NEW CUSTOMER SIGN-UP
Sign-Up as a Customer on the webstore.
1. Go to the webstore.
2. Select Sign-Up.

1. Enter the required information into the fields.


2. Tick the “I’m not a robot” checkbox.
3. Click on Sign-up.

An email will be sent to the email address entered in the Sign-Up field.
1. Click on the link in the email, or
2. Copy the link into a web browser.
By clicking on the link, the email address gets verified and enables the user to Log in to the
webstore.

CUSTOMER LOGIN
Login as a Customer on the webstore:
1. Go to the webstore.
2. Select Login.

1. Enter the Email Address used to Sign-Up.


2. Enter the Password used to Sign-Up.
3. Tick the “I’m not a robot” checkbox.
4. Click on Sign-up.

The My Account button displays when logged in as a customer on the webstore.

FORGOT PASSWORD
Forgotten Passwords can be reset on the webstore:
1. Go to the webstore.
2. Select Login.

1. Click on the Forgot Password? link.

The Forgot Password? Section will open.


1. Enter the Email Address used to Sign-Up.
2. Click on the Arrow button.

A notification will display that an email has been sent to reset the password.

An email will be sent to the email address entered in the Forgot Password? field.
1. Click on the link in the email, or
2. Copy the link into a web browser.

The link directs to a Reset Password page.


1. Enter the New Password.
2. Re-enter New Password.
3. Click on Submit.

The Login or Sign-Up page will open and a notification will display that the password reset
successfully.
Login with the new password:
1. Enter the Email Address.
2. Enter the NEW password.
3. Click Login.

The My Account button displays when logged in as a customer on the webstore.

MANAGE WEBSTORE CUSTOMER ACCOUNT
Customer profiles can be managed on the webstore.
1. Login as a Customer on the webstore.
2. Click on My Account.
3. Select Account Settings.

The Account Settings page will open.

SUB-CUSTOMER ACCOUNT
Sub-Customers will have access to the main Customer’s profile and credit to make
purchases and manage subscriptions on their behalf.

ADD LINKED USER


Create a Sub-Customer account which will have access to this Main Customer’s account.
1. Click on Add Linked User.

1. Enter the First Name.


2. Enter the Last Name.
3. Enter the Email Address.
4. Company Name - information inherited from Parent Customer.
5. Account Identifier - information inherited from Parent Customer.
6. Click Save.

An email will be sent to the email address entered in the New Customer field.
1. Click on the link in the email, or
2. Copy the link in a web browser.

By clicking on the link, the email address gets verified and enables the user to Log in to the
webstore.

VIEW LINKED USERS
View all users linked to this customer account profile.
1. Click on View Linked User.

All Sub-Customers linked to this Customer’s Account will display in a grid.

1. Click on Deactivate to Deactivate an active Linked User.


2. Click on Activate to Activate an inactive Linked User.

USER DETAILS
1. Enter the First Name.
2. Enter the Last Name.
3. The Email Address is not editable.
4. The User Identifier is not editable.

5. Click on Update to save changes.

ACCOUNT DETAILS
1. Enter the VAT Number.
2. Enter the Company Registration Number.
3. The Account Identifier is not editable.
4. The Customer Type is not editable.

5. Click on Update to save changes.

Edit the Billing and Physical Address:

RESET PASSWORD
1. Click on Want to reset your password?

OR
2. Click on My Account and select Reset Password.

1. Enter the Old Password.


2. Enter the New Password.
3. Re-enter New Password.
4. Click on Update to save changes.

PAYMENT DETAILS
The webstore allows payment with Credit Limit or PayGate (Available in South Africa only).

STORE CREDIT
A portion of your credit with First Distribution can be allocated as Credit Limit on the
webstore, or a payment can be made and then allocated as Credit Limit on the webstore.
*Please contact your Account Manager.
1. Tick the box next to I wish to Apply for Credit.
2. Enter the Amount to apply for.
3. Click on Submit Request.

An email will be sent to a Store Admin user to process the application.


The Credit Status will change to Pending.

If rejected, the Credit Status will change from Pending to Rejected with the Reason.

If approved, the Credit Status will change from Pending to Approved with the Amount.

Apply for a Credit Limit Increase:


1. Enter the amount that should be requested for the Increase.
2. Click on Submit Request.
*The customer will only be allowed to request for a credit limit increase once per day.
An email will be sent to Store Admin users that the Customer has requested an increase.
1. Click on Credit next to My Account, to see the credit score:
a. This Month’s Spend.
b. Recuring Payments.
c. Credit remaining for this month.
d. View Orders.

