ORDERS AND FULFILMENT

● WHAT IS AN ORDER LETTER?


An order letter is a formal letter written to confirm the list of items you would like to
purchase. The purpose of an order letter is to provide the manufacturer or distributor
with instructions in detail.

● What are the contents of an order letter?


An order letter should contain the terms and conditions of the purchase. It is
important to provide the products required, all the specifications of the product and
the quantity.

● the methods of preparing for delivery after placing an order and payment.

A. Placing Ordered

❖ The type of goods, quantity, price, and PO number in general are listed on the PO
document.
❖ The more specific the order, the more details are included and it will make the
purchase order activity more effective.
❖ When a seller, supplier, vendor and others accept a PO, a legally binding contract is
drawn up between the two parties.
❖ The function of placing an order is: a purchase order with a PO will provide a sense of
security from additional fraud and secure the availability of materials at the desired
price.
❖ Some things that need to be considered when placing an order:

· the company's identity clearly

· Include any details that you will order

· Clearly state the manufacturer or supplier you have chosen.

· State the media as an advertisement for the products being offered (if
necessary).

· State the form and quantity of the order in detail.

· State the delivery method, delivery time, payment method, and also the
shipping method you want.

· Include the PO (purchase order) number.


B. Declining Orders

❖ This situation will always be encountered by a businessman.


❖ Therefore, the most important thing is that we have a strategy to get out of this
situation.
❖ One of them is to think of strategies to overcome the decline in sales.
❖ What caused the drop in orders?

1. Product quality
2. Marketing strategy
3. Service
4. Business locations
5. Business competition

A. Packing and Despatch

Packaging means protecting, maintaining conditions, moving, and informing products so that
they are sold and used by consumers.

Among them that need to be considered are:

1. Heavy

2. Price

3. Regulation

4. Fragility

the following are things that the seller can raise in packaging:

1. Housing the packaging

· Material

· Power

· Size

2. Doing Goods Packaging

Apply the following steps in packaging goods:

· Fill in the empty box with pieces of paper cut originally so that the goods
do not move places while on the way
· Place the contents of the shipment in the center of the box with a minimum
distance of 6 cm to separate it from the wall or outside corner, then put
between paper and foam to reduce vibrations from the outer wall

· Wrap each item and use a separator. When many items in each package are
of the same type or the same size, give each package a wrap and provide a
screen to keep the position and separate from the others

3. Sealing with Duct Tape

The type of duct tape used:

· Brown Plastic Duct Tape

· Electric Vinyl Duct Tape

· Duct tape / black duct tape with cloth

Avoid using the following duct tape:

· Paper Duct Tape

· Clear Duct Tape

· Rope

● What is the format of an order letter?


An order letter must contain the following information:
❖ Sender’s Address
❖ Date
❖ Receiver’s Address
❖ Subject
❖ Salutation
❖ Body of the Letter – consisting of the list of items you want to buy or what you
have sold
❖ Complimentary closing
❖ Signature
❖ Name in block letters
❖ Designation (if any)
