Almighty, the most merciful, I completed my internship and internship report.

I am also thankful to the staff of the PASTIC that helped me in completing my internship and

learning new things.

involved me in the day-to-day activities where I could learn more about the departments and

the organization. Because of their help and motivation, I want to further succeed in the career.

I also want to thank the internees who worked along with me. It was an amazing experience. I

learnt new things. I learnt how to work with different people and communicate with new

people. It gave me an insight into the work life in the future.

Executive Summary

Internship is a very important part of a business student’s career. It can help a student in

getting practical exposure from an organization and a lot of things to learn that can prove

beneficial in student’s career. The main purpose of the internship is to give students skills to

excel in career. Those skills include administrative skills, managerial skills, communication

skills and many others. So when I was given the opportunity to do internship I chose PASTIC

which is a very well-known organization and gave me many things to learn.

The main purpose of writing this report is to explain what I did in PATSIC and what I learned

while working there in the Summer Internship 2021. This report includes organizational

background, personal learning, recommendations, and conclusions.

This report is divided in chapters, first chapter discuss company’s overview such as its

Background, Different departments. Second chapter focus my personal learning at PASTIC.

Third I have done SWOT analysis of PASTIC, in which different strengths and opportunities

of organization are discussed and those weaknesses and threats which are affecting their

effectiveness. And Last but not least fourth chapter is about my suggestions and

recommendations which I have given to PASTIC in my report.

CHAPTER 1

1.1 Introduction:

Information plays a fundamental role for Scientific, Technological and Economic

development of a country. Realizing the importance of potential role that Scientific

Information plays, government of Pakistan with the assistance of UNESCO established

(1957) Pakistan National Scientific and Technical Documentation Centre (PANSDOC) under

the Pakistan Council of Scientific & Industrial Research (PCSIR), Karachi to cater to the

Scientific Community needs such as Procurement of Documents, Compilation of

Bibliographies, Abstracting, Indexing and Technical Translations. An expanded project

namely Pakistan Scientific and Technological Information Centre (PASTIC) was launched

(1974) around the nucleus of PANSDOC and was transferred from PCSIR to Pakistan

Science Foundation (PSF), Islamabad. Presently, PASTIC is functioning as subsidiary of

PSF, an autonomous organization under Ministry of Science & Technology. PASTIC is the

premier organization in the field of S&T Information and is serving thousands of researchers

and other professionals through its specialized information services. Scopes and facilities of

PASTIC were expanded after transferring to PSF. PASTIC National Centre (Headquarter) is

in the premises of Quaid-i-Azam University Campus, Islamabad whereas its six Sub-Centers

are located at Karachi, Lahore, Faisalabad, Peshawar, Muzaffarabad and Quetta. PASTIC is

currently offering wide ranging services such as supply of full-text S&T Documents,

publication of primary (Pakistan Journal of Computer and Information System-PJCIS) and

Secondary Journals (Pakistan Science Abstracts in Ten(10) Disciplines), Patent Information

Service, Bibliographic Information Service, development of indigenous S&T databases,

compilation of Union Catalogues and Directories, National Science Reference Library,

Printing Services (Reprographic) ranging from Mimeographing, Photocopying and

Microfilming to printing. PASTIC is dedicated to fulfilling the ever-growing needs of

information community in the field of Science, Engineering and Technology for research and

development activities at national level.

1.2 PASTIC Vision and Mission

1.2.1 Vision

 To acquire, process and disseminate scientific and technological information to the

R&D community.

 To provide Bibliographic Information and Document Supply Service.

 To develop inter-library cooperation, resource sharing at national level.

 To develop and strengthen the National Science Reference Library.

 To publish an abstracting and indexing journal entitled "Pakistan Science Abstracts in

ten different S&T Disciplines".

 To compile Directory of S&T Periodicals of Pakistan, Union Catalogue of S&T

Serials, and other information tools.

 To train information personnel in contemporary techniques and methods of

information handling.

 To interact with regional and international information agencies/networks

To serve as an Information Provider for Research & Development enhancing access to and

delivery of information by catering to the information needs of Researchers, Entrepreneurs,

Industry, Educationists, Policy Makers and Planners through anticipatory and responsive

1.3.1 Objectives:

Networking and Capacity Building of Women Entrepreneurs (SMEs) from SAARC

Development of a Web Portal and networking of women SMEs in SAARC region to:

 Promote-Women entrepreneurial networks for advancement of their businesses

 Co-operation and partnerships for promotion of their products and services

 Facilitate women entrepreneurial activities for betterment of their economies.

Strengthening and Enhancement of Reprographic services of PASTIC (2004-2007):

 Enhancing the printing quality of PASTIC Press.

 Strengthening the printing services.

