1. Log in to the PM/GM SAP Jam page, and navigate the course feed. Share
the following with your classmates:
 The company for which you work.
 How long you have been an implementation consultant.
 Whether you have completed any implementations, and for what
modules.
 If you have completed an implementation (for any module), talk about
the three things you found most helpful during an implementation.
 If you have not completed an implementation, list what you most want
to learn in this mastery training.
2. Log in to your training instance as the user of your choice, and review the
following content to become familiar with your training instance.

Exercise 2.2: Preparing


Your Instance in
Provisioning
In this exercise, you will access your assigned Provisioning site and make a few
basic configurations to your training instance. Remember that Provisioning is the
back end of the application and the training instance is the front end. Customers
never have access to the Provisioning.

Objectives
At the end of this exercise, you will be able to:

 Access the assigned Provisioning site and make edits to company settings
as directed
 Access the assigned Provisioning site and enable v12 UI Framework and
Admin 2.0 as directed
 Access the assigned Provisioning site and create a backup admin account

Exercise 2.2: Preparing Your Instance in Provisioning

1. Log In to Provisioning
In this class, all students will be sharing one Provisioning account. The log in
credentials for this Provisioning account were provided by your instructor via
email prior to the start of this course. If you do not have these credentials,
please reach out to your instructor.

A. Access the salesdemo4 Provisioning site here:

B. The user name will be TrainingXX or XXX (the XX or XXX will be
replaced by two or three digits). This user name is case sensitive, so
make sure to use the uppercase T in “Training”!
C. The password is training (all lower case).
D. Select your instance in the company list. You can find your instance
either by the company name that you assigned it, or by the Company ID
(acexxx, where xxx is replaced by three letters and/or numbers).
2. Change Company Settings
All training instances have the same default configurations, known as the
Greenprint image. This image is a snapshot in time, and some configurations
must be modified to use some of the new options.

A. Under Edit Company Settings, select Company Settings.


B. In the second section make sure the features listed below are enabled
(checked).
o Performance Appraisal Smart Form
o Writing Assistant
o Admin Configuration Tool
o Workflow
o Competency Library Management Suite
o Legal Scan

o Spell Check
o Live Profile
C. Make sure that the Language Pack checkbox is selected, and that
English US (English US) is checked.
D. Scroll up near the top and click Save Feature to save your changes
3. Enable v12 UI Framework and Admin 2.0
V12 is the new user interface for the SuccessFactors application. Before starting
to work within an instance, you need to verify that this has been set up correctly.

When looking for these features in Provisioning, use the search feature of your
browser by pressing Ctrl+F on your keyboard.

A. Navigate to Edit Company Settings and select Company Settings.


B. Make sure that the following options have been selected:
o Version 12 UI framework (Revolution)
o Admin 2.0 (OneAdmin) (required Version 11 framework (ULTRA))
C. Scroll up near the top and click Save Feature to save your changes.
4. Create a Backup Admin Account
A. Under Edit Company Settings, select Company Settings. Scroll
down to the bottom of the page to locate the section to create a new
Admin User.
B. Fill in the fields for a backup admin account with the following
information:
I. Admin Username: admin2
II. Admin Password: TRGP123
III. Admin First Name: Your First Name
IV. Admin Last Name: Your Last Name
V. Admin Email: Your Email address
C. Click the Create Admin button.
D. Log out of Provisioning.

Your Instance
In this exercise, you will access your assigned training instance, and verify that
its interface has been updated to v12 and is using Admin Tools 2.0.

Objectives
At the end of this exercise, you will be able to:

 Access the assigned training instance as an admin and make edits as


directed
 Access the assigned instance using all other user accounts and make edits
as directed

Exercise 2.3: Preparing Your Instance

1. Log in to the training instance as the admin


A. Access the salesdemo4 log in site here:
https://salesdemo4.successfactors.com/login
B. The company ID was assigned to you when you requested a training
instance for this class. It will be acexxx (the xxx will be replaced by
three letters and/or numbers). This company name is case sensitive.
C. Log in to the instance as the user admin.
D. The default password was communicated to you in the email you
received with the training instance was created. You will be prompted to
change the password. Change it to password (all lower case).
o It is important that everyone use the same password so that your
instructor can easily access your instance to troubleshoot
configuration issues.

