Guidelines for Students

THIS COLLEGE APPLICATION PROCESS IS A MUST-READ DOCUMENT.


1. Meet the Coordinator/College Advisor/Career Counselor:
2. Meet Career Counselor at least 2 months before your university deadline date.
3. Make a List of Schools/Colleges/ Courses/Country you are applying to.
4. Take guidance on writing the Statement of Purpose (SOP) which includes: Your future plans: specific field
of study, career goal, and rationale. Description of activities and accomplishments during high school i.e.,
Grade IX, X, XI, & XII and how have you benefited from these experiences. (Guidelines to write the SOP is
attached). SOP that you attach along with the requisition form is for school /teacher’s reference ONLY and
will not be sent to the colleges for the application process. Length of SOP does not matter as long as it is
informative.
5. Email THIS Requisition form , & SOP to College Advisor ([email protected]) & Career Counselor
([email protected]).
6. Emailing SOP is mandatory, as it will help your recommenders to know about you and your accomplishments
and interests in detail, and for them to write a good recommendation for you.
7. Inform about all details of your college applications, examinations (e.g., TOEFL, IELTS, SAT, etc.)
8. You can also send your resume for highlighting your achievements. (Resume format is attached as Annexure
4)
9. Fill up the form below and submit it to the College Advisor and Career Counselor who will then forward it to
the respective teachers and coordinator.
10. Deadlines for Submitting Requisition: Minimum 2 MONTHS before your first college /university
application deadline irrespective of the country.
11. School will not be responsible for the negative outcome of the late and incomplete submissions by the
student like denied admission or deferred admission and other consequences. 
12. We will not accept / process any request for recommendations, transcripts, uploading documents and
Courier during vacations or weekly offs/Non-working Saturdays.
13. Requisition form will not be accepted if any part is left blank or incomplete. Read the Instructions
thoroughly and follow the guidelines. Date of submission would be considered as the date when we
receive the requisition form completely filled with the required documents .

RECOMMENDATION LETTERS

 Select the teachers relevant to the course you wish to apply for admission in the college/University. E.g.:
Mechanical Engineering- Ask recommendation from Math teacher, Physics Teacher and Coordinator or the
teacher whom you feel knows you better.  
 Inform the teachers/coordinator well in advance and seek permission if you want them to write a
recommendation letter for you. It is the discretion of the teacher to accept or decline your request. In that
case you need to request another teacher to provide the recommendation. Inform/Request the teachers
before you fill up the requisition form. 
 Refrain from asking the teachers to send the recommendation Letters directly to you after seeking
permission. Even if you do so you will be directed to the Career Department. We follow a centralized
process, and we would want all students to adhere to the same. We work in coordination with the teachers

and hence the process would commenced once the requisition form and relevant documents are submitted
by the student to the Career department. ASKING TEACHERS/COORDINATOR TO SHARE THE PREDICTED
GRADES/RECOMMENATION LETTER DIRECTLY IS AGAINST THE SCHOOL POLICY. If any student does so,
he/she will have to face severe consequences.
 Students are instructed not to give ready drafts and/or content for recommendations to the teachers. If
found, the process will be cancelled, and higher authorities of the school and Universities will be informed of
the necessary action.
 If you want us to highlight a particular activity/attribute, mention those in the requisition form (with relevant
evidence/certificates). We/teachers customize the recommendation Letter as per the student
potential/interactions and information mentioned on the form. Hence READYMADE DRAFTS or SECRETIVE
REQUESTS WILL NOT BE ENTERTAINED.
 As a school policy, Copies of Recommendation Letters are STRICTLY CONFIDENTIAL, and will neither be
disclosed, nor will the hard copy be handed over to the students, parents and external agencies. They will be
sent directly to the institutions/university officials by the school or uploaded directly on the Application
portal.
 Please DO NOT make urgent, last-minute requests since we need time to process each document. Timeline
to prepare Letters of Recommendation - Minimum 5 weeks.
 Recommendation Letters will be written only after the receipt of SOP/ Personal Statement from the student
ALONG WITH OTHER REQUISITIES.
 WAIVING your right to view the recommendation is MANDATORY while filling the application or inviting
the teacher/ coordinator/ counselor through universities application.

