Chapter 6 Activity

Model Questions:

1. You have been asked by your employer to choose an office location.

What factors will you consider in doing so?

 Hidden Costs

- Remember to factor in stamp duty, installation costs, solicitor's

fees, and buying agent's fees when planning your relocation
budget. Though rent will account for the majority of your office
expenses, these will make a considerable contribution. It's also
a good idea to find out what the business rates are for the
buildings you're considering.

 Fitting with Brand Image

- Your office location, as previously stated, is an extension of

your business image. People won't respond positively to a
dark, run-down office if you're a sophisticated digital start-up.
Spending a lot of money on your office space, on the other
hand, gives out the wrong message if you're a not-for-profit
with a more economical image.

 Legal Considerations

- Read up on the legal ramifications of relocating your business,

as they may have changed since you last relocated. Health
hazards, fire protection (the local fire department can assist),
and lockdown procedures must all be met in your new
business.
 Competition of the area

- Greater competition is frequently a motivator for higher results.

With that in mind, you might wish to start in an area related to
your industry. Then you have the option of relying on other
companies for clients and suppliers, forging strategic
connections you may not have anticipated.

 Easy for visitors to go

- Your top concern is to make it easy for employees to get to

work, but what about visitors? It could be a negative start to
your company partnerships if it's difficult to locate. Consider
the expense of a less expensive office in a more difficult-to-
reach location against a more expensive office in a location
with more business potential.

2. Briefly indicate the objectives of office layout and the principles on

which it should be based.
Work that must be completed for each type of activity necessitates the use of
the appropriate equipment within the allowed space. The office layout must
be both comfortable and functional. Those layouts cost a lot of money and
time to create. There are several reasons why a professional office design
plan is necessary.
3. Discuss the various factors affect office location?

The basic premise behind the office layout design should be that it
efficiently utilizes the available space in order to meet the organizations
or business's goals and objectives. The arrangement must be effective,
with workstations positioned in such a way that data can be delivered at
low prices and information can flow with minimal delays.
4. Explain the importance of good working environment for staff.
Discuss the consideration your will take into account while planning
for office lighting, ventilation and furnishings.
The physical atmosphere of a company has a significant impact on
employee happiness. An appealing, comfortable physical environment
can generate a lot of energy. This energy boosts productivity and
success in the long run. Windows enable natural sunlight and Vitamin D
into an office, both of which are important factors in maintaining a positive
attitude.
5. “Good-working conditions in an office are prerequisite for increasing
the efficiency of office staff.” Examine the statement discussing the
reasons. Also state the factors contributing to good working
conditions.

Companies which have good environmental conditions at their workplace and have
supportive/flexible working practices are more productive, innovative and profitable.

Factors of good working conditions:

 Comfortable Space
- Keeping yourself physically comfortable can help you work more productively and
improve your working environment. Your work station, central heating, and office
lighting are all ergonomic variables that might affect your degree of comfort.

 Clean Desk
- A crowded desk is an indicator of a cluttered mind. This may bring up memories of
your parents lecturing you about your messy room, but there is some truth to it. Put
those stray papers in a folder and toss out those used post-it notes. You may begin to
feel more calm and pleased in your working place once you've cleared your desk; you
may also begin to think more clearly.

 Organization
- Investing in items like desk drawers, ring binder folders, and letter trays can help
keep your documents safe and prevent you from losing essential data. Installing a
planning app on your smart phone or tablet may also assist you in avoiding double
bookings.

 Good Rapport with your colleagues

- During working hours, your coworkers are like family— you can't live with them, and
you can't live without them. As a result, it's critical that you get along with the rest of
your team, as this can affect your working environment as well as the quality of your
job. Workplace tensions can influence everyone on the team, not just those directly
involved.
