Unit 1: Introduction to Communication

Meaning and Definition of Communication


Communication is the sending and receiving of Information and can be one on one or
between group of people and face to face or through communication devices.
Communication requires a sender, the person who initiates communication to transfer their
thoughts or encode a message. This message is sent to the receiver, a person who receives
the message and finally the receiver must decode or interpret the message.
Language involves the symbols and signs and it’s distinct to the culture that speaks and
writes in that language. Effective Communication requires a shared language and
understanding of common aspects.

Process of Communication
 Idea formation: The communication process begins when the sender has an idea
to be communicated. The sender must begin clarifying the idea and purpose.
 Message Encoding: The idea must be encoded into words, symbols and that will
convey meaning because no two people interpret information in the exact same
way. The sender must be careful to choose words, symbols that are commonly
understood to reduce the chances of misunderstanding. Therefore a sender must
be aware of the receiver’s communication skills, attitudes, experiences and
cultures to ensure clear communication.
 Message Transmission: Types
1. Verbal Communication
2. Non-Verbal Communication
 Verbal Communication: i) Oral Communication
ii) Written Communication: Formal, Informal
iii) Visual Communication
 Non-Verbal Communication: Body Language
 Message Decoding: When the message reaches the receiver, the message must be
decoded into its intended meaning. Therefore, the receiver must translate the
symbols, the words and gestures as the sender intended. Successful Decoding is
more likely when the receiver creates a receptive environment and ignores
distractions.
 Feedback: Feedback occurs the sender and receiver check to ensure the message
was understood as intended. Feedback is a responsibility between the sender and
receiver and can be verbal or non-verbal.
Importance of Communication
 In the Organization: Communication plays a very important role in the
management of any organization. Good communication is required not only in
building relationship but also for a successful business.
 Importance of Individuals: Communication is important to express one-self. It
also satisfies ones need. In our personal life effective communication skills can
smooth your way and your relationships with others by helping you to
understand others and to be understood.
 To secure an Interview: To secure yourself in the interview you should
communicate confidently and clearly. Good communication skills would help
you to get selected for the job.
 To increase the quality of friendliness to others: Good communication builds
strong friendships and it give confidence. Communication skills enhance the
ability to understand and share the feelings of each other. It is important for
making friendly relationships.
 Essentials of Communication: Good Communication depends on the in depth
knowledge of the Communicator and his quality and skills. A Communicator
should be strong in listening skills, verbal skills, writing skills and Inter personal
skills. The choice of words and method of delivering speech and how much he
can relate the audience with is consent.
