Microsoft Word

While businesses first began using dedicated word processing systems in the 1970s, companies
such as Microsoft made “word processing” a common term in the 1980s and '90s with software
products like Microsoft Word that run on PCs. It’s possible to simply use Word as an updated
version of a typewriter or word processor, but Word’s functionality goes beyond what its
predecessors permitted. Whether you want to perk up some business papers or take company
communication to the next level, learning Word’s parts and functions can help your words speak
volumes

Microsoft Word

Most users create original documents within Word, but one of Word’s major functions is its ability
to facilitate the review process. The Review tab contains multiple ways to edit and alter a
document. One way to edit is to use the Track Changes feature, where you can insert and delete
characters and words while leaving a auditable trail instead of simply erasing what came before.
Also on the Review tab are buttons for commenting. Click the “New Comment” button to make
notes to another reader, or to yourself. Using Word for reviewing lets you collaborate with other
users or keep track of your own document as it evolves.
The Ribbon

In what Microsoft used to call its toolbar area prior to the release of Word 2007 is one of the largest
parts of Microsoft Word, the ribbon. This approximately two-inch strip that runs across the top of
Microsoft Word houses the tabs, buttons, sections and menu items that make almost everything in
Word work. The tabs, which replace the previous file menus, are a clickable way to quickly toggle
between functions such as formatting text, inserting images, mail merges and tracking review
changes. The ribbon basically blends into the top of the Word workspace. Right-clicking the top of
the ribbon brings up a small menu that enables you to perform customizations and minimize the
ribbon, but you cannot delete it entirely.

Template

Though Microsoft Word opens by default with a replica of a blank piece of white paper, you can
quickly create complex items such as brochures, newsletters and business cards by using Word’s
templates. This major part of Word is found by clicking the Office button in the top left corner of
the workspace. Click “New,” and then scroll through the list of available templates. Word’s default
options show in the main template screen, but there are also options to download from Microsoft
Office Online for no charge, although an Internet connection is required. Templates are a way to
get up and running on a project quickly, without going through the project setup or dealing with
complicated design aspects. You’re still able to customize any Word template with your own
images, text and color scheme.

The Word Home tab allows you to change such document settings as the font properties, add
bullets, add a numbered list, adjust styles, and other common features.
Insert Tab

If you just don’t feel that any of Word’s templates address your requirements or you prefer the do-
it-yourself way, Word offers several tools to use throughout the design process. Many of Word’s
design functions are found on the Insert tab’s menu. Here you can add your own graphics by
clicking the “Picture” button or select from Word’s collection by clicking the “Clip Art” button.
When you click the “Shapes” button, you can add different shapes to your documents and take
advantage of a somewhat hidden feature, the Scribble tool. Click the squiggly line in the “Shapes”
collection and start drawing your own designs. Other design-type functions are available on the
Page Layout tab’s ribbon, which lets you choose the background -- including using an actual photo
or texture -- add a border or watermark, or transform everything you have with a one-click
preinstalled theme.

Page Layout Tab

The Page Layout tab is the fourth tab in line from the left, and this is where you can customize the
way your document's page is set up, or even how some parts of Microsoft Word are set up.

Reference Tab

The Reference Tab is a wealth of commands designed to help properly document your work with
Footnotes, Citations and Bibliography commands. You'll also find commands for creating a Table
of Contents, an index and a Table of Authorities.

Mailings Tab

Creating envelopes and labels, performing mail merges, writing and inserting fields, previewing
and finishing mail merges.

View Tab

Changing document views; showing/hiding ruler, gridlines, zooming to one page, two pages, or
page width; arranging and working with windows.

Review Tab

The Word Home tab allows you to change such document settings as the font properties, add
bullets, add a numbered list, adjust styles, and other common features.
