OBJECTIVES
At the end of the activity, you should be able to:
 Identify the different pros and cons of using MS PowerPoint;
 Create a PowerPoint Presentation in MS PowerPoint; and
 Appreciate the importance of learning basic designs and the
common mistakes encountered when using MS PowerPoint;

INTRODUCTION
Microsoft PowerPoint is an easy program to use and a powerful tool for
giving a presentation. Whether your presentation needs a visual kick, tools for
collaboration, easy access or the ability to share information beyond the initial
meeting, PowerPoint is a good option. It can even help reduce speaking
anxiety by drawing eyes away from the speaker and towards a screen. Just
do not expect this technology to substitute for sound and dynamic speaking
skills. (Bell, n.d.)

her, but keeps walking. The "happy ending" alternative ending shows Evan and Kayleigh
stopping on the sidewalk when they cross paths. Personally, I love it and would definitely
recommend it. The lead character's decisions can be baffling at times but it's a really
interesting movie. The concept is cool, some of the characters' stories are pretty tragic, and
despite what many people say Ashton Kutcher is a great actor.

ABSTRACTION
Apply Themes
The appearance of every presentation that you create is governed by a theme
—a combination of colors, fonts, effect styles, and background graphics or
formatting that coordinates the appearance of all the presentation elements.
Even a blank presentation has a theme: the Office theme, which has a white
slide background, a standard set of text and accent colors, and the Office font
set, which uses Calibri Light for headings and Calibri for body text. (Lambert,
2015)

A fast way to give your slides an attractive, professional look in PowerPoint is


to apply a theme. Apply a theme to all slides, or specific slides, for a unique
impact.
1. Select Design. Hover over the Themes to preview how it looks, and
select the one you like.
2. Select More to see more Themes.
3. By default, the theme you select applies to all slides in your presentation.
4. In the Variants group, select More to change Colors, Fonts, Effects,
and Background Styles.
Note: To apply a theme to only one or a few slides, select the slide or slides,
right click the theme you want, and select Apply to Selected Slides. (Microsoft,
n.d.)

Insert a picture
1. Click where you want to insert the picture on the
slide.
2. On the Insert tab, in the Images group,
click Pictures and then click This Device.
3. In the dialog box that opens, browse to the picture that you want to
insert, click that picture, and then click Insert. (Microsoft, n.d.)

Tables
Inserting tables in PowerPoint is as simple as clicking Insert > Table and then
dragging your mouse down the number of rows and columns you’ll require for
your table. By default, you can insert a 10-column x 8-row table (10×8 table)
using this method.

If you want a larger table, then you can choose the Insert Table option and
just manually type in the number of columns and rows you require. (24Slides,

Charts
To create a simple chart from scratch in PowerPoint, click Insert > Chart and
pick the chart you want.
1. Click Insert > Chart.
2. Click the chart type and then double-click the chart you want.

3. In the worksheet that appears, replace the placeholder data with your
own information.

4. When you’ve finished, close the worksheet. (Microsoft, n.d.)


Embed a video from a file on PC
1. Click on the slide you want, then go to Menu > Insert.
2. In the top right corner, click Video > Video on My PC.
3. Find the video you want to add and click “Insert”.
4. Adjust the settings in the Video Format toolbar to make sure it plays
the way you want. For example, if you want your video to take center
stage as soon as you click on the slide, make sure you select “Play Full
Screen” and “Start Automatically”.
5. Preview your presentation to check your video plays exactly how you
want it to. (Biteable, n.d.)

Add slide transitions


1. Select the slide you want to add a transition to.
2. Select the Transitions tab and choose a transition.
Select a transition to see a preview.
3. Select Effect Options to choose the direction and nature of the transition.
4. Select Preview to see what the transition looks like.
5. To remove a transition, select Transitions > None. (Microsoft, n.d.)
Add Animations to PowerPoint
It's easy to add an animation to your PowerPoint presentation. After you've
finished inputting all your content into a PowerPoint file, begin adding your
animations:
1. Click on an object to select it on any slide. This could be an image,
chart, or block of text.
2. Now, find the Animations tab on the ribbon.
3. Find the Animation menu, which has star icons on it. Each one
represents an animation effect.
4. Click on one of the animation effects to add it to the selected object. In
this example, I'm going to click on Fade so that the text will fade in.
You'll know that a slide contains animation when a small orange box with a
number appears on the slide. Preview your animations by clicking on
the Preview button on the far-left side of the Animation tab in PowerPoint.

Your animation will play when you switch to Slide Show mode. Each time you
click the mouse button or press a button on a presentation "clicker," the slide
will advance. This could mean going on to the next slide or animating in the
next slide object. (Childress, 2020)

Save a presentation as a video


After you create your PowerPoint presentation, you can save it as a video to
share with others.
1. Select File > Export > Create a video.
2. Select the quality of the video:
 Ultra HD (4K) - Largest file size and ultra-high quality (3840 x 2160).
 Full HD (1080p) - Large file size and full high quality (1920 x 1080).
 HD (720p) - Medium file size and moderate quality (1280 x 720).
 Standard (480p) - Smallest file size and lowest quality (852 x 480).
3. Decide if you want to:
 Use Recorded Timings and Narrations
 Don't Use Recorded Timings and Narrations
4. In the Seconds spent on each slide box, select the default time you
want to spend on each slide.
5. Select Create Video.
6. Enter a file name and then browse to the location you want to save
your video.
7. In the Save As type box, select if you want to save the video as a
MPEG- 4 Video or Windows Media Video.
Tip: The MPEG-4 Video format is recommended for the best compatibility with
video players.
8. Select Save.
9. It will take some time to generate the video. Check the progress bar at
the bottom of the window to see when it's complete. (Microsoft, n.d.)
