SAD Script
Good day Sir, today we will be presenting our project system, the online appointment management
system. I am Hiteroza, Il Jessica together with my team members, Camela Agbuya, Kate Flores,
and Patrick Paragas.
First and foremost, I will introduce our target organization, the veterinary clinic, Abalos Pet
Grooming and Supplies.
Slide 2: The vet clinic, Abalos Pet Grooming and Supply is located at Poblacion, Basista,
Pangasinan owned by a Veterinarian, Dr. Larry Abalos. The clinic offers health care and
grooming services, they sell food, vitamins, and other essentials for animals and pets.
So here are some concerns and situations of this clinic which give us the inspiration to
develop this system.
Simultaneous arrival of clients on clinics are a significant problem in the community today. Health care
clinics for humans and animals or vet clinics are not an exception. The clients: pet and pet parents are
both affected. The veterinarian, and staffs on the other hand, got conflict on management and other
services offered. Different factors concerning the need for an online appointment are as follows;
Slide 3: First is a long time wasted by clients on waiting. Clients who arrived early get to
be served first therefore later clients must wait for their turn. Next is Crowd and noisy
environment causing stress to pets. Pets like dogs tend to be fearful and anxious when getting
into an unfamiliar place or hearing noises outside. Lastly, the unorganized and hectic schedule
of veterinarian. The clinic is not able to predict the number of clients every day, therefore, the
doctor could not really have a systematic schedule which leads to failure to achieve other tasks
and mess up services offered.
The next speaker, Mr. Kate Flores will explain the overview of this system
KATE:
OVERVIEW
Using the modern technology, this database management system will provide a web-based online
appointment system for the vet clinic, Abalos Pet Grooming and Supplies. The online appointment
system will benefit the clinic to organize and control the arrival of clients and avoid conflict on the
other services they offer.
EXPLANATON: Just like the concerns mentioned earlier, Abalos clinic still uses
traditional walk-in taking of clients, and other works such as inventory which leads to
unsystematic workflow and nuisance on both. We aim to provide a web-based online
appointment management system to aid the relevant circumstance in the enterprise.
Over and above, the online appointment system will include some features such as, online
appointment administration, products and supplies' promotion, display of service, service fees and
prices, and inventory. It creates all sorts of reviews that assist the clinic’s day-after-day operation
and commercial enterprise growth. The system will benefit the clients to conserve their time, less
hassle; and less stress for pets as well.
EXPLANATON: Not only that. Our system will also be supervised by the clinic admin to
fulfill the following system functions such as management of the appointment requests; display
of services they offer, service fees, products and supplies they sell, and the prices; and
inventory. The system will also hold the records of existing clients. This will not just benefit
the clinic but will also benefit the clients to conserve their time, less hassle, and less stress for
pets as well.
Now let us hear the objective of this project from Mr. Patrick Paragas.
PATRICK:
OBJECTIVES
The main goal of this study is to develop a web-based online appointment management system for
the veterinary clinic Abalos Pet Grooming and Supply located at Basista Pangasinan. A system that
will benefit the veterinarian and clinic including the pets, and pet parents.
1. To determine the challenges that the clinic and veterinarian face with the manual process they
use.
-So, we will address the challenges and problems encountered by the stakeholders with the use
of their current manual process, just like for instance, the conflicted schedule of the vet and so
on. Next is…
2. To discover additional features of the system that will help the clinic and management in in more
organized services.
-This one is to learn what more does the stakeholders might need for better organization of
their services and tasks. For instance, a system feature that would help them in doing
inventory. Next objective is…
3. Test the level of usability of the system developed to ease the waiting time of pets and pet
parents.
-We intend to determine how useful and beneficial the developed system would be to both pets
and pet parents. This objective will focus on the clients’ end. Does this system really ease the
struggles of clients? It is to assess if there is any difference in waiting time because of the
system. Last but not least objective is…
4. Test the level of usability of the system developed to minimize manual work process of the clinic.
-This objective on the other hand will center on the stakeholders’ end. It intends to determine
how useful and beneficial the developed system would be to the veterinarian and employees of
the clinic. It is to assess the use and effect of the system on the employees and the development
of the clinic’s operation.
