Design Review Progress Report, Oral Presentation

1
Begin with a good plan … …follow through in execution
 maps  Team work
 Equipment  Testing
 Study  Documenting
terrain
 Presenting
 Avoid
pitfalls  Reporting progress

Notes from Ted Herman Agenda

 This is not what we are trained to do o An aside: December review

 The task is huge 1. Progress report / progress review
 Your schedule is probably already wrong 2. Oral Presentation
 Set hard limits on the time to decide on tools, platforms, 3. Final Report
etc. 4. Design Fair
5. Misc. Administrative Stuff

Individual Progress Report / Evaluation –
Why They’re There
Individual Progress Report

–Project View:
• To allow reevaluation of position and adjustments if required  A group progress summary plus individual reports
• To access overall project progress
• To access individual contributions and progress

Group
Progress Individual reports
summary (for each student)

 What you have accomplished since the Design Review)

Hints for the Progress Report Wishy-washy ≠ Credible

 Credible (supported) statements about accomplishments Background statement  Reference [link to tasks &
(completed & underway) requirements]
Development Activity done  Test

 Unfinished activities are less comforting Example --

(What does “Select processor 50% done” mean???) “I finished the analog-to-digital conversion routine”
• is it coded?
• does it compile cleanly?
 Indicate problems you’ve encountered and overcome • does it work with some input randomly selected?
through your creativity and hard work. • does it work with a carefully-designed set of test cases
that cover all operational situations?
This is why you have been told repeatedly to • Sample evidence: photos, simulation plots, screen shots,
have an engineering notebook!!!! schematics, flow diagrams, etc.

3
Note: Writing vs. Communication Tip from Ted Herman
This is not about writing. This is about communication.
Keep an “evidence trail” on the work you
Figures & do. We took too much time on our
Charts
Lists &
Tables &
progress reports because we had to
Bullets
Headings
recreate evidence and remember what we
had done.

Oral Presentation – Why It’s There Oral Presentation Format

Project View:  Evaluated but unmarked dry run THEN

– Faster information flow, lower volume than written report;  Marked final presentation
questions possible
– (by administrator) Grading session
– To be able to measure progress
– To inform third parties of project
 Will have opportunity to select dates (watch your email)
 Bring your own laptop
 Presentation length depends on team size
 Questions from audience

Presentation Format Presentation Format

 Quick flow; low volume  Build your presentation around important points, using
 Try to include necessary pieces, but make the format the grading evaluation form. To some degree all of the
your own. following are expected:
– Motivation
 Avoid a chronological account of your project
– Project goals and specifications
– System overview
– Progress update
– Conclusions

Oral Presentation (Typical structure) Agenda

o An aside: December review

 A title slide 1. Progress report / progress review
 An outline of the presentation's contents.
2. Oral Presentation
 Introduction (explain to those not familiar with your
work the background and motivation for your project) 3. Final Report
 Objectives (what you set out to do) 4. Design Fair
 Describe design, accomplishments, & milestones
5. Misc. Administrative Stuff
 Summarize progress and future work
 Conclusions (what you covered in your presentation) 6. Extra Materials:
o Poster Design
Question: How do you (or can you) rework this and o Ethics Reviews
use this to make your presentation interesting and
reflective of your enthusiasm in your project,
without sacrificing important content???

Supervisor Tell us what the problems were!

50%  Be honest, don't pad
– administrator and supervisor familiar with work, just need to know
Administrator 17% what you finally accomplished

Leveraging your past work Final Group Report

Preparing your final report, poster, and demo from the start  Key additions
– Documentation and assessment of final design
– System testing and results
– In some cases, a better articulated goal and requirements
 Accomplishments need to be concrete tied to goals and
requirements
 The report is a shared, team responsibility
– everyone contributes and makes clear which portion they write
 Generous use of Diagrams!!!! Tables!! Lists!!!
 Follow final report guidelines

The Last Word from Ted Herman Highlight your accomplishments

 Save time by clarifying expectations

The work I did in ECE496 got me a job  Discuss with supervisor
– Supervisor’s grade is more heavily weighted now
We started badly, realized our problem.  You’ve already received expectations from administrator
The fix was: from past reports
• Weekly “must attend” team meetings with subtask – Marked progress reports are with supervisor
assignment and peer pressure to finish them – Contact your administrator if you have trouble getting back your
marked reports
• Business first; friends later

Design Fair – parts Preparing a Design Fair Demonstration

1. Poster ALL groups must demo: Show the work is done or

2. Presentation / Demo / Questions demonstrate some key concept of the work

Your message to visitors:

"Here is the problem and why it's important. Here is what
we accomplished, and proof that it works."

Preparing a Design Fair Demonstration Resources for the Design Fair

 Think through its impact on a visitor

 Provide a fluid connection to the poster  Some stations are simply a table (i.e. without a power
outlet, network connections, computer, etc.)
 Highlight accomplishments
 If your demonstration requires special equipment or
 Leveraging past work
facilities, you must notify Mike Mehramiz
– Review the acceptance test from your Project Proposal
• Example: cataract diagnosis
 Consider both live and static or constructed • Deadline: Mon. March 11th
demonstrations

What will you need in terms of resources to do this?

10
Time Conflicts with Design Fair Design Fair – grading

 Supervisors often grade outside the Design Fair

 Design Fair takes place Tues-Thurs, April 2, 3, 4 6:30- to have more time to better assess what you
9pm finally accomplished
 Teams will be assigned a night by Mike Mehramiz  Your grade from the administrator will be based
 If entire team has a schedule conflict on any of the on the following criteria:
evenings, must contact Mike • the quality of the presentation material
• Deadline: March 11, 2012 • the ability to explain your work
• Project title change • the ability to provide correct responses to
• Equipment requests questions posed by the administrator
• Schedule conflict notification • project progress and complexity
• a successful demonstration
