Microsoft Project Lab 2


Creating a Task List

Purpose
The purpose of this exercise is to learn how to enter tasks and subtasks on MS Project,
estimate and enter the duration of the task. In addition, you will also learn how to create
milestones.

Method
We will continue with the project you worked with in the last lab exercise. Attached is a set
of activities that must be undertaken in order to complete the Systems Analysis phase of
your project. These activities are entered as tasks on MS Project.

1. Launch MS Project if necessary and open the project that you worked with in Lab 1.

2. In most instances, rather than entering all the tasks, it is better to enter the top level
activities first. This will provide some flexibility later.

3. On the first cell directly below the Task Name column, enter “Phase 1 – Project based
Activities”. It assigns a task number for identification purposes. This task number has
nothing to do with the sequence of activities.

4. Enter on succeeding cells all the activities on the activities sheet up to and including
Phase 2 and its sub-activities. Do not include the “(Milestone)” parenthetical remark.
Do not worry about indenting the sub-activities. We will work with these sub activities
later. Note: because the Interview Users activity needs to be done 3 times, you have to
enter this activity and its sub-activities 3 times. You may label them, Interview User 1,
etc. To minimize the typing, after you have done the first one, you can highlight all the
activities related to User 1 and copy them the subsequent cells. Remember to change
from User 1 to User 2. (For now, ignore the Task Mode column)

5. Save the project as “SA Project – Lab 2” on your H: drive (or another place you can
access later).

6. The next step is to enter the duration of the activity. The duration is the estimated
amount of time it will take to complete the project. For MS Project, the duration can be
minutes (m), hours (h), days (d), weeks (w), or months (mo). Note that if the regular
work day is 8 hours, then a duration of 16 hours is the same as 2 days and can be
entered either way.

7. On the attached sheet, the estimated time is given. Note that the summary activities
do not have any estimated time. Their time will automatically be calculated based on
the sub-activities. To enter the estimated time, under the Duration column for Task 2
(Project Start-up), enter 1d and for Task 3, enter 4d. Alternatively, you can use the
arrows on the side of the box (for 1 week, enter 1w; for 1 hour, enter 1h). Notice the
changes on the Gantt Chart.

8. For a milestone, such as the Project Charter, enter a duration of 0d (zero days). Notice
that there is a diamond on the Gantt Chart to signify that this is a milestone.

9. Enter all the other estimated times from the attached sheet except for the Weekly
Meetings activity. This will be dealt with separately. Copy and paste to simplify data
entry.

10. Next, we need to group the activities together into summary activity and its sub-
activities. To do this, highlight the sub-activities (Project Start-up, Project Planning, and
Project Charter) and click on the Indent arrow (green arrow on the Task tool bar).
Notice how the duration on the summary activity changes. Do the same for the other
activities. Note that in Phase 2 section, there are sub-sub-activities. How are you going
to treat these? Notice the changes that are happening.

11. Save your work. You will need this again for the next lab.
