1: Introduction

Purpose
The Gmail Client which we have developed is basically fulfills the needs of college system
in terms of assistance, sending notices to the college staffs, students, sending the daily
updates to the people of the college, sending the results to the students which can be
internal exams or external exams results through our mailing system.

College Mailing System consists kinds of users, one is Administrator and the other one is
user. Administrator will have complete control on users accounts(other than
administrator), complete control in the sense like administrator can change the password
of the users if he wants to restrict them from login into our mailing system and like so. The
one of the important feature of our Gmail Client is that intranet mailing interaction can be
done in an easier and in a convenient way.

Document Conventions

We have used Times New Roman (text size 12).Bold Font is used for Main Headings
(text size of 14). Bold, Underline and Italicized font is used for Modules (text size of
14).Underlining is done for technically important words……

Project Scope

Our project better suits for intra organization such as Colleges, Company’s etc where they need
efficient communication between users and effective control by the admin of the site.

2: Overall Description

Product Perspective

Goal or aim of our project college mailing system is to enhance the features of existing
mailing system and utilize the existing system features such as mailing communication and also
to import new features such as central control of our website by the admin of the organization
such as company, college etc.

Product Features

 It provides Intra College mailing in an easier and in a convenient way.

 Can be used to send any kind of notices such as exam tables or attendance
or information regarding any kind of due fees to be paid onto the students

login accounts in our Gmail Client.

 The head or the administrator can have the complete control on our Gmail Client which
is one of the important features of our project.
 This mailing system can be used before and after appearing for the internal or
External exams wherein user should send the mail to the administrator mentioning

His/her present thereby administrator will send the acknowledgement in the form of
mail, this can also be useful for the college management wherein students appearing

for the exam if falls in different batches, say morning batch or afternoon batch, than
admin can block the passwords for the afternoon batch students if the exam is for
morning batch students, thereby the afternoon batch students cant send the request of
their present as they cant login in the morning batch , as their login ids will be
temporarily blocked by the administrator.

Also it will be useful, when head of the college or admin checks the status of students
such as his/her attendance, fees etc. Considering this details admin will send the acknow

-ledgement to the student when his/her attendance, fees is clear. So that after receiving the
acknowledgement student will appear for the exam, whose exam paper will be evaluated only
when student gets clearance acknowledgement from the admin or head.

User Classes and Characteristics

As it is fully user compatible software that maintains rich user interaction. It will

project is to provide effective and efficient intra mailing system, which can be effectively
controlled by the admin or head of the college.

Operating Environment

Software Requirements used are Windows XP/LINUX/MAC or any other latest versions.
For the back end software we use the MY-SQL,server. Hardware Requirements used are P4
processor, 512MB of main memory (RAM) and 100MB hard disk and data base memory.
Design and Implementation Constraints

The software is designed in such a way that the user can easily interact with the screen
because they are GUI and user or applicants must enter the required field provided in the front
end screens in order to proceed further , as we are using the validation controls in our
application.

Assumptions and Dependencies


Our project better suits for intra organization such as Colleges, Company’s etc where
they need efficient communication between users and effective control by the admin of the site.

3: System Features (Modules)


User module:

User/Student will register to our website, once after login he performs the following tasks:

Sending mails to the members and to the admin

Receiving mails from members and from admin

Deleting the mails

Viewing sends items and deleted items

Adding contacts

Admin module:

Administrator will have complete control on users accounts(other than administrator), complete
control in the sense like administrator can change the password of the users if he wants to restrict
them from login into our mailing system and like so.
4: External Interface Requirements

User Interfaces

This Software include sample screen images such as user interface, interacting with database,
any GUI standards or product family style guides that are to be followed, screen layout
constraints, standard buttons and functions (e.g., help) that will appear on every screen, keyboard
shortcuts, error message display standards, and so on.

Hardware Interfaces

It is the application software for the individual client not for the sharing application. So we use
all the hardware requirements as separate for each system. We need system with P4 processor,
512MB RAM and sufficient database memory.

Software Interfaces****

SQL server is used for creating the local and global database (server).Microsoft Visual Studio
2005 IDE. Operating system: Windows 2000 SP2 or higher version.
