgrading the University classrooms deciding on the installation directory for the school president
reviewing installation options and gathering information to create data base server during installation for
managing maintenance, upgrade and security for aircon. This work was completed May 12, 2023.
2. Technicians - Once already check the installation of aircon where held and work schedules agreed upon
Guillermo E. Torres, Sr. (University of Mindanao President) acquired technician from the University. They
accomplished this task on May 20, 2023.
3. Core Samples- Core samples screening has been completed by University with a pass ratio of 85%
percent pass to 20.5 percent fail. This meets our goal of 88 percent. Sample screening was completed May
25, 2023.
4. Delivery Service- Upon the delivery of aircons for University classrooms had been already prepared for
installation through delivering on time. This quarter have provided us a 20-day lead on scheduled parts
provision for aircon. Aircondition arrived June 7, 2023.
5. LG Company Approval - LG Company have approved for the aircon installation. We are within guidelines
for technical maintenance, which part of area should be install, safety precautions for students, and
University policy concerns. Checking of each classroom walls, an indoor and outdoor unit that filters in cold
air like the ducts, and the size of aircon unit with dictate a lot of things, like where it can be placed in
classroom and how effective the unit will be at circulating air around classrooms. However, since the
University will profit, we are pleased to make this concession. LG Company approval occurred on June
15,2023.
Problems Encountered
Core Samples are acceptable throughout most of our University classrooms. However, the area set aside
for the installation near to outlet such as a socket, wiring system connections taken to supply utilization of
equipment. We believed this would cause no problem. Unfortunately, there’s 20 classrooms failed to
install when the technician accidentally drilling the wall for creating a hole for placing the aircon in wrong
position, which had to be reconciliation new walls where the area had been damaged.
Since this installation of aircon is near to outlet where the damage area is in, LG Company told us to
temporarily close those 20 classrooms who had been damaged, because of wrongly drilled the position on
placing an aircon. The extensive drilling of a wall and wait for professional expert technicians for
reconstruct the damaged classrooms have slowed our progress.
Work Remaining
1. University Facilities - Departmental offices, faculty offices, School clinics and classrooms are alreaady
done installing aircon in a short period of time due to ongoing process without delaying to do their work
smoothly until its already in polishing progress by checking properly.
2. Outlets - we are working with trusted technicians to properly organize the outlet of each classrooms, for
avoiding any accidents by placing it in the right position when installing an aircon. Our Installer team, led
by Mr. Benz is selecting a right position to place an exact way to install aircon/ that will make all students
feel comfortable in their environment where they are in. Electricians that we trust also on charge for able
to troubleshoot issue quickly and fix your outlets safely. Mr. Benz will be our contact person for this
project.
3. Installing Area - The entire classroom must be done installing. Thus installation of aircon comprises the
largest remaining task.
Project Completion/Recommendations
Through we have just begun this project, we have completed approximately 18 percent of the work. We
anticipate a successful completion, especially since deliveries have been timely
On the delays at the installation of aircon present a problem. We are two weeks behind schedule and
1.8M over cost. With approximately 2 additional personnel to speed the drilling of wall and with an
additional Php 3,000, we can meet our target dates. Maya Bernardo, Mr. Guillermo our University
President, is the person to see about the progress of installing the aircon. With your help and Mr.
Guillermos University, we should meet our schedules.
The Gantt chart in Figure 1 clarifies our status at this time.
