Social Media presents opportunities to engage Ohio State Universitys College of Food, Agricultural, and Environmental, Sciences employees, customers, and community, members in conversation, that will personalize research, outreach and educational successes. POLICY 1. When using Social Media, CFAES employees will comply with the law and with college and university policies; any conduct that would be illegal or a violation of policy in the offline world is illegal or a violation of the policy when it occurs online. 2. During working time, CFAES employees may use Social Media only for business use, in strict compliance with all other terms of this and other CFAES and university policies. Even when using Social Media for personal use, employees must use discretion and be mindful that social media is a public forum. 3. When using Social Media, CFAES employees are speaking only for themselves individual unless they have prior authorization from their manager or from Communications and Technology to speak for CFAES. 4. Employees using Social Media are not permitted to use: y Profanity or any language derogatory in nature y Sexually explicit language or material of any kind y Copyrighted material unless permission is granted (e.g., through a "Share" button by the originator of the material) y Academically dishonest behavior or unethical actions y Libelous statements or aggressive attacks on any individual or group y Solicitations that are commercial in nature, except when marketing or publicizing CFAES for-sale items y Personal information about an individual or group without their permission y Confidential OSU information. If you find yourself wondering whether you can talk about something you learned at work -- don't. y Customer information: Do not talk about customers or release information about them. y Personnel Information: Do not refer to your co-workers in an abusive or harassing manner. y Legal Information: Do not disclose anything to do with a legal issue, legal case, or attorneys.
5. Employees using Social Media are encouraged to: y Be smart. Be respectful. Be human. Be authentic. y Be transparent. State that what you're writing is your own opinion; be clear that you are speaking as an individual, not for the college. y Be careful. Protect what personal information you share online. y Be responsible and act ethically. When you are at work, your primary responsibility is the work of the college (teaching, research and/or outreach). 6. Any employee creating a new Social Media presence for work purposes (e.g., creating a Facebook group, starting a Twitter account, starting a blog) must inform the Leader, Emerging Media, in Communications and Technology. 7. When creating a social media presence for work purposes that invites members of the public to comment, the policy page must include these participation guidelines to prevent potential mis-use of the comments section: Social Media Participation Guidelines This [name of social presence e.g., blog, Facebook page, etc.] presents an opportunity to engage Ohio State University's College of Food, Agricultural, and Environmental in conversation about [topic]. Please keep in mind that this [name of social presence] community is founded in trust and fairness around a central issue: [topic of content]. The successful interaction of this community rests on respect and adherence to the following. Comments that contain the following are not permitted: y Profanity or anything derogatory in nature y Sexually explicit language or material of any kind y Copyrighted material used without permission y Reference to academically dishonest behavior or unethical actions y Libelous statements or aggressive attacks on any individual or group y Solicitations or any comments commercial in nature y Personal information of an individual or group without their expressed permission
CONSEQUENCES CFAES employees who do not follow the policy and guidelines are subject to possible personal legal troubles and corrective action, up to and including termination. The university and the college could also face legal trouble with customers.
