INTRODUCTION
An event management website is a platform designed to facilitate the planning, organization, promotion, and
execution of various types of events such as conferences, trade shows, concerts, sports events, and other
gatherings. The website typically provides a centralized location for event organizers to create and manage
events, sell tickets, communicate with attendees, and gather feedback.

Event management websites are typically used by event organizers to streamline the event planning process and
improve the attendee experience. They provide a one-stop-shop for event-related information, such as event
schedules, ticket pricing, and directions to the venue. They also allow event organizers to promote their events
through various channels, such as social media and email marketing, to reach a wider audience.

One of the key benefits of event management websites is their ability to handle ticket sales and payment
processing. This feature allows attendees to purchase tickets online and receive them via email or mobile app,
making the process of attending events more convenient. In addition, event management websites often include
tools for event organizers to manage ticket sales, track attendance, and monitor revenue.

An event management web application is a software platform that enables event planners and organizers to
plan, promote, and manage events online. This web application provides a centralized platform for event
planners, organizers, and attendees to interact with each other and streamline event-related activities.

The web application usually includes features such as event creation, event registration, ticketing, payment
processing, event promotion, and attendee management.
CHAPTER 2

LITERATURE SURVEY

The spectrum used for the review of literature focuses upon the definition of an event, quality and
difficulty to manage an event. An event can be described as a public assembly for the purpose of
celebration, education, marketing or reunion. Events can be classified on the basis of their size, type and
context. An event can be a social / lifecycle event like a birthday party, engagement, wedding, funeral etc.
or an education and career event like an education fair, job fair, workshop, seminar, debate, contest,
competition etc. [3]. Quality in terms of event management can be described as the degree of excellence of
an event [4]. The quality of service provided is dependent upon many parameters which should answer the
question “Is this good enough?” According to Andersson and Wesslau (2000), when using events,
companies get the possibility to have their own-right to the consumer during the duration of the event [5].
This means that if a company manages to get the consumer to attend the event, the distortion from the
competitors will be gone or at least minimized during the duration of the event.

Also, events contain tangible elements, such as food, beverages and other products sold or given away,
but are essentially a service in that they consist of intangible experiences of finite duration within a
temporary, managed atmosphere. As with all services, this experiential “product” is produced and
consumed simultaneously, is highly heterogeneous and very difficult to store or control [6]. The
arguments presented by the literature reviews do run parallel with its empirical counter-part most of the
time. However, irrespective of its size and contents, events always have the knack of surprising people.
Even though they are planned and every settings of an event are monitored, but the event itself will always
provide the physical experience that is entirely new and different from the previous ones[7].The process of
event management is best described in the figure given below
CHAPTER 3

MINI OBJETIVE & SCOPE OF PROJECT

Objective:

The objective of the event management web app project is to develop a comprehensive and user-friendly web
application that serves as a centralized platform for efficient planning, organization, and management of college
events. The primary goal is to streamline and automate various tasks and processes involved in event manage-
ment, ultimately enhancing the overall event experience for organizers, participants, and attendees.

Scope:

1. User Registration and Profiles: One of the key features of the event management web app will be the
implementation of a user registration system. This will allow individuals involved in event management,
including organizers, volunteers, and participants, to create personalized accounts and manage their pro-
files. Users will have the ability to provide relevant information such as their roles and responsibilities
in event management, contact details, and preferences. This will enable effective communication and
collaboration among users within the platform.

2. Event Creation and Management: The web app will empower authorized users with the capability to
create and manage events through a user-friendly interface. Organizers will be able to set event details,
including the date, time, and location of the event, as well as event-specific information such as themes,
categories, and tags. Additionally, the web app will incorporate features for event ticketing, including
the creation of tickets, pricing, and availability management. This will simplify the event creation and
management process, making it efficient and convenient for organizers.

3. Participant Registration and Communication: To facilitate seamless participant registration, the web app
will provide a registration module where individuals can sign up for events. Participants will be able to
provide necessary details and preferences during the registration process. Moreover, the web app will
incorporate communication channels, such as integrated messaging or discussion forums, to enable or-
ganizers and participants to interact, share information, and address queries. This will enhance commu-
nication and engagement among stakeholders, fostering a collaborative event environment.

4. Resource and Venue Management: Efficient management of event resources and venues is crucial for
successful event execution. The web app will feature functionalities that enable organizers to manage
resources effectively. This includes maintaining a catalog of available resources, such as equipment,
materials, and venues. Users will be able to check resource availability, book resources, and manage lo-
gistics, ensuring seamless coordination and optimal utilization of resources. By providing a centralized
resource and venue management system, the web app will streamline the planning process and minimize
conflicts.

