“Gertrude has returned to work at her toy company job after a week's vacation. She

DISTANCE EDUCATION COURSE GUIDE USING OBTL DESIGN v1

heads to her office and cringes when she turns on her computer with her email inbox
showing four hundred messages waiting for her reply as well as a bunch of voicemails.
Gertrude sighs and realizes there's no escape from workplace communication.
Workplace communication is the transmitting of information between one person or
group and another person or group in an organization. It can include emails, text
messages, voicemails, notes, etc. Workplace communication is vital to an
organization's ability to be productive and operate smoothly. Number one, workplace
communication improves worker productivity. Research has shown that effective lateral
and workgroup communication leads to an improvement in overall company
performance. It has also been discovered that employees who were graded as highest
in production had received the most effective communication from their superiors. For
example, Gertrude works in engineering and her prototypes of toys receive accolades.
She is an effective communicator about her designs and how they will be played with in
real life by kids. In addition, she receives specific guidance from her superiors allowing
her to create designs quickly and efficiently. Number two, workplace communication can
increase employee job satisfaction. Employees feel empowered if they are able to have
upward communication. This type of communication happens when information flows
upward in an organization and usually consists of feedback. If bosses or managers are
able to listen to employees and respond, this leads to an increase in employee job
satisfaction. In addition, employees are also happy if there is intense downward
communication which is information flowing down from superiors or managers to direct
reports.

Gertrude recently sent an email to her boss recommending that her department
upgrade its design software. Her upward communication feedback was not just
acknowledged but also acted upon resulting in a very happy design team. Number
three, workplace communication can also have a positive effect on absenteeism and
turnover rates. Communication flow is very important to workers who are receiving
truthful and updated information from superiors. They also want to have the ability to
share ideas, thoughts and concerns within the company. Studies have shown that even
after a layoff, companies that have excellent communication are able to retain the
surviving employees. Gertrude did survive a corporate merger and was very concerned
about her future with the company. Her immediate managers communicated right away
that she was a huge value to the organization and would be getting a promotion within
the year. This ultimately provided Gertrude with a reason to fully commit to a new
organizational structure.

Important disadvantages. Number one, workplace communication can

lead to the snowball effect in worker actions. For example, many times when employees
quit, there is a snowball quit. This usually occurs due to employees who communicate
freely with each other. Over workplace, concerns are sensitive to worker complaints
and issues. Number two, workplace communication can lead to worker burnout or
information overload. While most employees are happy about the ability to
communicate both upward and downward in an organization, there are limits to the
amount of information that they want to receive. If employees are well used with too
many messages or repetitive information, it can hamper employee productivity.
Gertrude is currently in that situation due to her extended vacation. As we just saw,
workplace communication can be utilized in both positive and negative manners.
Positive strategies mean utilizing communications to increase worker productivity and
job satisfaction and lower absenteeism and job turnover. This can be implemented by
organizations by having an open communications policy. Downward communication
should be used to inform and educate employees on corporate news and events and to
combat rumors and problems. Upward communication should be allowed by
management so employees can ask questions, submit suggestions and offer different
points of view. In summary, workplace communication can be used to motivate
employees increase productivity and decrease absenteeism and turnover. Employees
need to feel that they are able to communicate with superiors and with coworkers.

3. To explicate more on the roles between and among members of organization or

workplace communicators, watch the video to contextualize the concept of
“Group Communication”.

https://www.youtube.com/watch?v=-N4OU-2tOQ0

or read its video transcript, Group communication.

Group communication is defined as three or more people working interdependently for

the purpose of accomplishing a task. There are three primary features of small group
communication. The first of these is group size. In order to be considered group
communication, groups must be at least three people; otherwise the communication is
simply considered interpersonal. The group shouldn't be
larger than 15 otherwise, true communication within the group becomes difficult to
maintain. The second feature needed for communication to be considered group
communication is that the group must be interdependent meaning that any group
members’ behavior influences both group member’s tasks and relational behaviors. The
third and final primary feature of group communication is that the group must have a
task in which no externally correct up decision exists. This means that the group's
communication is dependent on solving or accomplishing a task or goal that doesn't
already have a solution or a correct answer.

Now, within group communication, there are various roles that individuals tend to play.
As you know we each have different personalities with varying levels certain essential.
There are two main categories of roles that often surface and group communication.
The first of these roles are task roles and the second are maintenance roles. Now task
roles seek to get the job done while maintenance roles focus on the emotional or
relational tone in the group. Based on what you already know about personality styles
can you guess which types of personalities are drawn to the task roles in a group
communication setting?
What about maintenance roles? If you guess, the analyticals and drivers are probably
drawn to task roles within a group. You're probably right and the amiables and
expressives tend to focus more on relationships within the room. You're probably right
there too but within these task roles and maintenance roles, there are very specific
niches, that are often filled by group members in a group communication setting. Try to
determine which personality style may be drawn to each. Now as I said, task roles

This document is a property of the University of St. La Salle Module 1 | Page 4

Flexible Learning A.Y. 2020-2021 5
DISTANCE EDUCATION COURSE GUIDE USING OBTL DESIGN v1

within a group are filled by those who want to get the job done but how do people seek
to do this. Well one task role is the initiator or expediter. This person often suggests
new ideas, goals, solutions or approaches. Oftentimes these individuals are the most
creative or energetic. Another task role is information givers and seekers. Now these
people provide a foundation for discussion by the information they both provide and
seek throughout the process of a group discussion. The final task role you need to know
about is the critic or analyzer. These individuals look at the good and bad points that are
brought up and often look at how the whole picture fits together. Critics and analyzers
are often seen by personality styles who are opposite from them to kind of be the
Debbie downers of the group but the roles are still very vital to arriving at a final solution
as long as the group success is ultimately the critics’ goal.

