Securing and Distributing a Presentation:


Secure a Presentation:
You can secure your presentation by marking it as final or encrypting it with password or
restricting access using digital rights management or adding a Digital Signature. Marking as
final do not provide any security but it prevents users from inadvertently making additional
changes to it.

Encrypting with a Password:

a) Choose File < Info < Protect Presentation < Encrypt with Password
b) Type a password in the Password text box and click OK. A Confirm Password dialog box
appears.
c) Retype the same password and click OK.

To remove a password do the below steps.

1. Choose File < Info < Protect Presentation < Encrypt Document. The Encrypt Document dialog
box opens.
2. Delete the contents of the Password text box.
3. Click OK.

Broadcast a Slide Show:


You can broadcast your PowerPoint presentation over the Internet to a remote audience.
While you present the slide show inside PowerPoint, your audience members follow along
in their web browsers

You have to use the Office Presentation Service, a free, public service that allows others to
follow along in their web browser. No setup is required. Use your free Microsoft account
(https://login.live.com/ ) to get started.

In PowerPoint, close any open presentations that you don’t want to share.

Click Slide Show > Present Online > Office Presentation Service.

Select the Enable remote viewers to download the presentation check box if you want to
allow your audience to download a copy of the presentation file.

Click Connect.

To send your meeting invitation to attendees, choose one of the following:

Copy Link (so that you can paste it somewhere that other people can access it)

Send in email

When you are ready to start your presentation, click Start Presentation.

To end your online presentation, press Esc to get out of Slide Show View, and then on
the Present Online tab, click End Online Presentation.

To confirm that you want to end the presentation, click End Online Presentation.

Share a presentation with remote members of your organization

Create a Video or a CD:

a) Click the File < Export < Click Create a Video.
b) Click the Presentation Quality and Select your desired quality

c) Click the Timings and Narrations and select your option. You can click Don’t Use
Recorded Timings and Narrations if you recorded them, but do not want to use them.
You can click Use Recorded Timings and Narrations if you recorded them and want to
use them. You can click Record Timings and Narrations if you want to record them at this
time.

Package Presentation for CD / Other:


You can save a presentation in a format that includes a PowerPoint viewer plus any files
needed to view your presentation and distribute it on a CD or flash drive. This viewer
enables the presentation to be viewed on a computer that does not have PowerPoint
installed on it.

1. Click the File < Export < Package Presentation for CD
2. Click Package for CD. You choose this option even if you want to put the file on a flash
drive or in a folder on your computer.
3. The Package for CD dialog box appears.
4. Click Copy to Folder. You can also insert a CD in your CD drive and then click Copy to CD.
PowerPoint will burn the presentation files directly to the CD.