CREDIT CARDS
The webstore is integrated with PayGate (Available in South Africa only).
Apply for a PayGate Switch account with DPO Group directly.
PAYGATE CARD
Add a PayGate card:
1. Click on Add PayGate Credit Card.
It will direct to the PayGate portal - https://secure.paygate.co.za/

2. Enter the Card Details in the required fields.

3. Click on Next.
4. Follow the PayGate prompts to complete the process.

REPLACE EXISTING CREDIT CARD
1. Click on Add Paygate Credit Card.

2. Complete the Card Details in the DPO – PayGate page.

3. Click on Change Payments.

4. Select all the Orders that should be paid through this card.
5. Click on Update.

The user is notified that the transactions have been updated with the new card.

BILLING
MY RECURRING SUBSCRIPTIONS
Navigate to the Microsoft Accounts page:
1. Click on My Account.
1. Click on Billing.
2. Select My Recurring Subscriptions.
The Recurring Subscriptions page will open.
1. Expand an Order.
The Subscriptions tab will list all subscriptions that are linked to that order.
The Payment Status will indicate if the recurring payment was successful or failed.

The Billing History tab will list all previous billing against a subscription.

1. For a Failed recurring payment, navigate to the Subscscriptions tab.
2. Hover over the Failed icon.
a. If the description notifies of Insufficient Funds, the user will be able to
continue given that their account has sufficient funds.
b. If the description notifies of an Expired Card the user will need to update
their account with a new card from the Account Settings page.
*See Replace existing credit card
3. Click on the Pay icon.
4. Given the payment is successful, the Status will update to Paid.

MY ORDERS
Navigate to the Microsoft Accounts page:
2. Click on My Account.
3. Click on Billing.
4. Select My Orders.

The Orders are sorted from the newest to the oldest order activity.
The Orders will show the following:
1. The Latest Order Activity.
2. The Order Date.
3. The Order State.
An indication will show whether the order was successfully processed.
4. The Payment Status.
An indication will show whether the payment was successful.
5. Click on the Order to view the Order Information page.

The Order Information page will give a detailed breakdown of the Order.
1. The Order Information.
2. The Billing Address.
3. The Delivery Address (where applicable).
4. The Order Items.
a. The order items will show a Provisioning Status.
b. This will indicate if the provisioning was successful or failed.
5. Click on Return to Orders to navigate back to the Orders List.

In the case where the Order Failed, the user can:


1. Click on Delete Order to permanently Delete the Order.
2. Click on Pay Now to resubmit the payment.
3. Click on Return to Orders to navigate back to the Orders List.

RESUMIT UNPAID ORDERS

1. Click on the Pay Now button to resubmit the payment.

2. In the Payment Details page, select either Credit Limit or Credit Card -
PayGate as the Payment Option.

3. Click on Proceed.
4. The Order Successful screen will open once the payment is successful.

The Order Information will update accordingly.

RESUBMIT UNPROVISIONED ORDERS
In the Order Information page, a Provisioning Status will indicate if the
provisioning was successful or failed.

1. Hover over the Provisiong Status.


The reason why the order was not provisioned will display – Reach out to your
Account Manager with the tenant and product details.

2. Click on the Re-submit button.

If the provisioning is unsuccessful, an error message will display.

If the provisioning is successful, the Provisioning Status will update.

DELETE FAILED ORDERS

1. Click on the Delete Orders button to completely remove the Order.

2. Click on Delete Order in the confirmation request.

3. A notification will confirm that the order has been deleted.

The Order will no longer be available in the Order List.

MY RECEIPTS
Navigate to the Microsoft Accounts page:
3. Click on My Account.
5. Click on Billing.
6. Select My Receipts.
The My Receipts page will open.
1. Click on Receipt next to an Order.

A .pdf file will download with the Order Confirmation.

BUY SERVICE OFFERS
BROWSE BY CATEGORY
1. Click on Browse Categories.
2. Select a Category.
3. Click on View Category Offers.

The Search results will display the list of services linked to the category.

BROWSE BY PRODUCTS A-Z


1. Click on Products A-Z.
2. Select a letter from A-Z to view all services starting with that letter.

ADD ITEMS TO THE SHOPPING CART
1. Search for a service, or
2. Select a service from the home page.
3. Click on a service.

4. Click on View Offers.

5. Click on the dropdown arrow to display a list of all available offers.


6. Select a specific offer.
7. Increase or Decrease the quantity by clicking on the arrows.
8. Click on Add to Cart.

SECURE CHECKOUT
1. Click on View Cart, or
2. Click on the Shopping Cart icon.

The Shopping Cart page will open:


1. Change the service offer – click on the dropdown arrow underneath Offers.
2. Increase or Decrease the quantity by clicking on the arrow buttons.
3. Click Update to save new changes.
4. Click Remove to clear the item from the shopping cart.
5. Click on Continue Shopping to return to the store and add more items to the cart.
6. Click on Secure Checkout to complete the transaction.

The Service Level Agreement page will open.
1. Click on the + and read through all the agreements.
2. Click on Agree to All.