PREDICTED GRADES

 Timeline to prepare Predicted Grade- Minimum 2 weeks.


 Factors Deciding the Prediction- 11 th grade performance will be taken into consideration for early application
deadlines and for later University application deadlines current trial examination along with 11 th grade
performance.
 As a school policy, Predicted Grades Are Strictly CONFIDENTIAL and will neither be disclosed nor will the
hard copy be handed over to the students, parents and external agencies. They will be sent directly to the
institutions/university officials by the school or uploaded directly on the Application portal.

COUNTRY WISE REQUISITION FORM SUBMISSION TIMELINE

USA:

 For Early Action/ Early Decision Universities Application DEADLINE DATES (OCT 15 / NOV 1 / NOV 15) in
your list - SUBMIT THE REQUISITION FORM NO LATER THAN July 31ST, 2023, beyond this date the requests
FOR THIS DEADLINE will not be accepted. IF NOT SUBMITTED BY THE GIVEN DEADLINE, you have to move
your application submission date to next available deadline.
 For Regular Decision application deadlines Universities in your list apart from the above-mentioned dates
- 2 months prior to the deadlines. Beyond this date the requests will not be accepted. You have to move
your application submission date to the next available deadline.

UK:

OXFORD & CAMBRIDGE APPLICATION DEADLINE: OCT 15


The deadline to submit the application for these Universities is 15 October 2023 at 6pm for all courses; and. for
most dentistry, medicine and veterinary science courses at other universities as well in UK. Late applications cannot
be accepted. The deadline for applications is 6pm (UK time) on 15 October and this must be strictly adhered to.
 SUBMIT THE REQUISITION FORM NO LATER THAN July 3Ist, 2023. Beyond this date the requests FOR THIS
DEADLINE will not be accepted.
 Students applying for Oxford, Cambridge Imperial, UCL, KCL, must take the entrance tests based on the

Other Universities IN UK: UCAS Application submission deadline is Jan 24, 2024

 Requisition form should be submitted by November 5th, 2023. Beyond this date the requests will not be
accepted. If you are applying for Oxford/Cambridge then your UCAS application would be closed by Oct 15 th.
 We will upload the Recommendation Letter and Predicted Grades on the student’s UCAS portal ONLY IF IT IS
CONNECTED TO THE SCHOOL’S UCAS PORTAL THROUGH THE BUZZWORD GIVEN BELOW from 01 st Aug 2023
– 25th Jan 2024. During this period, we will not SEND THESE DOCUMENTS TO THE UNIVERSITIES DIRECTLY.
 YOU NEED TO CONNECT THE APPLICATION COMPLETELY. IF YOU CONNECT YOUR APPLICATION
PARTIALLY. WE WILL NOT BE ABLE TO UPLOAD AND CLOSE YOUR UCAS APPLICATION IF DONE SO.

the marks sheets as explained above by adhering to the above-mentioned school deadlines for the
submission.
 As per the school policy we will not interact with the external agencies/consultants on your behalf.
 As per the school policy, we do not share any Recommendation Letters and Predicted grades with the
consultants, parents and students. We send the documents directly to the university/college.

Annexure 1 - Guidelines to write a Statement of Purpose
1. Write a small paragraph about yourself, your parents, and siblings and as a person, what effect they have on
you.
2. Mention any social service/community service/volunteer work.
3. Where did you complete your schooling and memorable moments of your school life? Which are your
favorite subjects in school?
4. Mention the subjects in which you scored well.
5. Write about your projects and special assignments that are related to academics.
6. Write about significant extracurricular activities during your schooling and its effect on your development
and growth. (Other interests/hobbies, etc.)
7. Write about any significant sports activities you have been a part of.
8. What is the major you are applying?
9. You need to mention why you chose this course.
10. What are your future plans after your graduation?
11. Which university are you applying to and reasons to apply to this university only?
12. Which country are you planning to study further in and why?

