STEP BY STEP GUIDE

HOW TO UPDATE INSTITUTE’S


PROFILE IN NAVTTC-PMS
PREPARATIONS

1. The record of following shall be in picture format (JPG, JPEG, PNG) with
picture size 50 KB for the Logo and 250 KB for all the other photos
i. Institute / training partner main building as cover photo
ii. Logo of the training partner
iii. Affiliation Certificate
iv. Registration Certificate
v. Accreditation Certificate
vi. Health & Safety Photos
a. First Aid Facility Photo
b. CCTV Camera Photo
c. Fire Extinguisher Photo
d. Water Filter Photo
vii. Canteen Photo
viii. Reception Area Photo
ix. Counseling Office Photo
x. Security Guards / Arrangements / Checkpoints Photo
xi. Personal Belongings lockers Photo
xii. Toilets Photo
xiii. Library Photo
xiv. Auditorium Photo
xv. Hostel Photo
xvi. Transport Photo
xvii. Internet and Printer Photos
xviii. Trade-wise Photos of (Classrooms, Workshops, Consumables,
Equipment & Machinery)
xix. Trade-wise teachers’ photos
xx. Trade-wise seats allocation / approval by Boards (in case of new
institute)
2. The record of following shall be in PDF format (max size 1MB):
i. CV / Resume of Teachers
ii. Last Audit Report
3. Excel format - trade-wise employment status of graduates (including un-

employed) – last academic-year
4. Institute Details (like GPS location, Budget Allocation and Utilization, Mis-
sion, Vision and Objectives of training partners, area of institute (covered /
total area)

If all above record is available in softcopy then use


the following step-by-step guidelines to upload the
information on NAVTTC - PMS

NOTE

1. Every step / information provided by the training partner contains marks


(+/-) in selection and ranking of institutes / award of trades / seats, therefore
training partners shall be careful in providing / uploading information in
the NAVTTC - PMS System.
2. Incomplete, partial, wrong or fake information would result in disqualifica-
tion of institute.
3. Training partners not-registered with appropriate relevant bodies will be
considered ineligible.

STEP 1 - SIGN IN
Open any internet browser in your computer
Type https://nsis-institute.navttc.gov.pk/sign-in in the browser and enter your
username and password (already created on PMS when you applied online)
and click on ‘Sign in’ button.

If you entered wrong username or password, a warning will appear. You may
retrieve user and password by clicking on “Forgot Password” Button.

STEP 2 - COVER PHOTO & LOGO
Click on the icon at the top right corner of the website and upload your cover
photo (picture of the main building) in JPG, JPEG or PNG format with maxi-
mum size of 250 KB. Upload your institute’s logo by clicking on the icon at the
left side of the cover photo in JPG, JPEG, PNG formats with maximum size of
50 KB.

STEP 3 - PROFILE DETAIL


Under ‘Profile Detail’, click on the edit icon, add/edit your profile information.
Set your institute’s location by using marker on the map and the latitude and
longitude will be automatically be updated. Click on ‘Update’ button to save
your information.

STEP 4 - INSTITUTE AFFILIATIONS/RECOGNITIONS

Click on the edit icon in the first box. If you are affiliated with any board/com-
mission or university, select the name from the dropdown menu and attach ev-
idence picture (JPEG, JPG, PNG, max size 250 KB). Select ‘none’ if your institute
is not affiliated. Please note that each parameter contains marks.

Now click on the edit icon of the second box and select name of the body/orga-
nization you are registered with. Also attach evidence picture (JPEG, JPG, PNG:
max size 250 KB). Select ‘None’ if your institute is not registered. Please note
that each parameter contains marks.

If your institute is accredited, select name of accrediting body from the drop-
down menu or select ‘none’. Attach evidence picture (JPEG, JPG, PNG: max
size 250 KB). Please note that each parameter contains marks.

STEP 5 - HEALTH & SAFETY


Scroll down to ‘Health & Safety’ section. Fill all four boxes by clicking on edit
icons. Attach picture evidences that your institute has the First Aid Facility and
CCTV camera, fire-extinguisher and water filter installed. Please note that each
parameter contains marks.

STEP 6- INSTITUTE MISSION/VISION
Add institute’s mission, vision and objectives by clicking the edit icon. Are your
mission, vision and objectives displayed on your website, prospectus or notice-
board? Tick the appropriate options respectively under each category. Please
note that each parameter contains marks.

STEP 7 - AREA/OWNERSHIP DETAILS

Click on edit icon and add total area and covered area in square feet. Whether
your institute’s property is rented or owned? Select appropriate option from
the dropdown menu.

STEP 8 - FINANCIAL POSITION (BUDGET UTILIZED/ALLOCATED)

Click on the edit icon at


the top right corner of the
section.
Mention your allocated
budget and amount
utilized for non-teaching
staff, teaching staff,
consumables, extra-
curricular activities and
other expenditures.
Note: Do not leave
any field empty. Only
numerical values are
accepted. Budget
utilization value should
be less than allocated
budget.

STEP 9- AUDIT REPORT
Click on edit icon, tick if your accounts are audited. Type audit year and audited
date. Attach audit report and click on ‘Save Record’ button.

STEP 10- INFRASTRUCTURE


Once you have filled all the sections profile, click on the ‘Infrastructure’ tab at
the top right corner under the cover photo.

STEP 11 - INFRASTRUCTURE DETAILS

Add infrastructure details by clicking edit icon. Mention total number of class-
rooms and computers available in your institute.

Answer all the questions with Yes or No. Mention internet speed and if your
institute has auditorium, mention its sitting capacity.

STEP 12- INFRASTRUCTURE EVIDENCE
Attach evidence pictures of institute’s infrastructure against each category
(JPEG, JPG, PNG; max size 250 KB).
Note: Each parameter contains marks. Do not leave any field empty and
provide/upload complete information.

STEP 13- TRADES


After filling infrastructure information, scroll up and click on the ‘Trades’ tab at
the top right corner under the cover photo.

STEP 14 - ADD TRADE RELATED DETAILS

Click on edit icon at the top right corner of each trade box. Provide number of
class rooms, labs/workshops, enrolled candidates, training capacity, and name
of accreditation body. Click on ‘Save record’ button.

STEP 15 - UPLOAD PICTURES

Upload pictures of the classroom and lab/workshop in JPEG, JPG or PNG.

Click on ‘Last Year Employment Summary’ and upload candidates’ list in xls, xlsx.

Click on trainer’s summary and hit the + icon. Add trainer’s details and upload his/
her resume in pdf format (maximum size limit 1 MB). Click on Save Record
button.