5. Task Assignment and Collaboration: To facilitate effective teamwork and task management, the web
app will include a comprehensive task assignment and collaboration system. Event organizers will have
the ability to assign tasks to team members, set deadlines, and track the progress of tasks. Additionally,
the web app will incorporate collaboration tools such as shared calendars, document repositories, and
task tracking features. These collaborative features will enhance coordination among team members,

6. Notifications and Reminders: Clear and timely communication is vital for ensuring the smooth execu-

dates, reminders, and announcements to relevant stakeholders. Users will receive notifications regarding
event schedules, changes in event details, task deadlines, and other important information. This will
keep all stakeholders informed and aligned, reducing the risk of miscommunication and improving over-

7. Reporting and Analytics: To evaluate event performance and make data-driven decisions, the web app
will provide reporting and analytics capabilities. Organizers will have access to comprehensive event re-
ports, including attendance statistics, participant feedback, financial data, and other relevant metrics.

8. Security and Privacy: Data security and privacy will be prioritized throughout the development of the
web app. Robust security measures will be implemented to protect user data from unauthorized access

thorization mechanisms to safeguard sensitive information and restrict access based on user roles and
permissions. By maintaining high levels of security and privacy, the web app will foster trust among

It is important to note that the project scope can be further refined based on specific requirements, feedback
from stakeholders, and the development team's capabilities and constraints. The above objectives and scope
outline the key features and functionalities that the event management web app will encompass, aiming to
provide a comprehensive solution for effective event planning, organization, and management.

SOFTWARE REQUIREMENT SPECIFICATIONS

The Event Management Web Application is designed to help event planners and organizers plan, promote, and
manage events online. The software system should provide a user-friendly interface to allow for easy
navigation and accessibility to all users. The objective of this SRS document is to define the requirements for
the Event Management Web Application.

2.1 Functional Requirements


2.1.1 Event Creation
The application should allow event planners and organizers to create an event by providing the following
details:

a) Event name
b) Event date and time
c) Event location
d) Event description
e) Event type
f) Event logo or image

2.1.2 Event Registration


The application should allow attendees to register for an event by providing the following information:
Personal details such as name, email, phone number, address, company name (if applicable) ,Ticket type and
Payment information.

2.1.3 Ticketing
The application should allow event organizers to set up a ticketing system to sell tickets to attendees. The
ticketing system should allow for the following features:
a) Ticket inventory management
b) Setting ticket prices
c) Creating discount codes
d) Issuing refunds

2.1.4 Payment Processing


The application should provide a secure payment gateway to process the attendee payments. The payment
gateway should support the following payment methods:

a) Credit card processing


b) PayPal integration
c) Other payment options as per requirement

2.1.5 Event Promotion


The application should allow event organizers to promote their events using various marketing channels. The
promotion features should include the following:

The application should allow event organizers to manage attendees by tracking their registration status, sending
confirmation emails, and collecting attendee data. The attendee management features should include the

The application should provide analytics and reporting tools to help the organizers track ticket sales, attendee

2.2.1 Performance
The application should provide optimal performance to support a large number of users and transactions. The
response time for each action should be within 2-3 seconds.

The application should provide a secure environment to protect user data, including personal and payment
information. The security features should include the following:

Add Event form is an options where Admin can add event details which can
later be reviewed by get
event report.

Admin can post requests such as the title of the event, the venue, Date of event
and maximum number of participants allowed or the number of entrie
available.

Along with which admin can also set the description and the tag line of the
event. Get Event Details-:
Get event details is an options which allow admin to get all the details of
available and registered event such as title of event , total no of participants ,
its description , date and venue . It also displays the payment method and
amount required for registration.

Some other common features for managing of event includes addition of


participants their updations and deletion . Admin can also Update winner and
generate a pdf for the same.

Also user can review all the transaction made using recent transaction tab.

PROJECT LIMITATIONS AND FUTURE SCOPE

Every project has its limitations, and the Event Management Web Application is no exception. Some of the
limitations of the application are as follows:

The Event Management Web Application is entirely dependent on an internet connection, and users will not be
able to access it without an internet connection.

The Event Management Web Application is a complex system that requires considerable effort to design,
develop, test, and maintain. The complexity of the application can lead to increased development time and
costs.

4.1.3 Security Risks


The application involves handling sensitive information such as personal and payment data, and there is a risk
of data breaches or hacking.

4.1.4 Compatibility
The application should be compatible with different web browsers and operating systems, and compatibility
issues can arise, leading to user dissatisfaction.

The Event Management Web Application has vast potential for further development and improvement. Some of
the future scopes for the application are as follows:
