CHAPTER 1
INSTALLATION & CONFIGURATION
INTRODUCTION
WebView is a web-based communication module that allows users of certain System i modules
to use a PC to access and act on EZeMail/400 email, EZFax/400 faxes, ESignature documents
and EZConvert/400 files.
EZeMail/400 and EZFax/400 users can:
• Redirect email to fax and vice versa,
• resend an email or fax,
• release/hold an email or fax,
• delete an email or fax,
• view email and fax information,
• view email attachments in PDF format and
• view faxes in TIFF format.
Advanced fax or email searches can be carried out using index values or database values.
Detailed reports about fax or email activity can be created and displayed in a viewer but can also
be exported and saved in HTML, PDF, DOC and XLS formats.
ESignature users can:
• Locate an ESIG document using metadata,
• Display the form in PDF format,
• Add a captured electronic signature to the form,
• Save the signed form on the IFS in PDF format and
• Printed the signed form.
SECURITY
Security set up in the ACOM software on the System i to limit user access to EZeMail/400 and
EZFax/400 functions carries over to WebView.
The value in the Restrict to emails/faxes field in the ACOM Define Users utility controls a
user’s access fax and email transactions. Users can be allowed access to:
• all fax and email transactions created by all users OR
• only fax and email transactions created under their user ID OR
• only email transactions created under their user ID OR
• only fax transactions created under their user ID.

installed on a server or on a workstation PC.
Do not install WebView on any server that is running the ACOM EZContentManager software.

Navigate to the location on your PC containing the downloaded file and extract the software.
IMPORTANT
You need your Customer Key to install WebView. You can email [email protected] or call
800-603-6768 X133 to request a Customer Key.
Contact ACOM Solutions’ Technical Support at 800-603-6768 x601 if you need assistance after
following these instructions.
2. When the License Agreement window opens read the license agreement and click on
.
3. If your customer key is not displayed in the Customer Key Information window enter it.
Click on to continue.
5. If Java Runtime Environment (JRE-7 update 21 or higher) is not installed on this machine
you will be prompted to install it. Click on . Continue to step 6.
6. If JRE was not installed on your machine it will be installed now. Skip steps 8 and 9 if you
are not installing JRE.
8. If Tomcat is not installed on this machine you will be prompted to install it. Click on
. Continue to step 9.
If this message does not open, skip to step 16.
11. Select Custom as the type of install and select Core, Service, Native and Start Menu
Items as optional components. Click on + to expand the Tomcat menu if Core, Service and
Native are not displayed. Click on to continue.
15. Wait while Tomcat is installed. When the Completing the Apache Tomcat Setup Wizard
window opens, verify that Run Apache Tomcat is unchecked , then click on .
16. Wait while the software is installed. When the Installation Complete window opens, click
on to continue.
17. Click on .
19. When the EZLicenseManager window opens select I am online and would like to
activate now and click on .
22. Click on .
23. Click on when the message Activation code changed successfully displays.
24. Activation is complete when the Activation Complete window opens. Click on .
Enter a System i IP Address and the name of the Library where the ACOM Solutions, Inc.
programs are located.
Enter a User Name and Password for the ACOM Solutions System i software and click on
.
TIMEOUT FEATURE
The timeout feature logs the current user out of WebView after a specified period of time.
Go to the Settings>General tab and enter a value in the Session Timeout field up to 999
minutes. If you do not have *SECADM authority you will not see the Settings>General tab.
The WebView login window retains the IP address and Library information if your session times
out. Only your User Name and Password must be entered to log back in.
CHAPTER 2
USING THE DASHBOARD
DASHBOARD
The Dashboard EZeMail Monitor and EZFax Monitor display information about processed
and pending email and faxes. The information included in the display is determined by the
settings on the Settings>Dashboard tab.
Click on in an email or fax monitor column heading to sort the display by the values in that
column.
Note: A user’s access to fax and email transactions is controlled by the value in the Restrict to
emails/faxes field in the ACOM Define Users utility controls. See Chapter 2 in the
ACOM Solutions, Inc. Utilities manual for details about User Definitions.
Email Details
Fax Details
DASHBOARD SETTINGS
Settings on the Settings>Dashboard tab determine the information displayed on the Dashboard
EZeMail Monitor and the Dashboard EZFax Monitor.
Filter by Status
Select the statuses to include in the monitor display:
RDY Ready
RSD Resend
HLD Hold
SND Sending
SNT Sent
ERR Error
EZFax Monitor
Click on EZFax Monitor to customize the EZFaxMonitor content displayed on the dashboard.
Available Fax
The columns that are available for display on the Fax Monitor dashboard. Select an item and
click on to move it to the Selected Fax column. You can also drag and drop items.
Selected Fax
The columns that have been selected for display on the Fax Monitor dashboard. Select an
item and click on to remove it from the list. At least one column must be selected. Up to
10 columns are allowed.
The columns are displayed on the dashboard in the order in which they appear in the list,
with the item at the top of the list as the first column on the dashboard. Click on an item and
drag it up or down in the list to change its position on the dashboard.
Filter by Status
Select the statuses to include in the monitor display:

WORK WITH EMAIL
Go to the EZeMail tab to work with email documents, create email and manage email
configurations. The EZeMail tab will not be available if you have not purchased and licensed the
ACOM System i EZeMail module or if your ACOM System i user ID does not allow access to
EZeMail.
DOCUMENTS
Select Documents at the top of the EZeMail tab. A user’s access to email documents is controlled
by the value in the Restrict to emails/faxes field in the ACOM Define Users utility controls. See
Chapter 2 in the ACOM Solutions, Inc. Utilities manual for details about User Definitions.
Email Menu
Right click on an email entry to open the Email menu and select an action for that entry.
Actions that are not available for the selected entry are shown in gray.
Email can be:
• edited and re-sent,
• redirected to fax,
• released from hold,
• placed on hold,
• deleted,
• viewed and
• viewed with a PDF reader.
Display
The columns displayed on the EZeMail tab when you login are controlled on the
Settings>EZeMail tab. To change the initial display, go to the Settings>EZeMail tab, select an
item in the Available eMail column and click on to move it to the Selected eMail column.
To remove a column from the initial display, select it in the Selected eMail column and click on
. You can also drag and drop items.
The columns are displayed on the EZeMail tab in the order in which they appear in the Selected
eMail list, with the item at the top of the list as the first column on the tab. Click on an item and
drag it up or down in the list to change its position on the tab.
To make changes to the display while you are working in the EZeMail tab:
Search
Use the fields at the top of the display to search for specific documents.
The wildcard symbols ? and * can be used to replace individual letters or sequences of letters in
a search. Use ? to replace one character in a search. Use * to replace multiple characters.
Advanced Search
Advanced searches can be carried out using index values or database values.
Index searches use spool file data extracted by STEXT commands in an email document
overlay. Index data is only available when is an entry of *YES in the WebView field of at
least one STEXT command in a form overlay that is used to create email. (See example on the
next page.)
Database searches use values pertaining to email properties, for example: overlay name, subject,
sender, etc.
Multiple search statements can be included in a search, connected by AND or OR. To build a
search query:
1. Select Index Search to search for email using STEXT values. To build a database search
using email property values, leave the box unchecked.
2. Select a search criterion in the Column field. If this is an Index search the drop down will
list all of the STEXT commands available. When creating a data base search, the drop down
will list email properties.

6. To add another statement to the query, select AND or OR in the field to the left of the
Column Field. AND groups search statements. OR separates search statements.
7. Repeat steps 1 – 4 to build the next query statement.
8. Click on to run the query when all of the query statements are complete. The results
will be displayed in the document list.
Edit/Resend
Right click on an email entry and select to edit an email with a status of HLD or
to edit and resend an email with a status of SNT or ERR.
Only email with a status of SNT or ERR can be re-sent. Email with a status of HLD can be
edited and then released from hold so that it can be sent.
Edit the email entries and add attachments as necessary. See Create Email on page 3-9 for
information about the email fields and working with attachments.
Click on to save changes made to an email with a status of HLD. To send the email,
release it from hold.
Redirect
Use the redirect option to send an email attachment as a fax if email is not available. Right click
on an email entry and select from the Email menu to redirect an email to fax.
An email can only be redirected if it has a status of SNT or ERR and has at least one attachment.
If an email has multiple attachments, each attachment will be sent as a separate fax. Attachment
files in PDF, TIF, ASC and SCS format can be redirected.
Enter the Fax To, Fax From and Cover Sheet information if you are using a cover sheet. You
can create custom cover sheets on the System i via menu option 3, Work with Fax Cover Sheets,
on the EZFax/400 menu.
Release/Hold
Right click on an email entry in HLD status and select from the Email menu to
release it.
Right click on an email entry in RDY status and select from the Email menu to
put it on hold.
Delete
Right click on an email entry and select
from the Email menu to delete the entry. When
the confirmation message displays select Yes to
delete or No to cancel the deletion.
Note: The Delete function is only available if you have the ACOM Selected Access security
feature installed in your ACOM System i software.
View Email/Attachments
Right click on an email entry and select from the Email menu to view email details.
If the email has attachments, click on an attachment in the Attachments section at the bottom of
the window to view the attachment.
You can also view a PDF attachment by right clicking on an email in the list of emails and then
clicking on in the Email menu.
CREATE EMAIL
Individual email messages can be created and sent through WebView. Attachments can be IFS
stream files (a maximum of 10) and/or spool files from an output queue and/or files from a PC.
User access to the Create Email function is controlled by the ACOM Solutions Selected Access
security function on the System i. If Selected Access is not enabled, all users with access to
WebView can use the Create Email function.
Go to the EZeMail tab and click on Create Email.
Enter addresses, a subject and an email message on the upper part of the screen. Add attachments
to the email on the lower portion of the screen. Click on to send the email.
Information in the Sender Name, User ID and Config Name fields comes from the System i and
cannot be modified:
Template
The name of an email template to use when sending or resending the email. Any information
entered on the Create Email screen takes precedence over information in the email template.
Attachments are taken from the email template AND any attachments added to the email in
WebView.
To
An address book or address(es) to send the email to. Multiple addresses must be separated by a
semicolon. If you use an address book you cannot use individual email addresses. Up to 3000
characters are allowed in the field. Click on to open the Select Address Book window.
(see Address Books on the next page.)
Carbon Copy
An address book or address(es) to which carbon copies of the email should be sent. Multiple
addresses must be separated by a semicolon. If you use an address book you cannot use
individual email addresses. Up to 3000 characters are allowed in the field. Click on to open
the Select Address Book window. (see Address Books on this page.)
Blind Carbon Copy
An address book or address(es) to which blind carbon copies of the email should be sent.
Multiple addresses must be separated by a semicolon. Up to 3000 characters are allowed in the
field. Click on to open the Select Address Book window. (see Address Books on this
page.)
Subject
Text identifying the email subject. The subject can be up to 100 characters long. A subject is not
required.
Body
The email message. The message can be up to 96 lines long. Up to 74 characters are allowed in
each line.
Embedded Signature
Select to embed the sender's email signature in the email. The signature is set up on the
System i in the Embedded Signature fields in the sender's ACOM user definition.
Address Books
Click on , or to open the Select Address Book window for that field. Address
books are set up in the ACOM software on the System i.
1. On the Create Email screen, , select IFS and then click on to open a
list of the IFS folders on your System i.
2. Locate the IFS folder containing the file to attach, select the file and click on to add it to
the attachment list on the Create Email screen.
3. Repeat the process to attach additional IFS files. IFS attachments must all come from the
same IFS path source. You can also attach spool files from a System i output queue to an
email with IFS attachments. You cannot attach PC files to an email that has IFS file
attachments.
4. Right click on an attachment in the attachment list and select Edit to edit the file parameters
if necessary. (see page 3-14 for information about attachment file parameters.)
2. Browse to the file you need to attach and select it to add it to the attachment list on the Create
Email screen.
3. Repeat the process to attach additional PC files. PC attachments must all come from the same
directory. You can also attach spool files from a System i output queue to an email with PC
attachments. You cannot attach IFS files to an email that has PC file attachments.
4. Right click on an attachment in the attachment list and select Edit to edit the file parameters
if necessary. (see page 3-14 for information about attachment file parameters.)
1. On the Create Email screen, click on to open the Get attachment files from
OutQueue window and select a Library and then an Output Queue to view the files in
the output queue.
2. Select a spool file to attach and click on to add it to the attachment list on the Create

3. Repeat the process to attach additional spool files. You can also attach IFS files or PC files,
but not both.
4. Right click on an attachment in the attachment list and select Edit to edit the file parameters
if necessary. (See below for information about attachment file parameters.)
1. On the Create Email screen, click on to open the Select Physical Files window.
2. Select a file to add its first member as an attachment or click to select the member to add.
3. Click on to add a member to the attachment list on the Create Email screen.
4. Repeat the process to attach up to 9 additional files. Click on when you are done
adding attachments to return to the Create Email screen.
5. Right click on an attachment in the attachment list and select Edit to edit the file parameters
if necessary. (See below for information about attachment file parameters.)
Attachment Parameters
Attachment file parameters can be edited. Not all parameters can be edited for all files. If a
parameter cannot be edited it will be inactive.
To edit attachment file parameters:
1. Right click on an attachment in the attachments list at the bottom of the Create Email screen
and click on Edit.
2. Edit the parameters for the file. Not all parameters can be changed for all file types. Fields
will be activated depending on the file type.
Attachment Name
A new name to identify the attachment file.
Translate To
Some attachment files from a PC, the IFS or QDLS can be translated to PDF format. Select
NONE if the file should be left in its native format.
Physical files can be translated to ASCII TXT, EBCDIC or CSV format. Select one of
those options or select NONE if the file should be left in its native format
Password
A password for the file. Recipients will be required to enter the password before the
attachment can be opened. The password can be up to 30 positions long.
Compress
Select to compress the attachment file.
Font Name
Select a font to use in the attachment file.
Page Size
The attachment file(s) will be sized to fit on the paper selected here.

Page Orientation
Select a page orientation.

Page Range From/ To
The range of pages to include in the attachment. Keep the default values of 1 and 99999 to
attach all pages or key a From and To value to include a specific range of pages.
3. Click on to save the changes and return to the Create Email screen.
CONFIGURATION
An email configuration defines the SMTP parameters and communication defaults used by
email. An active email configuration is required to create email. An email configuration name
must be entered in the Email Configuration Name field in the ACOM User Definition (ACOM
Solutions System i software Utilities menu option 1) of any user who starts an email monitor or
runs a merge that will create email from a merged form.
Select Configuration at the top of the EZeMail tab to work with email configurations. Changes
made to email configurations in WebView are carried over to the System i.
User access to WebView Email Configuration is controlled by the ACOM Solutions Selected
Access security function on the System i. If Selected Access is not enabled, only users with
SECADM authority can access the email configurations.
Configuration
Menu
The Name, Description and Status of all email configurations is displayed. Valid statuses are
Active and Not Active. Click on to refresh the display.
Right click on an email configuration to open the Configuration menu and select an action for
that configuration. Actions that are not available for the configuration are shown in gray.
Configurations can be:
• edited,
• copied,
• deleted,
• displayed,
• printed
• started/stopped and
• new configurations can be created.
Edit a Configuration
Right click on an email configuration and select from the menu to edit the configuration.
Configurations that are Active cannot be edited.
Copy a Configuration
Right click on an email configuration and select from the
menu to copy the configuration.
Delete a Configuration
Right click on a configuration and select from the menu to delete the configuration.
Click on Yes when the message Do you want to delete? is displayed.
Display a Configuration
Right click on a configuration and select from the menu to view information about the
configuration. The configuration cannot be modified when it is displayed. To make changes to a
configuration, select from the menu.
Print a Configuration
Right click on a configuration and select from the menu to print a configuration listing.
The listing can be sent to a System i output queue or a Windows printer.
Start/Stop a Configuration
A configuration must be started before email can be sent. ACTIVE displays in the Status
column on the Email Configuration screen for configurations that have been started.
To Start a configuration, right click on a configuration in Not Active status and click on
. The status will change to Active.
To Stop a configuration, right click on a configuration in Active status and click on . The
status will change to Not Active.
Create a Configuration
To create an email configuration, right click on the Email Configuration list and select
.
Each email configuration must be given a unique name, assigned to an SMTP server, and set up
with communication information. See your Network Administrator if you are not sure of the
values to enter.
Click on when the configuration is complete to save the configuration on the System i
and for use in WebView.
Configuration Name
A user defined name to identify the configuration. Configuration names may be up to 10
characters in length. This is the name that must be entered in the Email Configuration Name
field in the User Definition of any user who will start an email monitor or run a merge that will
create email from a merged form.
Description
User defined text identifying the configuration. The description will display on the EZeMail/400
Work with Email Configurations screen.