2. Verify the Revolution user interface is active


A. While logged in as admin, navigate to the Admin Tools.
B. Admin Tools 2.0 appears as graphics. If you see graphics, Admin
Tools2.0 has been properly turned on:

If you see a list of administrative options, click the link that says, “You are using
legacy admin tools. Click here to switch to the enhanced admin tools”.

C. In Admin Tools, navigate to Company Settings  Manage v12


HomePage. If the button near the top of the page says Turn Off Home
Page, Revolution has already been enabled, and you can leave that
screen. Otherwise, click the Turn On Home Page button at the top, and
then the Save button at the bottom of the page.

3. Log in to the training instance as all users


The training instance has four accounts already created. You have already
logged in as the admin. You will now log in to and test the other included
accounts, which are director, manager, and employee. (See the Org Chart in the
instance to see how these users relate to each other.)

A. One by one, log in to the training instance as each user. The default
password for all users is TRGP123.
B. Upon first log in, you will be prompted to change each user password.
Please change each password to password (all lower case).

Data File
Your training instance comes with four users: admin, director, manager, and
employee. The admin user has been given full administrative rights to this
instance. In this exercise, you will be adding more employees to your
organization by uploading a User Data File (UDF), which is in your Module 2
materials found in the Learning Hub.

Objectives
At the end of this exercise, you will be able to:

 Open a user data file and edit as directed


 Validate and upload a user data file into the training instance

Exercise 2.4: Upload User Data File

1. Update User Data File


A. Navigate to the file M02-E 2014 User Data File.
B. Open the UDF, do the following:
o Enter your email address as the email for each employee.
o Save this file as a .csv file.
2. Upload User Data File
A. Log in to your training instance as the admin user, and go to Admin Tools.
B. In the Manage Employees area, select Update User Information.
C. Click Employee Import.
D. Click Browse… and navigate to where you have saved the UDF.
E. Click Validate Import File. If everything is ok, you’ll see the following
message:
There are no error(s) found in the import file. (If you get another
message, make any changes necessary until the file validates.)
F. After the file has been validated, you need to browse for the file again
before it can be uploaded. Click Browse… and navigate to where you
have saved the UDF.
G. Under Select the new user default password format, select Use the
Username.
H. Click Import User File. If this file was properly validated, you will
receive the following message:
Your file has been uploaded to the server successfully, and will
be examined for the proper text file format. An email
notification will be generated once your import has been
processed indicating the final status of your request. The
import process can take up to an hour, depending on the size
of the import file. If you do not receive an email notification
regarding your process, please contact our technical support.

Note: You may not actually receive this email message; it seems that some
company’s spam filters catch them. If you do not, log back into the instance
and check the Org Chart to make sure you can see the new employees.

2. Complete RBP process
A. Save all changes, and log out of the system. Please keep in mind it can
take up to 20 minutes for the system to take care of all your permission
assignments.
B. The next time you log in to the system, test out some of the roles that
you created an assigned to verify everything is functioning as it should.
C. After setting up RBP, you may assign proxies in three different ways:
I. Referencing the USER ID of your proxy (person with access to
another user’s account) in the “Proxy” column of the User Data File
for individual employees (the account holder). Keep in mind this will
grant all proxy permissions to every module the account holder has
access to.
II. When logged in as the Super Admin, navigate to Admin Tools 
Proxy Management  Assign proxies one-by-one (this also
allows more control over which modules you want to grant access to
for the proxy).
III. When logged in as the Super Admin, navigate to Options Menu 
Proxy  Assign Proxy (also allows control over which modules
you want to grant access to for the proxy).

In this exercise, you will access Goal Management as an end user to practice
adding new goals, cascading goals, and maintaining goals.

A. Log in to the training instance as Manny Manager, and navigate to


Goals.
B. Add a new goal for Manny Manager in the Internal Business
Processes category.
C. Cascade this goal to Edward Employee, and edit it while cascading.
D. While still logged in as Manny Manager, look at Edward’s goal plan.
E. Log in or proxy as Edward Employee.
F. On Display Options, make sure that the Aligned Up box is checked,
and then click Update. You will be able to see the goal that Manny
Manager cascaded to Edward Employee.
G. Create a new goal for Edward Employee.
H. Delete one of Edward Employee’s goals.
I. Continue to create, edit, delete and cascade goals as you wish.