 Introduction of latest computer graphic software technology to ensure high speed and

quality Reprographic services with timely execution and quality assurance.

 Facilitating the printing work of publication, reports etc. of S&T and R&D

organizations.

Establishment of National Science and Technology Database/Information Network at

PASTIC (2001-2005):

 To strengthen the S&T information service through resource sharing.

Strengthening of PASTIC National Science Reference Library (1990-1991):

 Purchase of primary and secondary journals, reference books etc.

Current Content Service (1990-1991):

 To provide Current Awareness to scientists/researchers by sending them contents of

S&T Journals.

 To overcome the shortage of budget of procurement of important S&T journals.

Setting up database facilities at PASTIC (1990-1991):

 To strengthen activities of PASTIC

1.3.2 Achievements:

Networking and Capacity Building of Women Entrepreneurs (SMEs) from SAARC

Countries:

 A SAARC Women Entrepreneurs Web Portal

 Provide Businesses information women entrepreneurs through a database of more

than 1850 from all the SAARC member states.

 Networking SAARC Women Entrepreneurs.

 Display of innovative technologies/products (food & beverages sector or packaging or

etc. sectors) to start new business.

 A quarterly e News Bulletin to promote Women SMEs products, services as well as

information on their business activities (seminars/exhibitions).

 850 skilled women to boost their businesses through use of e-business management

(e-commerce & e-marketing) skills.

Strengthening and Enhancement of Reprographic services of PASTIC (2004-2007):

 Programme 1: Acquired, translated, and dubbed: 62 documentaries Aired: 21

Establishment of National Science and Technology Database/Information Network at

PASTIC (2001-2005):

 Networking was established with HEC PERN network and with network members.

 CD-ROM Databases were acquired according to requirement of PASTIC and network

members.

 Services have been enhanced and time for service has been reduced from 4 weeks to a

few hours.

 Computer servers, Client PC's, licensed software, and telecommunication

infrastructure have been implemented / installed.

 Data of about 11626 Journals have been collected from 200 S & T Libraries.

 Compiled and published Union Catalogue of 200 libraries which was also prepared on

CD-ROM and uploaded with advance searching facility on PASTIC website (URL

www.pastic.gov.pk)

 Training lab was set up at PASTIC National Center and Sub-Center, Karachi

 Automation of PASTIC Library was initiated and 11625 records were entered in the

database.

 Twenty-one training courses/ workshops were organized on different topics, viz.,

Information handling for promotion of E-Business, use of Patent Information System,

library automation, and knowledge management etc. in major cities of Pakistan. 1134

people from different libraries attended the courses.

Strengthening of PASTIC National Science Reference Library (1990-1991):

PASTIC library acquire about 300 books and subscribed to 23 S&T Journals (128 issues) and

following databases on CD-ROM.

 Applied Science and Technology index.

 Science Citation Index for 1993 only.

 Poltox from 1996 to date.

 MEDLINE from 1966 to 1933.

 Life Science Collection.

 PROQUEST.

 SOCIOFILE.

 Current Contents: Chemistry, Physics and Earth Sciences.

Current Content Service (1990-1991):

 The current content service was provided each month to 461 individual scientists in

the field of Biology, Chemistry, Microbiology, Computer Science, Biochemistry,

Earth Science, Mathematics, Physics and Technology.

 About 200 articles on an average were supplied per year. The project ended on 30-06-

1991 but the service continued.

Setting up database facilities at PASTIC (1990-1991):

PASTIC acquire the following equipment under the project

 IBM RISC/6000 Model320 minicomputer with AIX Operating System and COBOL

Compiler.

 IBM Laser printer Model 4019.

 IBM Compatible 80486 Systems (Qty 2).

 IBM Compatible 80386 Systems (Qty 9).

 IBM Compatible 80286 Systems (Qty 2).

 HP Scan IIC Scanner.

 HP Paint Jet XL Printer.

 3KVA Stabilizer.

 1KVA stabilizer.

 Novell Netware for 10 users.

 Modems (Qty 4).

 CD-ROM disk drivers (Qty 3).

 5.25" rewritable optical disk drive.

 130 MB Hard Disk (Qty 3).

 PC Mouse (Qty 3).

 386DX-40 Mother Board.

 Panasonic Dot Matrix Printer (Qty 3).

 UPS with Battery.

All these projects were sponsored by Ministry of Science and Technology Pakistan.

1.4 SERVICES OF PASTIC AND MAJOR CENTRES

Technology Information Services Section (TIS)

TIS Section undertakes following activities:

 Promotes local industry, small manufacturing enterprises (SMEs), their technologies,

products, and services, etc. through different TIS Databases.

 Collects and disseminates latest information on S&T news, technologies, products and

processes to the industry, researchers, and R&D organizations in the country.

