● People who develop computer systems use two main techniques to ensure that the data

entered into a system has integrity. These techniques are verification and validation.

Data Verification
Data verification refers to the process of checking for mistakes when data is
copied or transcribed from one medium (e.g. paper or device) to another. It is a
check used to ensure that data from the medium it was originally stored on is
accurately transcribed or copied into a computer. Verification checks do not
guarantee that the data entered is correct, all it does is check that the data
entered matches the source data.
● Therefore it is important to note that if the original form was filled out incorrectly, then
the data entered may pass some verification checks despite having errors.
1. One method that guarantees that the data entered matches the source document
is a process known as double entry or dual input. This is when data is entered into a
system twice using a software program that checks each second entry data against
the first.
■ For example, the data to be entered is typed in twice by 2 different
operators/persons and saved. The two copies of the data are then
compared, and any differences are detected by the computer. The
operators would then be prompted to retype the sections that differ until
both copies are identically similar. When the two copies agree, it is
assumed by the computer that the data has been entered correctly. This
method is time-consuming and expensive, as two individuals have to be
employed to do the same task, however it is a more accurate method.
■ Another example of double-entry are applications that require users to
enter their passwords twice (e.g. in creating phone passwords or email
passwords), the app then compares the 2 passwords to confirm they are
the same.
2. Visual checks (proofreading)- this involves carefully
checking what has been typed, against the original
document. Another method is the use of screen
prompts, in this case, the user enters data into the
computer. After a predetermined amount is entered, it
is redisplayed on the monitor screen. The reader is
then prompted to read the data and confirm that it has
been entered correctly. E.g. Grammarly, or Word

spell-checker. If the user has entered any data incorrectly, he or she simply retypes the
incorrect parts. The accuracy of this method depends on the thoroughness of the
individual checking (proofreading) the document.

3. Transposition error- is another type of verification check.


Transposition errors occur when two digits or letters are accidentally
reversed. These mistakes are caused by human errors and can result in
significant financial consequences in accounting firms, customs brokerage
and other financial institutions. (One way financial professionals can tell
for sure it is a transposition error is when you subtract the two numbers,
the result should be exactly divisible by 9. For example, say you have
entered 8950 instead of 8905, you can double check the error by
subtracting 8950-8905= 45 ÷ 9 = 5.