Tips for SOP writing based on the above guidelines.


SOP or Statement of Purpose is your reflection in writing. It talks about you beyond your academics and transcripts.
The admission officer should feel that you “MEANT IT” WHEN YOU WROTE this SOP. He wants to know what’s the
motivating factor/s for you to pursue the course you are applying for, and you are going to sincerely excel in this
course by making it relevant to your long-term aspiration/Goal. An essay won’t formulate itself overnight. Think
carefully about all the points that were mentioned. It’s like writing a story; only this one will get you into the final
phase (probably) to jumpstart your dream career.

There are few tips, which you can follow to make a strong and effective personal statement.

1. MAKE First Para as Catchy as possible. Begin with an interesting first sentence. Figure out a sentence which
makes you look different from others. He should be excited to continue reading. Think you have got only this
paragraph to impress them, and it begins from the first sentence.

2. Your strong Introduction would follow with the reason and motivation of choosing the course at the
university/college (why you chose, what influence you to make a choice, why you want to be in the program).
Mention how your talent, interests or experience will contribute to the institution.

3. Case the body with true-life time experiences (even childhood if you remember), correlate with your
decision and who it make you stand out of the crowd / unique. Highlight unique qualities that demonstrate your
interest and goals. Use examples to validate your pointers.
4. Praise yourself (not boast) in a gentle way to let them know that you are worthy to be taken in. Research
about the university, their faculty, course syllabus, location which are in favor of your interest and encouraged you
to apply. Be specific. This would be your concluding paragraph with a good punch.
5. Proofread it again and again, edit it, read aloud till you feel that it is perfect.
6. Share it with trusted people who can give you honest opinion after reading. Do not share with friends who
are with the similar goals, planning to apply abroad whether for the same course or not.

Read it for one last time when you feel that you have done what you could do the best and now it is up to the
admission officer…

Major mistakes that you should avoid:


1. Don't include information that does not support your thesis.

2. Don't try to be funny as you don’t know your audience, so humor can backfire.

3. Don't make excuses, but you can talk about the mistakes you've made as a learning experience. If there is
something important that happened (poverty, illness, excessive work, etc.), which affected your grades go ahead
and state it, but write it affirmatively, that is, in a way that shows your perseverance.

4. Don't start your essay with "I was born in…," or "My parents came from…"

5. Don't repeat information from the application unless you use it to illustrate a point.

6. Don't be afraid to start over if the essay just isn't working or doesn't answer the essay question.

7. Don't try to impress your reader with your vocabulary.

8. Don't rely exclusively on your computer to check your spelling.

9. Don't provide a collection of generic statements and platitude.

10. Copying content from others is not just evident in laziness but is a crime, too. Plagiarism is a hell no. A dead-end.

These tips are along with the tips given in the guidelines of the requisition form. You have to incorporate those tips
along with these. (Check Below the Picture format of the above pointers)

ANNEXURE 6 - Documents to be submitted with the Requisition Form

Transcripts- SUBMIT THE GRADE 10 BOARD PHYSICAL HARD COPY TO THE CAREER DEPARTMENT
(ROOM NO 312 – 4TH FLOOR)

Consolidated mark sheet which shows marks of Term 1 and Term 2 with the legend or descriptor (shows how the
marks are calculated). The legend will be as a separate attachment or behind the mark sheet.

 Grade 10
Term I, Term II Mark Sheet + Pre-Boards (if applicable) + Board marks with the certificate and legend and descriptor
(shows how the marks are calculated). The legend will be as a separate attachment or behind the mark sheet.