So those were the objectives, for the System Framework, will be discussed by Ms. Camela
Agbuya.
CAMELA:
SYSTEM FRAMEWORK
The conceptual framework that will be employed by the developers is based on the Input-Process-
Output Model (IPO). The IPO model offers the project's broad framework and compass for its
course.

This figure presents a visual illustration of the Input-Process-Output Model of the online
appointment management system for Abalos Pet Grooming and Supply.
Here it shows the inputs, including the related existing process and features, features to
include that will maximize the system’s functionality, the issues of the existing system, and the
usability of the system to be developed which are necessary to advance the system. We will be
performing a structured interview with the clinic’s personnel as respondents to gather the
specified inputs. These inputs are essential factors in the generation of the system’s
specifications.
After gathering the needed information, the system development will take place. The process
will be done accordingly. Requirements Planning, Analyzing the requirements and so on.
The study’s ultimate output is an Online appointment Management System for Abalos Pet
Grooming and Supply, that will assist both the clinic and pet owners in booking an
appointment for their pets. After the development, the system will then be implemented and
get feedback from stakeholder and stakeholder’s clients as well.
DATA INSTRUMENTATION
For Objective No. 1, The developers will prepare and conduct a structured interview to gather data
and information for the system’s development. Both the veterinarian and the employee will be
interviewed to understand and determine the problems on their field of work.
So in order to determine the challenges that the clinic and veterinarian facing, we will prepare
the corresponding questions to gather necessary pieces of information from the stakeholders
and further understand the processes of the clinic.
For Objective No. 2, The developers will use the data and information gathered on the interview that
will be conducted to develop a system and presented visualizations of the system's design using
prototype tools.
After performing the interview, we, the developers will be able to determine and visualize the
structure of the system we will develop. To further exhibit the ideas and design, we will make
use of prototype tools like Figma or Adobe XD to prepare a system prototype.
For Objective No. 3 and No. 4, The developers will employ a survey questionnaire based on the
Software Usability Measurement Inventory (SUMI).
Conducting a survey using SUMI method will help the developers to study how the end-users,
both stakeholders and their clients will use the system and their preferred features. This will
be used for measuring the usability of the Abalos Pet Grooming and Supply Online
Appointment Management System according to the user’s evaluation. For Objective No. 3, the
survey will focus on how the system help the pets and pet parents. For Objective No. 4, the
survey will focus on determining the effect of the system on the work process of the clinic.

DATA ANALYSIS
For objective No. 1, The information and data that will acquire during the interview will help the
developers determine the information and data required for the system's development. The manual
operations will be represented visually using a data flow diagram.
In this area, we will be utilizing data flow diagram to visualize the manual operation of the
clinic. It is to help us further improve and identify the system requirements and help in the
development process. By the use of DFD, we will also be able to get an overview of the
structure and process of how the appointment system will run.
For objective No. 2, The discovered and determined features will help the developers create
necessary system features for the clinic. For the system's database design, the developers will
employ the Entity Relationship Diagram (ERD). The system's flow and the functionality required
for it will both visualize using the data flow diagram.
The order of the processes will be based on discovered and determined features. We will make
use of ERD for the design and for a basic overview of the system to be developed, DFD will be
utilized as well.
PATRICK:
For objective No. 3 and No. 4, the information will be gathered through the SUMI survey.
The SUMI is a 50-item questionnaire that measures users' perception of the Efficiency, Affect,
Helpfulness, Control and Learnability of a system. This would make it easier for the
developers to research how end-users will utilize the system and what features they like.
Based on the participants' responses, the developers will compute the total mean by using the 5-
point Likert Scale.
The 5-point likert scale is a type of psychometric response scale in which responders specify their
level of agreement to a statement typically in five points: (1) Strongly disagree; (2) Disagree; (3)
Neither agree nor disagree; (4) Agree; (5) Strongly agree.
The system has met the users' requirements if the responses fall between 2.61 to 5.00, which are
considered as being usable, satisfactory, and simple to use. However, responses that fall between
1.00 and 2.60 will be categorized as unusable since the system did not satisfy the users'
requirements.