Configuration
Company
Your company name, a division name, etc.
SMTP Server Name/ IP Address
The name or IP address of the SMTP server assigned to the configuration. If a value is entered in
the SMTP Server IP Address field, a value may also be entered here but is not required.
The server name must already be defined in Configure TCP/IP (use command CFGTCP) in the
Work with TCP/IP Host table entries. See your Network Administrator if you are not sure of the
value to enter here.
SMTP
See your Network Administrator if you are not sure of the values to enter in these fields.
Account/User
The account/user name required to send mail through the email server.
Password
The password used in conjunction with the account/user.
Port
The communication port.
Encrypted Connection Type
The type of email encryption to use. The default is *NONE but you can select *SSL or *TLS.
Domain Name
The name of your company’s domain.
Connection Attempts
The number of connection attempts to the internet to allow, from 0-9.
Connection Timeout
The number of minutes, from 01-10, to wait before trying to connect with the internet service
provider (ISP).

The run priority assigned to email jobs.
20-49 Enter a value from 20 to 49 to speed the batch jobs.

51-99 Enter a value from 51 to 99 to slow the batch job.
CHAPTER 4
WORK WITH FAXES
Go to the EZFax tab to work with fax documents and manage fax configurations. The EZFax tab
will not be available if you have not purchased and licensed the ACOM System i EZFax module
or if your ACOM System i user ID does not allow access to EZFax.
DOCUMENTS
Select Documents at the top of the EZFax tab to work with faxes. A user’s access to fax
documents is controlled by the value in the Restrict to emails/faxes field in the ACOM Define
Users utility. (See page 1-5.)
Fax Menu
Right click on a fax entry to open the Fax menu and select an action for that entry. Actions that
are not available for the selected entry are shown in gray.
Faxes can be:
Display
The columns displayed on the EZFax tab when you login are controlled on the Settings>EZFax
tab. To change the initial display, go to the Settings>EZFax tab, select an item in the Available
Fax column and click on to move it to the Selected Fax column. To remove a column from
the initial display, select it in the Selected Fax column and click on . You can also drag and
drop items.
The columns are displayed on the EZFax tab in the order in which they appear in the Selected
Fax list, with the item at the top of the list as the first column on the tab. Click on an item and
drag it up or down in the list to change its position on the tab.
To make changes to the display while you are working in the EZFax tab:
To sort the display or to add/remove columns from the
display, hover on a column name to display the selection
box .
Click on the selection box to open the Display menu. Click on Sort Ascending or Sort
Descending to sort the display based on the values in the column from which the Display menu
Display Menu
was opened.
Press F5 to remove your changes and return to the initial display format as defined on the
Settings>EZFax tab.
Changes to the display that you make from within the EZFax tab are lost when you
log out of WebView.
Search
Use the fields at the top of the display to search for specific documents.
The wildcard symbols ? and * can be used to replace individual letters or sequences of letters in
a search. Use ? to replace one character in a search. Use * to replace multiple characters.
The fax list will update each time new search criteria is selected.
Advanced Search
Advanced searches can be carried out using index values or database values.
Index searches use spool file data extracted by STEXT commands in a fax document overlay.
Index data is only available when is an entry of *YES in the WebView field of at
least one STEXT command in a form overlay that is used to create faxes. (See example on the
next page.)
Database searches use values pertaining to fax properties, for example: User ID, Fax Number, To
Company, etc.
Multiple search statements can be included in a search, connected by AND or OR. To build a
search query:
1. Select Index Search to search for faxes using STEXT values. To build a database search
using fax property values, leave the box unchecked.
2. Select a search criterion in the Column field. If this is an Index search the drop down will
list all of the STEXT commands available for use. When creating a data base search, the drop
down will list fax properties.