 Grade 11
Consolidated Mark Sheet (Annual report of CBSE which includes Term 1 and Term 2)

Certificates for the Extra & Co-curricular activities:

 Please collect all the certificates towards the activities performed by you, in the school or outside the school.
They will be useful during the college application process as evidence.
 Maintain a journal with respect to the activities you have been doing past two or more years.
 Please note that participation certificates will not have any weightage. So, decide and send us those
certificates which you think really needs to be highlighted in the recommendation letters.

Front and Back copy (Scanned). Aadhaar Card is not accepted.

Annexure 7 –Important Pointers

 The requisition form should be sent in WORD format ONLY. DO NOT DELETE ANY PORTION OR CHANGE THE
FORMAT. DO NOT SHARE DOCUMENTS IN DRIVE.
 While replying, Retain the subject of the email and mention the name i.e. Let’s begin the College
Application Process 2023-24 - <First Name Second Name >. This will help us keep a track of the forms sent by the
students.
 Ensure that the passport size photo is attached and then sent.
 Since the grade 12 exam mark sheets may /may not be available by the time the student is applying, he /she
should SUBMIT the mark sheets as and when they receive the same.
 In case you do not have the transcripts for Junior year at high school/senior year get in touch with your respective
coordinator and procure the same. It is the student responsibility to follow up and SUBMIT the transcripts once procured.
 Certificates for extracurricular can be zipped if too many copies. ZIP formats are accepted for certificates
ONLY and not for other documents.
 These are official copies of the transcripts and hence Use a good scanning app like MS Lens or Google
Lens/Kaagaz Scanner to scan the documents. ENSURE that the copies are legible and doesn’t not show any borders
when kept on a surface while scanning. Also ensure that there are no Watermarks when you send the copies i.e.
Scanned with CamScanner at the bottom of the documents.
 All mails sent to the CAREER DEPARTMENT should be marked to both of us i.e. [email protected]
and [email protected] . DO NOT send separately and retain the trail emails while responding/ replying
which will help us track the emails.

Annexure 8 – Submission Overview

A completed college/universities application has multiple elements to it, we are providing an overview of what
action would be taken by whom during the process time at school. All you must do is.

Student Submission

 Submit the requisition form with the supporting documents to the CAREER DEPARTMENT.
 We do not have any official transcripts with us and hence the student must provide us with the Transcripts
(Grade 9-11). For Grade 12 SA1, SA2, Preboard 1 & 2 must be sent as and when you receive it.
 Submit Essays/ Self reporting grades required by the college/universities.
 Submit Official SAT/ ACT / IELTS / TOEFL scores through their respective official portals by yourself, through
the respective agency /organization like SAT/ACT – www.collegeboard.org/www.act.org IELTS/TOEFL -
www.ielts.org/www/ets.org. However, all the scores need to be mentioned in the requisition form for us to
process the college application. 
 Submit the student’s application portion on the college applications portal after inviting the respective
subject teachers and segment coordinator by making the payment. Once you send the invite you need not
wait for our submissions to submit your portion of the application.

Career Department submission

 We will submit the Official High School Transcript (9-12) inclusive of Predicted Grades/SA1/SA2/ Pre-Board
1 & 2 after your invite on behalf of Coordinators.

 We will submit the recommendation Letters on behalf of Teachers and Coordinator.

Teachers / Counselor Submission

 Teacher will draft the recommendation and share it with the career department along with your invite
through the application portal. We will then collaborate with them to finalize the recommendations, PGs,
Transcripts and then the CAREER DEPARTMENT submits the entire set of documents.

Final Note

 Even though several elements of your application are submitted by others, you are still the person who is
ultimately responsible for making sure that all parts of the application are sent on-time. 

 You are responsible to keep a track on the online portal for each of the colleges where you are applying to
make sure that they have received all materials in a timely manner.

 Last but not the least, once we submit the application on behalf of you all, we do not get any intimation
from the university/college about the application progress/requirement (if any). All the notifications from
the university/college will be sent to the “STUDENT ONLY”. Hence it is the sole responsibility of the student
to inform us about the further course of action along with the happy news of the offers received.
