1.0 INTRODUCTION

Most firms use both new and old technology, and there is an unspoken rule that says
to replace hardware and software when it becomes antiquated or when systems fail. This is
typically because people think that making a radical change would be too disruptive, whereas
a gradual transition would be more acceptable. There is probably some outdated gear or
software that needs to be replaced immediately, but you just haven't gotten around to it.
Outdated technology refers to outmoded computer hardware, software, technology, services,
or procedures that are no longer employed even though it is still functional. When a
technology is replaced with a better or newer one, it frequently becomes outdated.

When current technology does not allow for product repair or remanufacture,
computer peripherals become obsolete. The capabilities of the original product maker are
outclassed by advanced technologies, making it impossible to remanufacture obsolete devices
like central processing units (CPU), memory chips, and network interface cards (NIC).
Product redesign is not always economical due to problems with performance, cost, and
functionality.

Unfortunately, there are considerably greater concerns associated with utilising


outmoded technology in the workplace than just discomfort and annoyance. Older legacy
systems are more susceptible to cybersecurity vulnerabilities, and the financial and
reputational consequences that might result from these breaches can have a significant
negative impact on a company's bottom line.

2.0 CHALLENGES OF I.T IN BUSINESS

Since we live in the 21st century, there is definitely some old technology or software
that needs to be upgraded right away owing to changes in trend over the years. With the use
of outdated technologies, there are several issues for IT in companies.

2.1 High maintenance costs


The cost of maintaining outdated legacy systems might be high. The only significant
difference is that technology ages much more quickly than a very old house or car would. A
really outdated PC, for instance, may not be able to handle too many applications running
simultaneously, which could lead to overheating and irreparable damage to the PCs. Some
people would rather make a small upgrade to their PCs than purchase a brand-new one, such
as adding more RAM. However, this option does not seem to be worthwhile due to the high
cost.

2.2 Decreased productivity


With the old technology, it will run slower, tends to take longer to complete tasks, and
necessitates far more time-consuming maintenance, patches, upgrades, and help desk calls.
Decreased productivity can cost your company money in terms of revenue and return on
investment (ROI); you get a lot more out of productive staff than those that spend the
majority of their time attempting to make their equipment work. Not to mention the expense
of staff and customer retention and satisfaction.

2.3 Data loss when the software fails


The Federal Emergency Management Agency (FEMA) reports that 40% of
organisations that experience data loss wind up permanently ceasing operations. Legacy
systems were created decades previously. Anyone can experience data loss, especially if it
results from a natural occurrence like a laptop stolen or a mistakenly deleted file.
However, businesses may still reduce these risks by encrypting data and often
performing cloud backups. Since they store data in spreadsheets and local storage rather than
having these built-in features, outdated technologies may be lacking in this area and leave
you vulnerable to data loss. The firm barely has the means to afford such a loss in a society
where data is the new oil.

2.4 Operating system bugs
Generally, the operating system creates the environment in which all of the
company’s software runs and connects. If the company uses out-of-date programming
languages, the business’ operating system may have a lot of bugs. Integrating diverse
software systems, such payroll, databases, or project management, is a requirement of
modern business processes. Then, a collection of antiquated programming languages in a
single application is sufficient to bring down the entire operating system. If not, the system
still has a significant risk of corruption.

2.5 Data and Cyber Security


The network and gadgets become more susceptible to outside influence, as was
already discussed, which is one of the technical issues with employing outdated technology
or systems. Technology's security flaws become more apparent as it gets older, therefore the
older (or the longer it goes without an update) a technology is. Generally, the more
vulnerable it is in terms of security. For instance, more recent releases of software frequently
come with security fixes that have been found, patched, and pushed out with the new release.
These security flaws are not fixed if the company never upgrades to the most recent version.
Systems used by the organisation will become clumsy and slow as a result of outdated
technology. The provider may no longer support it, and it may also no longer be dependable.
As antiquated technology is kept using older versions, security flaws can accumulate over
time and make it more and more vulnerable. As a result, if the computer is acquiring more
viruses and needs to pay for IT staff to remedy more security flaws, it may be time to
upgrade. Then, cyberattacks on the systems will happen frequently. Updates to firmware and
occasionally even hardware are used to deliver many important security patches intended to
close existing gaps or vulnerabilities. Everyone who interacts with it, from employees to
customers, will be subjected to security concerns if an upgrade isn't made. Although investing
in new and enhanced enterprise technology solutions is undoubtedly an expensive and
difficult process, no firm should disregard it. Staying on newer, more secure hardware and
software is at the very least worth the data and cybersecurity enrichment. Additionally, 60%
of small firms concur that cyberattacks have gotten more severe and complex over the past
few years. In order to lower the danger of a potential breach or assault, the organisation must
take advantage of every chance to strengthen security.

2.6 Overspending
The amount it costs to keep out-of-date equipment operating efficiently is maybe one
of the most evident symptoms. It's still possible that older technology is preventing newer
technology from saving money on costs, even if not paying a lot for maintenance and repairs.
In light of the fact that modern technology is frequently more effective (especially cloud-
based technology like cloud phone systems), it could be time to change if you start to find
that other firms nearby are paying less. At least must upgrade the servers every 4 -5 years,
desktop computers should be every 5 years while laptop computers should be replaced about
every 3 – 4 years and operating systems should be updated as often as possible, when the
provider notifies an update available. Additionally, everyone in the organisation must keep
their gadgets updated. The business received no benefits from utilising antiquated
technologies. But the other. The organisation may reap significant benefits from switching to
modern processes and technology for many years to come. The money spent on updating
outdated technology at all levels is well worth it.