6. To add another statement to the query, select AND or OR in the field to the left of the
Column Field. AND groups search statements. OR separates search statements.
7. Repeat steps 1 – 4 to build the next query statement.
8. Click on to run the query when all of the query statements are complete. The results
will be displayed in the document list.
Edit/Resend
Only faxes with a status of SNT or ERR can be re-sent. Right click on a fax entry and select
from the Fax menu to edit and resend the fax.
Edit the entries as necessary. Not all fields can be edited.
Redirect
Use the redirect option to send a fax as an email attachment if fax is not available. Right click on
a fax entry and select from the Fax menu to redirect a fax to email. A fax can only be
redirected if it has a status of SNT or ERR.
Enter email address information and a message (optional). You can also select an email template
to use (optional). The original fax is listed in the attachments list at the bottom of the screen. You
can add attachments if necessary.
See page 3-9 for more information about email fields and adding attachments.
Release/Hold
Right click on a fax entry in HLD status and select from the Fax menu to release
it.
Right click on a fax entry in RDY status and select from the Fax menu to put it
on hold.
Delete
Right click on a fax entry and select
from the Fax menu to delete the entry. When the
confirmation message displays select Yes to
delete or No to cancel the deletion.
Note: The Delete function is only available if you have the ACOM Selected Access security
feature installed in your ACOM System i software.
View Fax
Right click on a fax entry and select from the Fax menu to view fax details.
View Attachment
Right click on a fax entry and select from the Fax menu to view the
attachment in TIFF format.
Print Attachment
Right click on a fax entry and select from the Fax menu to print the fax to
your default printer.
CONFIGURATION
A fax configuration defines the setup for each fax line used to transmit faxes. Up to 99 fax lines
can be used. Fax jobs are routed automatically between multiple fax lines. Both internal and
external modems can be used.
Select Configuration at the top of the EZFax tab to work with fax line configurations. Changes
made to configurations in WebView are carried over to the System i.
User access to WebView Fax Configuration is controlled by Selected Access security if it is
enabled on the System i. If Selected Access is not enabled, only users with SECADM authority
can access the fax configurations.
Configuration
Menu
The Line number, Description, Speed and Status of all fax line configurations are displayed.
Valid statuses are Active and Inactive. Click on to refresh the display.
Right click on a fax configuration to open the Configuration menu and select an action for that
configuration. Actions that are not available for the configuration are shown in gray.
Configurations can be:
• edited,
• copied,
• deleted,
• displayed,
• printed
• renamed,
• started/stopped and
• new configurations can be created.
Edit a Configuration
Right click on a fax configuration and select from the menu to edit the fax line
configuration. Fax lines that are Active cannot be edited.
The Line, Line Description, Controller Description and Device Description fields cannot be
edited.
Copy a Configuration
Right click on a fax configuration and select from the
menu to copy the configuration.
Enter a New Name for the fax line and click on to copy it.
Delete a Configuration
Right click on a configuration and select from the menu to delete the fax line
configuration.
Click on Yes when the message Do you want to delete? is displayed.
Display a Configuration
Right click on a configuration and select from the menu to view information about the
fax line configuration. Configurations cannot be modified in display mode. To make changes to a
fax line configuration, select from the menu.
See page 4-12 for information about the fax line configuration fields.
Print a Configuration
Right click on a configuration and select from the menu to print a fax line configuration
listing. The listing can be sent to a System i output queue or a Windows printer.
Rename a Configuration
Right click on a configuration and select from the
menu to rename a fax line configuration.
Start/Stop a Configuration
A fax line must be started before it can be used to send faxes. ACTIVE displays in the Status
column on the Fax Configuration screen for fax line configurations that have been started.
To Start a fax line configuration, right click on a configuration in Inactive status and click on
. The status will change to Active.
To Stop a fax line configuration, right click on a configuration in Active status and click on
. The status will change to Inactive.
Create a Configuration
To create a fax line configuration, right click on the Fax Configuration list and select .
Each fax line configuration must be given a unique line number, and configured to process faxes.
IBM internal modems and external Class 2.0 modems are supported.
Click on when the fax line configuration is complete to save the configuration on the
System i and for use in WebView.
Line
Each fax line must be assigned a unique number, from 01 through 99.
Fax Hardware Resource Name
The resource associated with the modem. Use the WRKHDWRSC TYPE(*CMN) command or
see your Network Administrator if you are not sure of the value to enter.
Integrated Modem
Whether or not to use an IBM integrated modem.
*NO Use an external modem (default)
*YES Use an IBM integrated modem.
Speed
The fax line speed. The recommended speed is 57600 bits per second. Valid values are 50, 75,
110, 150, 300, 600, 1200, 2400, 4800, 7200, 9600, 14400, 19200, 28800, 38400, 57600, 76800
or 115200.
Prefix for Dialing Out
Enter any prefix that must be dialed to reach an outside line.
Delete or Hold Orig Splf
Whether or not to hold or delete the original spool file after the fax is processed.
*HLD Hold the spool file. (default)
*DLT Delete the spool file.
Save Converted TIFF
Whether or not to save the TIFF files required to send or resend faxes. Saving TIFF files speeds
up the process if a fax must be re-sent. If TIFF files are saved, they should be periodically
deleted manually from the ACOM/EDOCS/EZFAX directory
*YES Save TIFF files. (default)
*NO Do not save TIFF files.
Purge sent faxes
Whether or not to purge fax files after a fax has been sent. Fax files can also be purged manually
via the Purge Documents option on the EZFax/400 menu on the System i.
*NO Do not purge sent faxes. (default)
*YES Purge the sent fax files.
Completion Notifications
Whether or not to send a notification to the user’s message queue when a fax has been
successfully sent.
*NO Do not send a completion notification. (default)
*YES Send a completion notification.
Run Priority
The priority to assign to the fax job. Valid values are from 10 through 50 with 10 being the
lowest priority and 50 the highest.
Description
User defined text identifying the fax line. The description will display on the EZFax/400 Work
with Fax Line Setup list screen.
CHAPTER 5
ESIGNATURE
When an ESIG command is added to a form overlay on the System i, a PCL file is
created for each merged form and stored on the IFS along with associated metadata. Go
to the WebView ESignature tab to:
• Locate an ESIG document using metadata,
• Display the form in PDF format,
• Add a captured electronic signature to the form,
• Save the signed form on the IFS in PDF format,
• Printed the signed form.
The ESignature tab will not be available if you have not purchased and licensed the
ACOM ESignature module or if your ACOM System i user ID does not allow access to
ESignature.
Captured signatures can also be saved (see page 5-5 for details).
The Topaz S460 and L460 are currently the only signature pads that ACOM has certified
for use with the WebView software.
Access to ESignature functions is controlled by the ACOM selected access feature on the
System i. The controls can be accessed under W/W/SIGCAP in the eforms Selected
Access controls.
ESIGNATURE TAB
The ESignature tab lists information about ESIG documents:
• ID, Description, and Date metadata
• Processed Date
• Status
ESignature Menu
The ID, Description and Date columns are populated with metadata entries based on the System
i ESIG command.
The Processed Date is the date that the document was merged on the System i.
Enter a date in the date fields or click on the in a date field to open a
calendar and select a date.
5. Click on Save at the top of the PDF viewer to save the signed document in PDF
format on the IFS.
PRINT DOCUMENTS
To print a document:
1. On the ESignature tab, search for and locate the document to be printed.
2. Right click on the document in the list and select Print from the right
click menu.
DELETE DOCUMENTS
The delete function deletes the document PCL file from the IFS. It does not delete the signed
PDF file. PCL files can also be deleted via the eForms Work with Signatures option (see the
eForms Manual) and the Utilities Purge Signature Documents option (see the Utilities Manual).
To delete a document:
1. On the ESignature tab, search for and locate the document to be deleted.
2. Right click on the document in the list and select Delete from the right
click menu.
ESIGNATURE SETTINGS
Click on the WebView tab and go to the tab to configure the settings
Keep Signature
Select to save signature .bmp files on the IFS. If this is not selected, signature files will not be
saved. ( is the default)
This setting has no impact on signed documents. Once a document is signed and saved as a PDF
file, the signature is permanently associated with that document.
Print on
Select First page to add the signature to the first page of a multi-page document.
Select Last page to add the signature to the last page of a multi-page document. (Default)
The signature will be added the selected page at the coordinates specified in the System i ESIG
command.
CHAPTER 6
EMAIL AND FAX REPORTING
Go to the Report Email and Fax tab to generate detailed reports about fax or email activity.
Reports are displayed in a viewer but can also be exported and saved in HTML, PDF, DOC and
XLS formats.
The reporting function is available to any user defined as an Administrator in the ACOM
Solutions System i software. (On the Utilities-Define Users screen: Security level = *USER,
Department = *All, Restrict to department = *NO)
CREATING REPORTS
To create a report:
1. Go to the Report Email and Fax tab.
6. To export the report in PDF, DOC, XLS or HTML format, select a document type in the
Export to: field in the upper left corner of the report viewer and click on .
CHAPTER 7
EZCONVERT/400
To help locate specific monitors use the filter fields at the top of the columns to reduce the
number of monitors listed. You can enter a value or select a value.
Right click on a monitor in the list to display a drop down menu with options to:
• Copy
• Delete
• Display
• Edit
• Rename
• Refresh
• Print or
• Start/Stop.
Create a Monitor
To create a monitor, click on Create_Monitor at the top of the EZConvert tab to open the Create
Monitor tabs.
Click on when you have completed all of the information necessary to create the
monitor.
Monitor ID
A user defined, unique name for the monitor. The name can be up to 10 positions in length.
Convert To
The conversion format. Select :
*XLS Convert to a .xls Excel spread sheet
*CSV Convert to a comma delimited .csv file