The Payment Details page will open.


1. Hover over the Order – Click Edit Order to go back to the Shopping Cart.
2. Select a Payment Option.
a. Credit Limit
b. PayGate
3. Enter a Purchase Order Number.
4. Enter the Customer Details.
5. Click on Proceed.

Each Payment Option has a different action after clicking on Proceed:
a. Credit Limit:
Deducts the payment from credit remaining.
b. PayGate:
Directs to the PayGate portal - https://secure.paygate.co.za/
Follow the prompts through PayGate to complete the transaction.
The Order Successful or Order failed page will open.

1. Click on Continue Shopping to complete another transaction.


2. Click on Contact Us for queries.
3. Click on My Orders to view the order history.
The Order History page will open.

PURCHASE PRODUCTS MARKED FOR DELIVERY
1. Search for the Services marked for Delivery.
2. Click on View Offers.
3. Click on Add to Cart.

1. Open the Shopping Cart.


2. Click on Secure Checkout.

The Product Delivery Details page will open.
1. To select a Delivery Address, tick on:
a. Use a New Delivery Address
i. A differrent Delivery Address will be used instead of the Physical
Address or Billing Address captured in Account Settings.
b. Use my Physical Address
i. The Physical Address captured in Account Settings will display as the
Delivery Address.
c. Use my Billing Address
i. The Billing Address captured in Account Settings will display as the
Delivery Address.
2. Click on Proceed.

The Payment Details page will open.


1. Choose Payment Options.
2. Enter Customer Details.
3. Click Proceed.

The Order Successful page will open.

The Delivery Address will display against the Order History.

An email will be sent to the Customer and to the email addresses in the Vendor’s
provisioning email address list.
The order information and Delivery Address will be listed in the email.
**The necessary steps will be taken by the Vendor or Reseller to deliver the products
marked for Delivery to the Customer.

WEBSTORE QUOTES
CREATE NEW QUOTES
Quotes can be created from the Shopping Cart.
1. Add items to the Shopping Cart.
2. Adjust items in the Shopping Cart if necessary.
3. Click on Save Quote.

A popup notification will appear to add a quote description or create a quote group.
1. Click on Create new group or Click on Add to existing group (Not Mandatory).
2. Enter a quote description (Not Mandatory).
3. Click on Save Quote.

The Quote Shopping Cart will open and display all items previously saved.

From the Quote Shopping Cart, the following options are available:
1. Download the quote in .pdf format.
2. Add products to the quote.
3. Remove items from the quote.
4. Change the offer and adjust the offer quantity.
5. Update Quote - A new revision on the quote will save.
6. Checkout from the Quote Shopping Cart.

SAVED QUOTES
Navigate to the Saved Quotes page:
1. Click on My Account.
2. Click on Quotes.

The Saved Quotes page will open.

The Saved Quotes page will display the following information:


1. Quote Number
2. Description
3. Group
4. Date Created
5. Total Price
6. Status
7. User
From the Saved Quotes page, the following options are available:
1. Open a saved quote.
2. Download a saved quote in .pdf format.
3. Delete a saved quote.
4. Filter quote group.
5. Search for specific quotes.

EDIT EXISTING QUOTES
1. Navigate to the Saved Quotes page.
a. Click on My Account.
b. Select Quotes.
2. Click on the Quote Number of a Saved Quote in the grid.
The Quote Shopping Cart will open and display all items saved to the Quote.

1. Adjust items in the Quote Shopping Cart if necessary.


2. Click on Remove to delete items, OR
3. Click on Add Products To Quote.
4. Select product offers and once complete, click on Return To Quote.
The Quote Shopping Cart page will open and display all items saved to the Quote.

The Quote Shopping Cart will open and display all items saved to the Quote.
2. Click on the Download button.

A .pdf version of the quote will save to your device.

The Microsoft Customer Update Details page will open.

1. Click on My Account.
2. Click on Manage Subscriptions
3. Select Microsoft.
The Microsoft Accounts page will open.

The Delete Tenant/Domain popup will open.

BUY A MICROSOFT SUBSCRIPTION
Follow the steps in the Buy Service Offers section to add a Microsoft Offer to the Shopping
Cart.

SHOPPING CART – MICROSOFT PURCHASES


1. Add a Microsoft Service Offer to the Shopping Cart.

1. Click on View Cart, or


2. Click on the Shopping Cart icon.

The Shopping Cart page will open:

1. Change the service offer or license count.


2. Click Update to save new changes.
3. Click Remove to clear the item from the shopping cart.
4. Select a Microsoft tenant linked to the Customer account.
5. Click on Continue Shopping, OR
6. Click on Secure Checkout to complete the transaction.

Where a Microsoft Customer is not yet available to select, the following steps are required:
1. Create new Tenant/Domain.
2. Request a reseller relationship.

