JOB HANDOVER

The purpose of job handover process is to ensure that before leaving the company, employee
has handover all files, documents, job or project to his/her direct supervisor or other employee
designated to be his/her replacement.

STEP BY STEP OF JOB HANDOVER


1. Direct supervisor will schedule job handover process with the employee.
2. Employee have to list down all hand over activity and mention the person to whom the job
being transferred as instructed by his/her direct supervisor.
3. The person who receive the files /documents, and other information related to the job have
to sign as he /she have received it from the employee.
4. Direct supervisor will re-check with the employee to ensure that all job handover process
have been successfully done before he/she sign in the below form as his /her approval.

ADVANCE CLEARANCE

The purpose of administration clearance process is to ensure that before leaving the company,
employee has clear all outstanding advances, loan, etc. with Finance Department.

STEP BY STEP OF ADVANCE CLEARANCE


1. Finance will list down all outstanding advances (incl. personal loan, etc if any)
2. During the clearance process, Finance should hold any payment to the employee. Any
exception regarding this matter requires the General Manager / Director approval.
3. Employee will be advised and have to make a clarification report as soon as possible.
4. Employee submit clarification report and Finance will prepare the Final Status Report of the
outstanding advances.
5. Any outstanding amount have not been clarified shall be deducted from employee’s Final
Payment Calculation.

RETURNING MAINTENANCE / ENGINEERING TOOLS

The purpose of returning maintenance/engineering tools process is to ensure that before leaving
the company, employee has return all maintenance/engineering tools equipped to him/her while
working with the Company.

STEP BY STEP OF RETURNING MAINTENANCE & ENGINEERING TOOLS


1. Maintenance/Engineering will prepare list down of tools that have to be returned by the
employee.
2. Employee have report and return tools item per item to Maintenance/Engineering or person
designated to take the responsibility of the tools.
3. Any loss or damage items will be valued by Maintenance/Engineering Department (Spare-
parts Keeper) based on it’s book value calculation or other calculation based on mutual
agreement between the Company and the employee.
4. After all tools are returned and reported, Maintenance/Engineering Department will sign as
their approval.

RETURNING COMPANY’S ASSETS

The purpose of returning company’s assets process is to ensure that before leaving the company,
employee has return all company assets facilitated to him/her while working with the Company.

STEP BY STEP OF RETURNING COMPANY’S ASSETS


1. HRD will prepare list down of Company assets that have to be returned by the employee.
2. Employee has report and return item per item Company’s assets to HRD or person
designated to take the responsibility of the assets.
3. Any loss or damage items will be valued by Finance Department based on it’s book value
calculation or other calculation based on mutual agreement between the Company and the
employee.
4. After all assets are returned and reported, HRD will sign as their approval.

ACCESS TERMINATION

The purpose of computer and other systems security process is to ensure that after leaving the
company, employee has no more authorization to access the Company without acknowledge and
permission from the management.
Access to the computer systems, magnetic card door access, ID Badge, etc. should be
terminated.
Connecting again the ex-employee to the company in a special condition, shall require
management approval.

STEP BY STEP OF ACCESS TERMINATION


1. HRD will prepare announcement regarding the effective resign date so that other employee
who still have an outstanding matters with the resign employee may aware to make a
settlement as soon as possible.
2. Magnetic Card Door Access, ID Badge, Keys, Computer Access etc shall be returned and
terminated. It will be IS Department responsibility.
3. IS Department prepare a report by fill in the below form to ensure that after leaving the
Company, employee will no longer have the access to the Company.
