To create a group called Associate Marketing Representatives, which consists of hourly associates that
belong to the Marketing Department, define the following two conditions:

The following conditions affect a person’s group membership, in priority order:
1. Individual inclusion or exclusion status of a person, which has the highest priority in resolving group
membership
2. Inclusion or exclusion status of a defined group to which a person belongs that is embedded in the group
definition
3. Priority number of each embedded group, if the person is a member of multiple groups 4. Eligibility for
group selection criteria, if none of the previous conditions applie

You can refresh more than one group.
Locking Membership Example
•Lock all members of a group as of a specific date so that the same set of workers always processes.
•Example: You trained a group of workers for some year-end process, such as benefits processing or
preparing W2 adjustments, and that group membership would not change.
Date Range and Partial Period Eligibility
Evaluation dates example: If the period is a range that covers 5 days before and 5 days after the current
date, the evaluation period equals 10 days. If the person is in one group for part of that period and in a
different group for the rest of the period, the time cards are split between those two associated profiles. The
person has two time cards, and on each time card, the days in the period that the person is not in the group
are unavailable because:
•There can be a different layout attached to the different profiles between the two groups
•The profiles can have different time periods

Use groups to assign the appropriate time entry configurations to groups of workers.
To assign profiles to an individual worker, perform the following:
1. Assign the profiles directly to a worker as an override on the profile troubleshooting page.
2. Create a group with a single member and associate that group with the profile.
Note: When the time card layout or processing profiles aren’t as expected for a worker, then you can assign
the required profile directly to the worker as an override on the profile troubleshooting page.
•To use the projects time configuration that you create in this course, you create a group with a single
worker.

•Report only exceptions to the normal work schedule
•Report time against projects and tasks
Configure profiles such that each set of workers:
•Enters time on a different time card layout
•Has time cards approved in different ways
•Has data transferred to different time consumers
•Has different rules applied to its time cards
By default, all workers in an organization are members of a delivered group that has a profile assigned to it.
A worker who is not eligible for any setup profile through either individual or group assignment is assigned
the default profile.

Associate a profile with either a worker or group of workers. The assignment of a profile to groups is based
on start and end dates.
•You can assign a profile to more than one group of workers.
Example: You assign the time entry profile USA_Workers to the following groups:
-Full_Time_USAWorkers
-Part_Time_USAWorkers groups
•You cannot associate a group with more than one profile of the same type. Example: You cannot assign
both the USA_Workers and UK_Workers time entry profiles to the Full_Time_USAWorkers group.

If a worker’s group membership results in inaccurate time card display, or in incorrect rule or approval
processing, use Assign Profile to Person to explicitly assign a profile to the worker. This profile assignment
overrides all profile associations based on group memberships.
Compare Profiles
Compare values for up to three setup profiles from both individual and group assignments and decide
whether to assign the worker to a new profile that overrides any profile associations based on group
memberships.
Disassociating Profiles
Disassociate a profile that is assigned to a person using Delete Override.
•If multiple setup profiles that were individually assigned to a worker exist, the profile with the lowest priority
number takes the priority.
Example: You assign a worker to profiles A and B and profile A has a higher priority than B. Based on a
change in the worker’s job responsibility, profile A is no longer accurate for the worker. Use Delete Override
to disassociate profile A. The application automatically assigns profile B to the worker.
•If no other individual setup profile assignments exist, the group profile takes priority.

The Manage Time and Labor business process includes delivered approval workflow tasks that route payroll-
related or project-related time entries to the appropriate approvers, such as a line manager or project
manager. Customize these tasks to meet your business requirements.
•Time card approval runs when the submitted time card contains no errors and the approval period is met.
•Time card approvers can be line, project, or payroll managers as well as other roles responsible for
approving time. The approver receives notification of a time card requiring approval.
• A time card is considered approved when all approvers approve the time card. If any one of the approvers
rejects a time card, it is considered rejected.
•The worker receives notification when the time card is approved or rejected. You can define approval rules
to override this normal approval flow.
• Use the Manage Worker Time Entry Profiles task to control when the worker can update the time card
during the approval process.
•The worker must update rejected time cards and resubmit them.

Approval Periods
Use the Manage Repeating Time Periods task to define approval periods for each time consumer. When the
approval period is met, the time card is ready to be routed for approval.
•The approval period is the same as the time card period.
•Approval periods are configured in the time consumer set for each time consumer.
Approval Groups
Approval groups are defined lists of approvers used in approval routing within the approval rules of the
approval task. Configure approval groups using the Manage Approval Groups for Human Capital
Management task in the Setup and Maintenance work area.
Approval Tasks and Rules
Approval rules are associated with approval tasks. Use different sets of approval rules for different workers.
You can define different approval rules using different rule conditions.

Time Card Approval Components
In the Setup and Maintenance work area:
•Use the Define Approval Management for Human Capital Management task list tasks to view and modify
the delivered Time Card approval tasks and rules
•Use the Manage Approval Rules and Notifications for Human Capital Management task to create and
modify time card approval rules
Project Time Card Approval Task Rule
The delivered Project Time Card Approval Task Rule routes time entries in parallel to one or more project
managers. If the rule cannot find or derive the project manager, the rule routes the time entries to the
worker’s line manager.

To access your notifications, including payroll and project costing approvals, on the Home page, click
Worklists.
• If a worker enters absence using both a time card and the Absence Management application within the
same time card period, only the submission of the time card will trigger an approval notification.
•The absence entry appears on the time card that is routed for approval without invoking a separate approval
notification for the absence. This avoids duplicate approval notifications sent for the same absence, thus
reducing the number of approval notifications displayed in an approver’s work list or e-mail.

A time attribute is a qualifier associated with a time event or time entry that reflects how the time is paid,
costed, billed, or recorded as an information entry.
Example: The Payroll Time Type attribute categorizes time for payroll consumers according to attribute
values such as Regular, Overtime, and Vacation.
•Data sources identify the private view objects or value sets used to populate choice lists for time reporters
and administrators.
•The Display Type property selections are Text box, Smart choice list, and Hidden field. Hidden fields never
appear on the time card.
