1. Introduction
A college management system enables colleges and higher education to manage enrollment,
admissions, students, faculty, attendance, fees, scheduling, assignments, grades and library of
the college. It generates automated reports on all aspects for data-driven decision-making. In
college management software, it contains the functionality of both the student information
systems and management information systems. If college management software is
implemented properly it can improve multiple processes in our college and can help us achieve
academic and business goals faster and reduces the expenses. It gives a virtual visit of the
college. Here we would gain the recent information of notices, curriculum activities, changes
in the college administration as well as class routine of verified users.

This College Management System is planned for facilitating the students of the college about
details on the courses, subjects, classes, assignments, grades and time-table. It also allows the
faculty to know his daily class routine, get and upload assignment and parents can view
students’ performance on the system. The college administration would maintain the separate
database of the students and working staffs as well as teachers, prepares the daily routine and
upload the current information as well as notice regarding the college. It takes a lot of time and
needs many employees to accomplish the task. As separate record of students and staffs are
maintained, it is laborious and time consuming method. It has security issues too. In order to
solve these problems, a new system has been created, that attempts to operate the whole
procedure considering the database integration approach.
2. BACKGROUND INFORMATION
Nowadays many systems have been developed to make human life easier and more
comfortable. College management system is manual operated system. This is a web-related
application that permits us to approach the entire knowledge regarding the college,
employees, students, faculties etc. This application is also called as institute management
system. This general application planned for aiding the students of an organization about
details on the courses, subjects, classes, assignments, grades and time-table. It also allows
the faculty to know his time-table, upload assignments and issue circulars to the pupil.

3. PROBLEM STATEMENT
Before this, the management of college was done manually. All the work was done and
managed through the random process. Problem of traditional manual based college
management system are as follows: -

 Un-updated notice
 Library and result are unmanaged
 It’s difficult to visit college for inquiry
 The college may be crowded by people.
 Time consuming and lengthy process for admission and several procedures
 Payment problem
4. SCOPE
College management system is beneficial to the teachers, students, administration as
well as all the stake holders of the system. It aids the day to day manual job of the
college. Other scopes of college management system are listed below: -
 Login to the system through the first page of the application
 Can get help through the help option to view different features of the system.
 Institute and students record
 New admission and college placement
 View/change his/her details.
 Students can give feedback on college/staff/any other student.
 An admin login should be present who can read as well as remove any uploads
 Reporting and withdrawing report.

5. Objective
 To allow stake holders to access the whole information about the college, staffs,
students, facilities etc.
 To get the latest information about the students and working staffs.
 To provide support students and teachers to check about his daily class schedule, can
upload assignments, and notices to the students.
 To manage the accounts of the student and faculties and to upload the latest
information/notice about the college.
6. IDENTIFYING STAKEHOLDERS
Stakeholders are the persons who are directly or indirectly related or concerned to the
system of the organization for example, if there is a college, college administration,
working staffs, students, teachers, BOD members, shareholders are the stake holder of
that organization. Further, Stakeholders are categorized into two parts i.e.

a. Internal stakeholder
i. Faculties (schools) / Institutes employees
ii. Students
iii. Administrative Divisions employees
iv. Faculties (schools) / Institutes Management

b. External stakeholder
i. Unions
ii. Community
iii. Government – State and Federal
iv. Media
7. REQUIREMENT IDENTIFICATION

Functional Requirements

 Register new students.


 Record the attendance of students.
 Record the internal marks of students.
 Register a new teacher/employee.
 Register a new user for the system.
 Record the course details and subject information.
 Record the scholarship details and information.
 Generate various reports for all transactions in the system.

Non- Functional Requirements


In this system, the authentication of the user is an important factor. In this system, user
validation will be done by login by user name and password and classified by user type. Users
will get access to the system as permissions are classified for that type of user.

The system has user friendly and simple interface so that the system is easy to use and in the
interface of our system buttons and forms are used to enter data related to a specific module
which makes easy for the user to operate our system.
8. FEASIBILITY CRITERIA

Technical feasibility
Many technical parts are required for this project. We studied this project and found out that
this system can be upgraded if needed and added more features in future according the need of
the system owner. We researched and found out some things.

 This system is feasible for current technology.


 Present technical resources are sufficient for new and upcoming systems.
 Who owns it can upgrade this system easily if they have easy knowledge of
programming.

Economic feasibility
This system is budget-friendly. And it is cost-effective. The full system cost is intangible. It
requires minimal hardware. Some questionnaires should be done as data collection what type
of functions are needed for the systems.

9. SECURITY CONSIDERATION
Security measures cannot assure 100% protection against all threats. Therefore, risk
analysis, which is the process of evaluating system vulnerabilities and the threats facing
it, is an essential part of any risk management program. The analysis process identifies
the probable consequences or risks associated with the vulnerabilities and provides the
basis for establishing a cost-effective security program. Risk management is the process
of implementing and maintaining countermeasures that reduce the effects of risk to an
acceptable level.
Various activities such as different softwares testing, proper set of codes, separate risk
assessment database for future use, proper allocation of time for development as well
as software testing procedures such as unit testing, black box testing, white box testing
are done thoroughly to maintain security as well as reduce risk in our system. Before
developing this software, proper research and understanding on business risk, testing
risk, premature release risk and software risks are properly analyzed so that adequate
risk management and full security is provided to the data and system. Besides that,
facility of regular maintenance and implementation makes our system cool enough that
can handle day to day queries of maximum users.
