1. Creating data entry forms

Access makes it easy to create a basic form for data entry. There are three types of AutoForm:
• Columnar
• Tabular
• Datasheet

Creating a columnar form


In the database window, click the Creates tab and click Form wizard
Select for example Products as the table or query where the object’s data comes from. Select
some fields to be presented in the form. Click Next. Choose the layout as Columnar. Click Next,
give the column name and then click Finish.

To make minor change to this form, select View toolbar: Design View
To enlarge the Detail section, drag the top edge of the Form Footer down.
You can drag all the fields down to give some space on the top.
You can create Label by clicking Label tool on the toolbar, and drag out an area in the upper centre
of the Detail section. Type the heading Product Form, with bold 14-point fonts.
Press the View button on the toolbar to return to Form view.
Press the Save icon and save the form as frmProducts. Close the form.

Creating a tabular form


In the database window, click the Creates tab and click Form wizard
Select Orders as the table or query where the object’s data comes from. Select some fields to be
presented in the form. Click Next. Choose the layout as Columnar. Click Next, give the column
name and then click Finish.

You can make some minor change in the DesignView.


To sort order of records, place the cursor anywhere in the OrderDate column, and click descending
button.

Creating a form with a sub-form

In the database window, click the Creates tab and click Form wizard
Select Orders as the table or query where the object’s data comes from. Select all fields to be
presented in the form.
Now we want to select the fields to put on the sub-form. Click the Tables/Queries down arrow and
select Table: Customers. You may select all fields that you want. Click Next.
The next FormWizard dialogue box asks “How do you want to view your data?”. Please select
Form with Sub-form(s). Furthermore, select Datasheet, and continue the process.
Now, in the Form object, two forms are created: Customer and Orders Subform.

Using the form, data can be entered and edited.

2. Creating reports
A report can be created from a table or query.

In the database Window, select Creates, then click Report Wizard.


In the New Report dialog box, select Products table, then select some fields that you want to include.
Then, you may select options for the layout of your report.

Editing the report format


Editing could be done in the DesignView. You may make some minor changes, or put your name
in Page Footer. If you find ## in your report, it indicates that the width of space provided is not
enough. Please modify it in Design View, by enlarging the space.

Create a report based on a query


You can make a report from a query that has been created.

Use the Report Wizard to create a new report based on a query.

You can modify a report from the Design view.