Library
The library where the output queue is located. Enter the name of a specific library or keep the
default of *LIBL to search all libraries until the output queue is located.
Output Queue
The name of the output queue to monitor. Click on to search for an output queue from a list of
available output queues.
Complete the information on the Input (see below), Export (page 7-8), Distribute (page 7-12)
and Suppress (page 7-15) tabs.
Input Tab
Entries on the Input tab (See previous page) identify the spool files to convert. Commands
entered in the Selections Grid define the format of the converted file and the spool data to
included.
Spool file criteria
The spool file criteria identify the spool file to convert. An entry is required in at least one of the
fields. Entries may be made in multiple fields in any combination.
Form type
The SCS spool file form type to select. This field is case sensitive.
Name Key a specific form type to select only that form type.
*ALL Select all form types.
Printer file name
The printer file name used when the spool file was created.
Spool file number
A spool file number.
User ID
A user ID associated with a spool file(s).
Job name
A job name associated with a spool file(s).
Job number
A job number associated with a spool file.
User data
The user data information attribute of a spool file(s). Key a specific name here to select every
RDY SCS spool file in the output queue that has this user data value.
Suppress Empty Rows
Select to remove empty rows in the spool file when the file is converted. This applies to empty
rows in the spool file and empty rows created using conditions on the Suppress tab function (see
page7-15).
Email Distribute
Converted files can be distributed using Notification IDs or emailed using email addresses.
Select an option to indicate which method this monitor will use.

Selections
Add Title and Detail commands for the converted file in the Selections area.
Click on to add a command and open the Location, Format and Suppress tabs.
Select an entry and click on to edit the command or click on to delete the

Seq#
The command sequence number. This is created automatically. You can drag and drop
commands in the list to change the sequence.
Important: When you are creating a CSV formatted file the sequence numbers determine the
order in which the command results appear in the file.
Type
The command type. Select :

D Data
Text
User defined text to identify the command. This text does not print in the converted file. It serves
only to identify the command in the Selections grid.
Data
Identifies the data for the command. Select the spool data location fields to extract variable
data from the spool file or select the Constant field and enter constant data, for example as a
column title.
Line
Line number on the spool page where the data is located.
Pos
Position on the spool page where the data begins.
Len
Number of positions occupied by the data.
Reps
The number of lines to search for the data, starting at the line number in the Line field.
Spreadsheet Location
The spreadsheet location fields define the location of the data on the spreadsheet when
converting to XLS format. These fields are not valid for CSV conversions.
Row
The spreadsheet row. Enter a value from 1 to 65536.
Column
The spreadsheet column. Enter a value from A to IV.
Note: The row and column values entered must be unique for each command.
Entries on the Format tab determine the appearance of the current command results on the report.
The Format tab is only available if *XLS is selected in the Convert To field.
Font Name
The font to use for the command. Select a font from the drop down.
Select Italic, Bold and/or Underline to apply one or more styles to the font.
Font color
A color to apply to the font. The default is Black. Select a color.
Alignment
How the data is aligned in the spreadsheet cells. Select :
*GENERAL Aligns text to the left and numbers to the right (default)
*LEFT Left justify
*RIGHT Right Justify
*CENTER Center the data in the cells
Number Format
The format to use for numeric data in a cell. Select :

Set up conditions on the Suppress tab for the current command to suppress spool data that you do
not want to include in the converted file.
An S is displayed in the Selections grid on the Input tab to the left of each command that has
suppression conditioning.

