Print and Document Services

Print and document services help manage network printer services by allowing documents to be sent from network scanners to shared network resources. The fax server role centralizes and manages fax jobs, settings, reports and devices, allowing tasks to be completed remotely on multiple computers simultaneously. Print servers monitor print queues, enable installing printer connections using Group Policy, and allow tracking, administering, deploying, monitoring and managing printing across an enterprise. Network printing services allow printing when connected to a network and reduce maintenance costs by eliminating unnecessary equipment.

Discuss the print services role and its use in managing network printer

services?

PRINT AND DOCUMENT SERVICES helps and assists you to amalgamate and bring together print
server and network printer tasks. With print services we can receive documents from network
scanners and lead the documents to shared network resource. Example - Windows Mail Share Point
services site and many such email addresses.

Fax server sends and receives faxes and allows you centralize and manage jobs, settings, reports and
fax devices. The Fax Server role can save the fax administrator a significant amount of time. Instead
of installing fax machines on client computers and managing and monitoring fax machines, you can
complete those tasks in 2 or 3 steps on multiple computers simultaneously and remotely. By using
Fax Service Manager, you can automatically make fax connections available to users and computers
in your organization.

Print Server helps you keep an eye on print queues and receive notifications when print queues stop
processing print jobs and services. It also. enables you to take print servers to different levels and
install printer connections and printer servers using Group Policy. Group Policy is a framework that
allows and permits you to specify managed arrangement and layout for users and computers
through Group Policy settings. It also has the Scan Management which we can use to manage
network scanners and design scan processes.

Print Server can be installed in the Print Manager console on a single computer and we can also
track, administer, deploy, monitor and manage the printing and printers of all computers throughout
the enterprise. A printer server allows printers to be shared by everyone on the network. Print
Sharing is not as important as file sharing but it is a useful network service. Internet Printing creates
a website that helps the users on internet to send print jobs to shared Window printers.

NETWORK PRINTING SERVICES helps us to print quickly while we are connected to the network for
sharing that print among the connected users. Local printers are connected directly to your PC but
network printers can only be used after we login to the particular network. We can then use the
network printers available in our department/office/institution.

By using network printing services we can reduce the maintenance costs by eradicating unessential
equipment from their network. They make label printing very easy by providing high-speed
connection between the printer and the host database by allowing us to print across LAN or
Intranet. Network Printing Services help in enhancing out business to grow and flourish. It allows the
staff to share information effortlessly, increasing the productivity and efficiency. It also provides us
with other advantages such as cost-effectiveness, storage efficiency, flexibility and data security.