 Develops university-industry linkage and industry-academia collaboration and

partnership through workshops/seminars for transforming knowledge and innovative

ideas into commercialization along with PASTIC Sub-Centers (Karachi, Lahore,

Peshawar, Quetta, Faisalabad, and Muzaffarabad).

 Promote TISC program through banners/standees

 Provide awareness during all national Centre activities including

trainings/seminars/library visitors

 Design and print a template form to maintain the record of visitors.

 Provide training and guidance of PASTIC Sub-Centers for providing technology

information services to the innovators.

 Compile and submit of Quarterly report to the IPO-Pakistan

 Provide access to online patent and non-patent (scientific and technical) resources and

IP-related publications

 Provide assistance in searching and retrieving technology information.

CHAPTER 2

PERSOANL LEARNING AND EXPERIENCE

2.1 Week 1:

 After my application for internship was accepted, I gave my joining letter on first day.

I was in the publication section for the first two week.

 On 2nd day I was introduced to what work I had to by Mr. Mubashir. Since I was in

publication section my work was to publish the research articles online.

 My technical skills were challenged.

 The experience of working in an office with new people made me learn a lot about

how to adapt in work environment where you don’t know the people.

 I learned how to manage publications which were very old.

 In first week, I worked in MS word, which is used in organization for documents.

2.2 Week 2:

 In the 2nd week I worked in MS Excel.

 My work was to convert the physical files into digital files.

 I learnt how to manage files while working in an organization since file management

is a very important skill.

 The digital work is also time based so my time management skills were improved.

 I learnt how to deal with the different level of managers and staff of the company.

 I visited the workers areas to look over them whether they are doing their job properly

or not.

2.3 Week 3:

 In my 3rd and 4th week I was transferred to work in the Database section.

 Mr. Aijaz supervised my work there.

 The database section has records of several research journals.

 I worked on adding the new data in their database.

 Several research articles from different journals were added to the database.

 Through this experience, I learned management of data on large scale.

 It taught me to keep a fine eye on everything because while managing things you’ve

to look for mistakes.

2.4 Week 4:

 I did a round of the company for checking the things which are to be maintained and

which are to be renewed.

 I made a list of new employees and new internees in the computer and saved that data.

 One day manager asked me what I have observed. I told him (manager) that I

observed how to deal with employees and on which time which things are to be done.

 I guided another internee regarding the internship.

 I finally learnt how to hire a internee in the company.

 I updated the files of employees and all departments of the company.

 I also learnt more about finding errors in PTCL (telephone) bills.so I checked bill

again for clarification.

2.5 Week 5:

 In my 5th and 6th week I was transferred to work in the HR section.

 Mr. Noorani helped me in learning things about the HR section.

 I learnt how they advertise about the jobs on vacant seats.

 I learnt the hiring policies.

 I learnt how to issue letters regarding employees and the organization.

 I learnt promotion and upgradation criteria of employees.

 I learnt the pay policies of the employees’ and the pension policies of the retired

employees of the organization.

 I learnt the vacation policies of employees to.

 I learnt about the discipline that employees must follow in an organization.

 I learnt about the maintenance of the security and safety of the company.

 One day two employees in the company created a conflict between them and it was

the responsibility of the HR/Admin department to solve their problem.

 Their problem was solved according to the policy of the company, in which they both

were suspended for 10 days.

 I learnt how to solve the problems of the employees.

2.6 Week 6:

 I learnt how to close the leave data of employees, because employees will get salaries

according to their working days as per policy of the company.

 The company bills of PTCL (telephone) were going to be corrected in PTCL office

and the manager taught me the way of correction there.

 Manager taught me how to verify the documents of new employees and how to

arrange the training session for new employees.

 I distributed the stationary to other departments.

 Manager taught me how HR/Admin department managed the leaves of employees and

how many leaves should be given to each employee.

 Finally, I learnt the whole process of leaves in the company.

 I learnt how to issue the advance salaries of employees and how to send the record of

that salaries to the account department.

 I learnt how to maintain the record of meeting which is called IOM.

 On the last day of my internship, the manager talked to me in a friendly way and

shared some his previous experiences and gave me some advice.

 One most important thing which I learnt in my last day was that you always have to

be honest, work hard and be loyal to your profession.

 In end manager wished me best of luck for further life.

3.1 SWOT Analysis

Strengths

PASTIC enjoys many strengths including:

 Strength (A core group of dedicated individuals)

 The ability to attract new talented people

 A shared core visions

 A unique integrated model of development

 A participatory decision-making process

1. Strength (A core group of dedicated individuals)

The PASTIC has well experienced on their own individuals in which they believe that they

are their core group of dedicated individuals and work force. The PASTIC avails the project

for the experienced workforce such as in program development department experienced

employees are working. They write the attractive proposals based on their knowledge and

they get different projects from different donors. So, experienced workforce is strength for

the PASTIC.

