CST04101 - BASIC COMPUTER APPLICATION

 It is a complete presentation app that enables you to produce


professional-looking presentations and then deliver them to an
audience.
 Microsoft PowerPoint is very powerful and mostly used presentation
application.
 It is available in Microsoft Office package software.

 Quick Access Toolbar shows most frequently used commands. It can


also be customized.
 Document Title shows a name of document.
 Ribbon contains a group of tabs. Those tabs contains buttons
organized into groups.
 Active slide is the currently displayed or presented slide.
 Zoom used to zoom in or zoom out an active slide

PowerPoint has four (4) types of views buttons.
1. Normal View
2. Slide Sorter
3. Slide show
4. Read view (Available in latest versions of MS PowerPoint)

 It is a default view in MS PowerPoint.


 It is used when building or editing PowerPoint presentation.
 PowerPoint opens presentation document in normal view by default.
 It shows slide list on left window and active slide on the right window.
 It doesn’t show animation effects when displaying active slide that contains
animations.

 It shows slides in grid view.


 It is the best view when you want to sort your slides because it shows as many
slides as possible at once.
 You can re-arrange slides by dragging slide from one position to another.
 It also doesn’t show animation effects.
 Adjust number of slides that can be viewed at once by zoom in or out.
- Zoom in reduces number of slides on display
- Zoom out increases number of slides on display

 It shows an active slide only.


 It uses the entire screen of device (Computer, projector, mobile etc..). Nothing else
will be displayed other than active slide.
 It is mostly used in presentation of ideas to the audience
 In slide show, you can use navigation buttons to navigate from one slide to another.
- ( → or ↓ or N ) go to next slide.
- ( → or ↑ or P ) go to previous slide.
 You can not edit or modify anything in active slide on slide show mode.

 It works the same as slide show view.


 It shows active slide only.
 It has top and bottom bar.
 Bottom bar located at the bottom of active slide and it contains slide navigation
controls, slide number and view command buttons.
 Top bar located on top of active slide and it contains presentation/document title.
 You can not edit or modify anything in active slide on a read view mode.

 You can simply create new slide by click New Slide command button located on
slides group in Home tab.
 You can also use shortcut command (Ctrl + M) to create new slide.

 Once you create a new slide, you can pick a slide layout of your choice.

 Slide layout defines arrangement of contents in a slide.

 To select layout for your slide, click Layout command button on slides group in home tab. It will open
dropdown menu containing several layouts in which you can pick one of your choice.
 Contents are added on top of slide layouts.

 You can also create new layouts or editing the existing layouts.

 In PowerPoint, you can use the mouse to select words, lines, paragraphs, and other
large blocks of text.
 Press and hold the Ctrl key to select
NON-consecutive text.
 If you want select all contents in specific slide layout box, just select the layout box.
 To select all contents in specific slide, you can use shortcut command [Ctrl + A]

Multiple nonconsecutive selections Select the first selection, then press and hold [Ctrl] as you select each additional selection

An entire document Triple-click with the selection pointer to the left of any text, press [Ctrl][A], or click the Select button in the Editing
group on the Home tab, and then click Select All

 Find and Replace feature


 Use the Replace command or [Ctrl + H] to search for and replace all instances of a word
or phrase in a document
 Automatically find and replace all occurrences at once, or
 Find and review each individual occurrence
 Use the Find command or [Ctrl + F]to locate and highlight every occurrence of a word or
phrase in a document

 Flags possible mistakes and suggests corrections

 You still need to proofread your documents carefully for errors

 Use transitions to bring your PowerPoint presentation to life.


 Transition is animation style of specific slide.
 Each slide can have its own transition.
 Transition is triggered when you open or navigate to specific slide.
 There are lot of slide transitions including
• Morph
• Random Bars
• Split
• Curtains etc.

 To add transition
 Go to Transitions tab
 Open a slide that you want to add transition to.
 Select transition style you want.
 You can add duration to specify length of transition.
 Also, you can pick a sound to play during the transition from previous slide to this one.

 Animate slide contents by using different animation styles.


 You can add multiple animation styles in a single slide.
 Animation effects can be displayed on slide show and read view.
 To add animation
• Go to Animations tab.
• Select a text that you want to animate.
• Pick animation style that you want.
• You can pick animation start condition, animation duration and delay time on animation
timing group.

 Latest versions of PowerPoint allows you to add notes and comments to slides.
 Notes refers to block of text or details that can be added to an active slide in a
notes section.
 Notes are not displayed when slide is opened in slide show or read view mode.

 You can also add comment to a selected text or the whole slide

 Slides have header and footer


 Through Header & Footer you can add Footer text, slide number, date and time etc.
 To use header and footer
 Go to Insert tab
 Click Header & Footer command button

 These are predefined formats or appearance of slides.


 PowerPoint has built-in themes, but you can create or customize existing themes.
 To use themes
 Go to Design tab.
 In a Themes group, pick any theme you want. It will be applied to all slides.