Just as there are three main task roles there are also three main maintenance roles and
groups. Each focuses on the emotional tone and relationships within the group in
different ways. The first of these maintenance roles is the encourager. This person as
you may guess praise and or comments on contributions to and achievements of the
group. The encourager finds it very important to maintain a positive environment in a
group communication setting. The second maintenance role is the harmonizer or
compromiser. This person helps resolve conflict or settle arguments or arrive at
compromises that get the group closer to their goal. The third maintenance role is the
regulator. This individual reminds the participants of the agenda or topic at hand and
gives others in the group a chance to speak although not every group communication
setting has each of these rules present within the group. Notice when they do appear in
group communication activities that we do in class, notice as well whether you tend to
fill a task role or maintenance role when communicating within a group and the ways in
which your role kind of fits your personality. Group communication is the reality of your
world. Well you may not realize that your future will involve strong communication skills
within a group whether that group meets in person or through the use of technology.
The truth is, the world is changing and the independent work of your parents’
educational experience and career has given way to a highly collaborative information
sharing communication driven landscape that will require more of you than just getting
along in a group. It will require a view that you are skilled in speaking others personality
languages while solving problems creatively and collaboratively in innovative ways. Are
you up for the challenge? Then learn positive and persuasive ways to function in a
group now in this world of globalization. It will impact your future.

Speaker 1: We are our purposely scheduling our meetings to the best of our ability
to have the community sounding board ahead of the work group meetings so that we can
share the feedback received. And then having the technical work group and funding and
governance work group. Those meetings are falling tomorrow. So as we walk, bless you, as
we walk through the agenda today we will at certain points describe where we will discuss
items in more details with those work groups and how they interconnect with our process with
you and how we solicit your feedback as well. So, as part of that kinda similar theme in our
agendas, we want to start with an update or briefing of the community sounding board that
occurred last night and Ray will do that for us. And then part of that agenda topic will be some
recreational use questions that we'd like to bring forward and ask of all of youas well, (faintly
speaking). So with that I'll turn it over to Ray.

Speaker 2: Hi everyone, so yes we had our second CSB meeting last night from six to almost nine. We

finished early by a couple of minutes. The two primary agenda items. The first was just an update
on the project status, particularly update on some of the work mythologies that are or analyses (faintly
speaking) I should say. We had quite a few questions about those, probably more questions than we had
time for, at least for some folks in the group. But had some good discussion around that. And then the
majority of the meeting was spent in small group discussions around what people, how they would use
the space, how you, they've used it in the past, how they use it now, how they would use it if it remained a
lake but where you could access the water again, and how they would use the space if it were converted

*End of Sample Cover Letter

Key Elements of a Cover Letter

The cover letter is usually the first item an employer reads from you. Your letter should
immediately indicate what position you are applying for and then give information that
demonstrates why you should be considered for the position. Do not repeat all of the information
contained in your resume. Instead, highlight or elaborate on resume items that are directly
applicable to the position for which you are applying. The following information should be
included in your cover letter.

Information about you

Begin your cover letter with your contact information. It should be in block style, on the left
margin of your paper, towards the top.

 Name
 Current home address
 Telephone number

Date
Include a date as you would do with any business letter.

Contact Person's Name, Title, Employer, and Address

Including a specific name can get your letter and resume to the hiring manager more
quickly and can be an effective personal touch. If you are applying for an advertised
position that does not give a name to contact, call the company and ask for the
department manager's name.

Salutation
Choose the appropriate way to address the contact person.
For example:

Dear Mr. Johns (if a man's name is the contact)

Dear Ms. Smith (if a woman's name is the contact)

Dear Prospective Employer (if there is no contact name)

Opening Paragraph
In the opening paragraph tell how you learned about the position. You may, for example, know
of a job through:

 a classified advertisement
 an unsolicited mailing

 the Internet
 personal referrals

Middle Paragraph
This paragraph gives a summary of your background and critical skills (hard skills) that make
you qualified for the position.

Second Middle Paragraph

This paragraph can be used to demonstrate your persuasive skills (soft skills).

Contact Information and Closing

At the end of the letter talk about your availability for the job, where you can be contacted, and
when you are going to contact the hiring person for an appointment to discuss your application.
If you have no contact name you may simply want to indicate your anticipation for a response in
this part of the letter. Thank the person to whom you are writing for his/her time and
consideration of your application.