To retrieve destinations from the spool file, complete the spool data location fields.

Line number on the spool page where the data is located.

Position on the spool page where the data begins.
Len
Number of positions occupied by the data.
Del
Select if the destination information should be deleted from the spool file after it is retrieved.
To send all converted files to the same IFS destination, enter a path in the Constant field or
click on to browse to a path and leave the spool data location fields blank.
File Name
Entries in the File Name fields determine the name applied to converted files sent to the IFS. File
names can be retrieved from spool file or you can indicate a constant file name.
Complete the spool data location fields to extract the file name from a spool page.

Select if the file name information should be deleted from the spool file after it is retrieved.
If you don’t want to take the file name from the spool file, leave the spool data location fields blank and

*DFT
Files will be assigned a name based on the conversion date and time.
*PATH
Select *PATH when the file name is included at the end of the export destination path. This
applies to a path taken from a spool file as well as to a constant path entered in the IFS Path
Constant field.
Be aware that if a constant file name is included at the end of a constant path in the IFS Path
Constant field, the constant file name will be applied to the first file created. Subsequent files
will be named with a default name based on a date/time stamp.
Name
Enter a name to use that name for converted files.
When a name is entered here and Overwrite is selected, this file name will be applied and the
file will be overwritten (contents replaced) each time a new file is created.
When a name is entered here but Overwrite is not selected, this file name will be applied to
the first file created and subsequent files will be named with the default date/time stamp.
Overwrite
Select to overwrite a file (replace the contents) when a new file is created with the same
name.
When Overwrite is not selected, a default name based on a date/time stamp is applied to new
files that would otherwise have the same name.
Optional Break and Retain Destination
Optional Break is used to create additional file breaks. When a value is found in the spool data
location specified in the Optional Break spool data location fields, it signals the conversion
process to create a new file. If the location does not contain a value (is blank) a break will not
occur.
Complete the spool data location fields to create a break whenever a value is found at the
specified location.
Line
Line number on the spool page where the data is located.
Pos
Position on the spool page where the data begins.
Len
Number of positions occupied by the data.
Del
Select if the destination information should be deleted from the spool file after it is retrieved.
Use as File Prefix
Select if the optional break value should be applied to the file name as a prefix to ensure a
unique file name. A prefix can be applied to a constant file name or to a file name taken from the
spool file. It cannot be used when *PATH or *DFT are selected in the Name field.
Retain Destination allows you to use the last known export destination to convert a spool page
without a specified destination. When selected , any spool page without a destination will be
converted and the converted file will be placed in the last known export destination.
When Retain Destination is not selected, pages without destination information will not be
converted.
Retain Destination and Optional Break
When you are using the Optional Break feature and Retain Destination is selected, if the current
spool page does not contain an optional break value then the last known optional break value will
be used and pages without an optional break value will be included in the file. The last known
optional break value will be used until a new optional break value is found in the spool file.
When you use the Optional Break feature and Retain Destination is NOT selected, if the current
spool page does not contain an optional break value then the pages without an optional break
value will not be converted and included in the file.
Email Tab
Entries on the Email tab tell EZConvert the email addresses to send converted files to, the email
subject and the email message. Information can be retrieved from the spool file or you can enter
the information on this tab.
Select Spool location to the right of any field to open spool coordinate fields to retrieve
information for that field from the spool file. Complete the spool data location fields:
Line Line number on the spool page

Len Number of positions occupied by the data
Reps The number of lines to search for data
To, CC, BCC
Converted files will be sent to any email address defined in these fields. Use the spool data
location fields to extract email addresses from the spool data or enter email addresses in the field.
Separate addresses with a semi- colon ( ; ).
Subject
The email Subject line. Use the spool data location fields to extract the subject from the spool
data or enter the email subject here.
Body
The email message. Use the spool data location fields to extract the message from the spool data
or enter the email message here.
Embedded Signature
Select to embed the sender's email signature in the email. The signature is set up in the
Embedded Signature fields in the sender's ACOM user definition on the System i.
Distribute Tab
Enter a file name in the Constant field and leave the spool data location fields blank to apply the
constant name to each distributed file. The file name will not be reset after each optional break.
Retain Destination determines whether to distribute spool file pages that follow a break but do
not have a file name value on the first page after the break.
When Retain Destination is not selected, pages that follow the break but do not have a file name
value on the first page after the break will not be distributed until the next time a break occurs
AND there is a file name value found on the first page after a break.
When Retain Destination is selected, the last known file name will be used to distribute the
pages without a file name until the next time a break occurs AND there is a value found on the
first page after a break at the coordinates specified here.
Optional Break Value 1 and Value 2
Used to break a converted file into multiple files for distribution. Value 1 creates a primary break
and Value 2 creates a secondary break within a Value 1 break.
A new file is created when a value is found in the spool data location specified in Value 1.
If you specify spool data locations in Value 1 and in Value 2, when a primary break occurs at the
Value 1 location a secondary break will occur each time a value is found at the Value 2 location.
The next time a value is found in the Value1 location a new primary break will occur.
Complete the Value 1/Value 2 spool data location fields to create a primary/secondary break
whenever a value is found at the specified location. You cannot enter a spool data location for a
Value2 break until coordinates are first entered for a Value1 break.