A. Log in to your training instance as the admin user.
B. Add a goal plan template (Extended Goal Plan), and name it GM
Mastery.
C. Explore (but do not make changes to!) the following areas:
o General Settings
o Edit Categories
o Edit Fields
2. Working with the Goal Plan Template in XML
A. Download the objective-template_4_0.dtd and save it in a dedicated
folder.

Note: The file name may start with a 1; make sure you save the file without
the 1 and the space. Save as: objective-template_4_0.dtd.

B. Download the XML of the GM Mastery template, save it in the same


dedicated folder as the DTD, and open the template.
C. Using the XML, DTD, and Configuration Guide, answer the following
questions:

In this exercise, you will be changing some of the global settings as well as
working with some of the additional settings that are expressed as attributes
under the <obj-plan-template> element. Use the screenshots provided on pages
3 and 4 of this exercise and the configuration guide to complete the activities.

 Edit global settings on the most recent copy of the goal plan template
 Edit additional global settings that are expressed as attributes under the
<obj-plan-template> element

1. Edit Global Settings in XML


A. Download the most recent copy of the goal plan template and open it in
your XML editor.
B. Using the screen shot provided below and the configuration guide,
perform the actions listed below:

I. Make sure the Plan ID = 7. (Configuration workbook Additional


Notes)

• Each goal plan template must have a unique plan ID. The
system only looks at Plan ID when making changes in the
instance and Provisioning. If the template does not have the
correct plan ID, an existing template may be overwritten (and
that cannot be undone).
II. Set the plan start and due dates so that they are the first and last
days of the current year. (Configuration workbook lines 31 & 32)
III. Make sure the <obj-plan-name> is “GM Mastery”. (Configuration
workbook line 4)
IV. Update the template in the instance, and test to make sure all
changes have been made.

C. Using the screen shot provided below and the configuration guide to
perform the actionsin <obj-plan-template>:

I. Change the status of public/private goals so that text shows instead


of icons. (Configuration workbook line 7) All goals should be
created as public by default. (Configuration workbook line 8)
II. Set the maximum number of goals per page to 4. (Configuration
workbook Additional Notes)
III. By default, the goal can be edited by clicking the edit goal button in
the Actions area of the goal plan. Change the setting so that the
goal name is a link that opens the goal edit window. (Configuration
workbook Additional Notes)
IV. Update the template in the instance, and test to make sure all
changes have been made.

1. Text Replacement feature


Use the information provided in the module and the configuration guide to
make the changes requested below.
A. Change the term “Category” to “Goal Classification”. So that it shows
up properly in the instance, you’ll have to add a colon after the last word.
(Configuration workbook line 18)
B. Update the template in the instance, and test to make sure all changes
have been made
2. Setting Goal minimums and maximums
A. Set the minimum number of goals per plan to 5, and the maximum
number of goals per plan to 10. (Configuration workbook lines 10 & 11)
B. Set the minimum total weight of the goal plan to 40%, and the maximum
total weight of the goal plan to 100%. (Configuration workbook

C. Set the minimum weight per goal to 10%, and the maximum weight per

In this exercise, you will be changing some of the category attributes and setting
a default category.

Objectives
At the end of this exercise, you will be able to:

 Delete and add categories


 Change the name of a category
 Select a category as the default
 Set category weights and counts

1. Delete, add, and change Category


Use the information in the module and the configuration guide to make the
changes requested below. These changes are listed in the configuration
workbook, starting on line 18. You may make the changes in Manage
Templates or the XML, as appropriate.
A. Delete the category called “Other” on the goal plan template.
B. Create a new category called “Not Otherwise Categorized”.
C. Change the name of the “Customer” category to “Customer
Success”1.3. A Should you change the category ID? □ Yes □ No
Why or why not?

D. Delete the “Learning and Growth” category.1.5 Create a new category


called “Personal Development and Leadership”.
E. Alphabetize the goal categories.
F. If necessary, update the template in the instance, and test to make sure
all changes have been made.
