LESSON

People participate in fitness events for some health issues and concerns like
cancer, obesity, depression, stress, nutrition, high blood pressure, high cholesterol,
and many more. Through participation in fitness events, it is easier for people to
join with other groups and find support and motivate each other. It also builds
friendships and shares knowledge about the benefits of the event. Become aware of
the opportunities to be physically and socially active to overcome these health
issues and concerns.
The objective of the organizers of fitness events is to raise funds for
awareness about these health issues and concerns. Depending on their advocacy,
fitness events may range from fun-filled activities that can engage the entire
families and community to more physically demanding ones. Participation in
fitness events not only increases your activity but also gives you advocacy to work
with the group.
Examples of Fitness Events
Zumba Fit Challenge, Fun Run (3 km., 5 km., 10 km.), Hip-hop Dance
Contest, and Weight Loss Challenge
Organizing a fitness event will become a success if the organization has good
management skills and good qualities of a leader.
Organization
Organization is the structural planning of roles to implement necessary
functions. The total development of an individual is centered on philosophically
sound program structures and activities.
Management
Management deals with tasks and accountabilities to accomplish the
objectives through cooperation. It requires harmonious effort amongst members to
fulfill the target objective.
Importance of Management

 Assists individuals to realize their objectives or goals.

 Provides guidelines in the collaborative strengths of people.
 Defines the group’s development, efficiency and accomplishment of goals.
 Defines whether members within the group are contented, cooperating, and
productive.

Functions of Management
Management involves five major functions namely: planning, organizing,
staffing, leading, and controlling.
 In Planning, program strategies are laid out to achieve the desired outcome. It
includes processes such as forecasting, developing objectives programming,
scheduling, budgeting, and formulating procedures.

 Organizing aid in developing a group structure with a definite scope of work for
every member. This includes the development of the organizational structure,
delegation of responsibilities and work, and the relationship among the
individuals.

 Staffing is the recruitment, selection, and retention of members wherein they

are given an appropriate assignment with proper training and professional
development.

 Leading is directing the organization to motivate and empower individuals in

carrying out the program. Leading includes decision-making, communication,
selection of people, and enhancing the performance of individuals.

 Controlling ensures proper plan execution within the goals of the organization. It
requires monitoring, assessment, evaluation, and feedback which can lead to
re-engineering, reframing, or rewarding. Managers should continuously be in
control of what is happening under his/her jurisdiction.
Steps in Planning and Organizing a Fitness Event
1. Set Your Goals for the Event
You should have goals in mind that you want to achieve. This will help
navigate the planning process. Consider your objectives for your participants.
2. Determine Your Budget
Your budget is a big factor in the event planning process. It dictates what
you can and can’t afford to do.
3. Choose the Location
The location you choose is dependent on the type of event you’re planning.
4. Make a Checklist
Lists help to keep you accountable and know precisely where you are with
event planning.
5. Set a Realistic Timeline
Your timeline will be dependent on the type of event your hosting.
6. Plan Marketing Strategies
Think about using Facebook ads, word-of-mouth marketing, email, and
push notifications to share the news of the event.
7. Manage Logistics
Consider the number of participants attending, think about the plan for the
capacity of the venue, entry, and exit to avoid problems during the event.
8. Invitations
How will you invite the participants? Is it a paid event or free for all to come?
If it’s a members-only event, you can send out personalized invitations via email
to all participants.
9. Send a Reminder
Send out a reminder to all participants so that your event is fresh in their
minds. You may want to send a friendly reminder a week or before, then again
the day before. This may be in the form of a text, email, or push notification.
10. Feedback
It’s a good idea to ask for feedback after every event. No matter how
successful they are, you can always learn and evolve. Try giving quick feedback
forms to all participants before the end of the event.