Distribute
Set up distribution commands in the Distribute grid. You must create at least one Notification ID
in EZeMail/400 on your System i before you can complete a Distribute command.

Click on to refresh the display.
Click on to add a command.
Seq#
The sequence number. This is created automatically.
Value1
Enter the value to search for at the Optional Break Value 1 location. When the value found at
that location matches the value here a primary break is created and the converted file will be
distributed to the addresses in the selected Notification ID. This field is case sensitive.
Instead of a entering value you can select :
*ALL
Send the entire converted file to the addresses in the Notification ID. Value2 must be left blank
when *ALL is entered in here.
*ELSE
Send anything that does not match any of the notification Values to the addresses in the
Notification ID. Value2 must be left blank when *ELSE is entered in here.
*BLANK
Send the file to the addresses in the Notification ID when all blanks are found in the Value1
Optional Break location. If the value is other than all blanks the file will not be distributed.
You can also enter a value in the Value2 field when *BLANK is entered here.
Value2
Value2 is used in conjunction with Value1. Enter the value to search for at the Optional Break Value 2
location. An entry cannot be made here unless there is a value in Value1. This field can be left blank and
is case sensitive.
When the value found in the Value 1 Optional Break location matches the value entered in the
Value1 field
AND
the value found in the Value 2 Optional Break location matches the value entered in this field,
the converted files will be sent to the addresses in the Notification ID named in the Notification
ID field.
Instead of a entering value you can select :
*BLANK
Send the file to the addresses in the Notification ID when the value found in the Value 1
Optional Break location matches the value entered in the Value1 field AND all blanks are
found in the Value 2 Optional Break location. If the value in the Value 2 Optional Break
location is other than all blanks the file will not be distributed.
Notification ID
The Notification ID to take the distribution addresses from. Select a Notification ID from a list of
Notification IDs. (Notification IDs are created in EZeMail/400 on your system i via EZeMail/400 menu
option 8, Work with Notification ID.)
When the information for a command is complete, click on to add the command to the
Distribute list.
Suppress Tab
You can set up conditions on the Suppress tab to exclude entire lines of spool data from
converted files. When a condition is met, the line of data is excluded.
Select Suppress Empty Rows on the Input tab to remove empty lines that are created when a
row of data is suppressed.
Select a condition in the list and click on to edit it or click on to delete it.
Click on to refresh the display.
Click on to add a condition.
And/Or
Select AND or OR when there is more than one statement in the condition. AND groups
condition statements. OR separates condition statements.
Pos
The position where the Value for the condition begins.
Len
The number of positions to search for the Value.
Test
The test to apply to the Value. Select :
= Equal to
!= Not equal to
<= Less than or equal to
>= Greater than or equal to
< Less than
> Greater than
Value
The characters/numbers to apply the Test to.
When the information for a condition is complete, click on to add the condition to the list.
Edit a Monitor
Conversion monitors can be edited as requirements change. A monitor must be stopped before it
can be edited.
To edit a monitor:
1. Go to the EZConvert tab.
2. Right click on a monitor in the list and select on Edit on the right
click menu to open the Edit Monitor window.
Copy a Monitor
Conversion monitors can be copied and then edited to create a new monitor. This is sometimes easier
than creating a new monitor from scratch.
To copy a monitor:
1. Go to the EZConvert tab.
2. Right click on the monitor ID to copy and select Copy on the right
click menu to open the Copy Monitor Job dialog box.
Delete a Monitor
A monitor must be stopped before it can be deleted. To delete a monitor:
1. Go to the EZConvert tab.
2. Right click on the monitor ID to delete and select Delete on the right
click menu.
Rename a Monitor
To rename a monitor job:
1. Go to the Utilities tab.
2. Right click on a monitor in the list and select Rename on the right click
menu to open the Rename Monitor Job window.
4. Click on .
5. When the confirmation dialog box opens, click on to rename the monitor job.
3. Verify the job information and make any required changes before starting the monitor.
Delay Interval
The number of seconds to allow between monitoring searches of the output queue. The delay
interval must be 0 if a data queue is attached to the output queue being monitored.
Submit job options:
Job Queue
The job queue in which to run the job.
*JOBD Run the job in the job queue specified in the job description for the session
Name Enter the name of a specific job queue.
Library
Location of the job queue.
*LIBL Search all libraries until a match is found.
*CURLIB Use the current library to locate the job queue.
Name Key a specific library name up to 10 characters long.
Job Description
The description to use for the monitor job.
*USERPRF Use the job description listed on the user profile.
Name Key a job description up to 10 characters long.
Library
Location of the job description.
*LIBL Search all libraries until a match is found.
*CURLIB Use the current library to locate the job description.
Name Key a specific library name up to 10 characters long.
Job Priority
The job scheduling priority. Accept the default of *JOBD to use the priority specified in the
job description or key a priority from 1-9 where 1 is the highest priority and 9 is the lowest.
Message Queue
Where to send messages pertaining to the job.
*USRPRF Use the message queue listed in the user profile.
*WRKSTN Use the workstation message queue.
*NONE Do not send messages.
Name Key a message queue name up to 10 characters long.
Library
The location of the message queue.
*LIBL Search all libraries until a match is found.
*CURLIB Use the current library to locate the message queue.
Name Key a specific library name up to 10 characters long.