Should the customer already have a Microsoft tenant, but it is not yet linked to the
webstore, it is required to establish a reseller relationship to complete the first order.

CREATE A NEW MICROSOFT TENANT
1. Click on Create new Tenant/Domain.

1. Enter the Domain name.


2. Click on Validate.

1. Fill in the Customer Details.


2. Fill in the Address Details.
3. Fill in the Customer Agreement.
4. Click Save.

The Shopping Cart page will open.
1. Click on the Microsoft Customer dropdown arrow.
2. Select the newly created Microsoft tenant.
3. Click Update to save changes.
4. Click on Secure Checkout.
5. Navigate through the payment process as normal.

REQUEST A MICROSOFT RESELLER RELATIONSHIP
Click Request a reseller relationship.

Create a relationship request Step 1:


1. Click on the link in Step 1.
2. Sign-in to the Microsoft 365 Admin Center as the Global Administrator of the
Microsoft tenant that should be linked.

A new tab will open for the Microsoft 365 Admin Center.

1. Login as the Global Administrator of the Microsoft tenant.
2. Tick the box to acknowledge and agree to the Microsoft Customer Agreement
3. Click on Accept & Authorize.
4. Close the Microsoft 365 Admin Center tab.
5. Navigate back to the Create a relationship request page.
Create a relationship request Step 2:
1. Enter the Microsoft Domain in Step 2.
2. Click on Submit.

A popup will appear to Confirm the Request.


1. Click on Confirm.

A notification will display that the Microsoft Customer been linked.

2. Click on Return to view the Microsoft tenant now linked to the Customer account.

1. Click on the Shopping Cart icon to complete the transaction.


2. Click on the Microsoft Customer dropdown arrow.
3. Select the newly linked Microsoft tenant.
4. Click Update to save changes.

6. Navigate through the payment process as normal.

MICROSOFT TRIAL SUBSCRIPTIONS
START MICROSOFT TRIAL SUBSCRIPTIONS
1. Select Microsoft in the list of vendors.
2. Click on a Service.
3. Click on View Offers.

The Service popup will open


1. Select a Trial Offer.
2. Click on Start Free Trial.

The Microsoft Customer Account page will open.
1. Select the relevant Microsoft Customer Account option to link the trial to.
2. Select the Microsoft Customer.
3. Click on Submit.

Once the Trial is provisioned, it will display in the Subscriptions List.

CONVERT MICROSOFT TRIAL TO A PAID SUBSCRIPTION
1. In the Subscription List page, click on Manage.
2. Select Convert Trial to Paid Subscription.

The Available Trial Conversions popup will open.


1. Select the Billing Frequency.
2. Select the Conversion Offer.
3. Add the Quantity.
4. Click on Save.

The Payment Details page will open.
1. Select the Payment Option.
2. Enter the Customer Details.
3. Click on Proceed.

The Trial is now listed as a Paid Subscription.

Navigate to the Microsoft Accounts page:
5. Click on My Account.
9. Click on Manage Subscriptions.
10. Select Microsoft.
The Microsoft Accounts page will open.

2. Select Increase.

A popup will display with the Subscription details.


1. Enter the Increase Quantity.

Suspend with immediate effect will update the status to Suspended
1. In the Subscriptions List page, click on Manage.
2. Select Activate.

The Re-Activate Subscription popup will open.

1. Enter the Quantity to Re-Activate with.


2. Click on Re-Activate.
The Status will update to Active.

SUSPEND ON SUBSCRIPTION END DATE
Suspend on subscription end date will set the renewal to cancellation scheduled.
1. In the Subscriptions List page, click on Manage.
2. Select Manage Cancellation.

The Cancellation Management popup will open.

1. Select any of the following options:


a. Suspend with immediate effect.
b. Suspend on subscription end date.
c. Suspend on another date.
i. Select a future date.
d. Don’t Suspend.
2. Click on Confirm.
3. The Status and Renewal will update accordingly.

and on the Manage Subscription page. The webstore will display the history of webstore
activities as well as Partner Center activities.

1. Login as a Customer on the Webstore.
2. Navigate to My Account, Manage Subscriptions, Microsoft.
3. Click on the Subscription Activity button.

The user’s State will update to Inactive.

MANAGE MICROSOFT AZURE PLANS
Navigate to the Microsoft Accounts page:
7. Click on My Account.
13. Click on Manage Subscriptions.
14. Select Microsoft.
The Microsoft Accounts page will open.
1. Click on Manage Tenant.
2. Navigate to the Azure Plan tab.
3. Click on Request.

An email will be sent to a Store Admin user to enable the Azure Usage.
Once it is enabled, the list of subscriptions will display.
1. Click on Portal to navigate to the Azure Portal.
2. Click on the Configuration gear next to the Azure subscription.
3. Select Usage.