2. The ability to attract new talented people

The PASTIC has ability to attract new talented peoples by them after they can attract all other

remaining potential talented peoples and influence them for doing hard work as for the

awareness of organization and the peoples for them, we are working from the starting. In the

PASTIC performance appraisal is done on the work done by the employee and the capable

employees are transferred to higher posts and the remaining employees get interest in work.

3. A shared core vision

PASTIC envisions ‘sustainable communities achieving equitable economic, social, political

and cultural development through indigenous community organizations. PASTIC aims ‘to

become self-sustaining resourceful, disciplined and specialized training and support

institution access to under privileged with a view to build capacities of community

organizations as model development organization.

4. A unique integrated model of development

PASTIC has their own unique integrated model of development through which they always

fulfill the major points of the projects and cover up all their rotational privileged

opportunities and standards

5. A participatory decision-making process

PASTIC has a decision-making process which they called participatory decision-making

process they make mostly decision through all this from top level management to the

supervisor level.

Weaknesses

 The Human Resource Department is not up to the mark for the proper appraisal

system of the staff. The Human Resource Department have not designed a proper

appraisal system for the employees. So, this is a weakness of the organization.

 Human Resource department lacks staff, and it is very difficult for the Human

Resource Manager to do the right things for their organization, and it takes much

time for normal working of the organization. There are a smaller number of

employees are working the organization and the workload is high. May employee can

leave because of the high workload.

Opportunities

 To provide Bibliographic Information and Document Supply Service.

 To develop inter-library cooperation, resource sharing at national level

 To develop and strengthen the National Science Reference Library.

 By hiring proposal writing experts PASTIC can spread all over country. PASTIC can

spread all over country by writing the attractive proposals which are demanded by the

different donor organizations. This is also an opportunity for PASTIC

Threats

 PASTIC is not the private organization. there are many other organizations that are

locating in different areas. The other organization such as PSF (Pakistan Science

foundation), PSF and many others are threat to the PASTIC.

 The other institutions can offer higher packages to the employees of PASTIC. This

May, have negative effects on PASTIC. PSF (Pakistan Science Foundation) should

give pay according to the demand of employees. If the employees leave the

organization because of the higher pay is offered by the other competitor organization

this will be threat for the organization.

3.2 PEST Analysis

Political:

PASTIC is a governmental organization, which is administered by Ministry of Science and

Technology. The change in government’s policies will affect PASTIC’s policies. The

advancement in science and technology is because of research and PASTIC facilitates in it so

there is always involvement of government in it to facilitate its operations.

Economic:

With new research and advancement in technology, the economic trends will also shift. Good

economic policies are also defined by researching on economic models. The better the

research the better will be the results so PASTIC aims to always facilitates researchers in

their research.

Social:

PASTIC has very little social involvement because it has less interaction with the public, only

specific people who are involved in research have work with PASTIC.

Technological:

PASTIC is a technological information center so it has a big role in company’s technological

advancement. It is a technology center and also associated with MoST. Their main function is

to bring high technology in the country for the betterment of public in educational and

developmental sector.

Conclusion and Recommendations

4.1 Conclusion

Human Resource integrate all the activities and functions of the organization like job

analysis, recruitment, staffing, Training, designing compensation package, employee’s

appraisal system. Human Resource Department plays the key role in the hiring, retention,

Motivation and promotion of the employees. There is nothing to be done without the best

talent or the best assets (employees) in the organizations and serve include that matter at the

top of their priority list. Whenever I asked about the giving the best of what an employee can

give is priorities at the top of the list and top management really appreciate the best efforts of

the staff when they give best of their services to the people and ultimate to the organization.

Employees are the keen interest of the organization and before them I learned that this

organization really focus on the local people of the Area. No matter the projects go in

deficiency, or they generate profit project need to be completed and looked after its

compilation is the main motto of the current top management of the organization.

4.2 RECOMMENDATION

 The Human Resources should take less time in recruitment and training

 The promotional criteria by the Human Resource Department should be defined and

be as per rules.

 More training centers should be established. If there is lack of resources, it is difficult,

the training centers of the other organizations in the same capacity can be utilized by

determining the terms and conditions.

 During the training by Human Resource Department the ethical values should be

more emphasized.

 The proper and competitive evaluation of the methods and procedures should be used

that will enhance the performance of Human Resource Department.

 This is the era of Information Technology. The functions and procedures of the

PASTIC should be converted from manual to the automatic and Human Resource

Department should allocate resources for this purpose.

 There should be a proper check and balance system.
