Introductory Message

For the facilitator:

This Self-Learning Module is a stand-alone resource material in Medical


Transcription which is intended for the learners of the Division of Bacolod City.
Learners who could not afford online or face-to-face learning can utilize this module.
It includes a learner-friendly pretest, self-check exercises, additional activities, and
other learning instructions intended to help learners learn even teachers and learner
are geographically remote from each other. This covers topics in Grade 12 in the 1st
Quarter with corresponding activities for learners to achieve the most essential
learning competencies and lesson objectives. Moreover, each exercise in this
module is designed for independent learning and practice. However, ensure that the
learners’ parents, elder siblings, guardians or relatives at home will guide and
support them as they accomplish its given tasks.

Furthermore, explain to students that taking the tests diligently will allow them
to learn their lessons for their academic progress. Most importantly, remind them to
answer the given activities on a separate answer sheet and handle this module with
utmost care.

Lesson 2 Maintaining Hand Tools, Equipment and Paraphernalia

2. Follow procedures in cleaning, tightening, and simple repair of hand tools,


equipment, and paraphernalia

MAINTAINING HAND TOOLS, EQUIPMENT, AND


PARAPHERNALIA

Like other computer users, a Medical Transcriptionist has to know how to


maintain hand tools, equipment, and paraphernalia to ensure proper care of, and
longer performance of the computer unit assigned to them. For instance, are you
aware of what preventive maintenance is? How do you use a flat-headed
screwdriver? Why do we need to maintain all equipment needed for medical
transcription? These and other related questions will be answered in this lesson.

Proper Use of Electrostatic Discharge (ESD)

What is Electrostatic Discharge?

Electrostatic Discharge is one of the few things you can do to damage your
computer or parts of your computer. Much like the shock you receive when rubbing
your feet on the carpet and touching something metal, ESD can occur when working
in your computer and can cause the components you touch to malfunction. ESD can
occur without the user feeling a shock and only occurs while working on the inside of
the computer. The best method of preventing ESD is to use an anti-static wrist strap
and anti-static mat.

Anti-Static Wrist Strap


1. Wrap the strap around your wrist and secure it using the snap
or Velcro. The metal on the back of the wrist strap must remain
in contact with your skin.

2. Snap the connector at the end of the wire to the wrist strap
and connect the other end either to the equipment or to the
same grounding point that the antistatic mat is connected to.
The metal skeleton of the case is a good place to connect
the wire. When connecting the wire to the equipment that you are working on,
choose an unpainted metal surface. A painted surface does not conduct the
electricity as well as unpainted metal.

Anti-Static Mat
➢ Lay the mat on the workspace next to or under the computer case.

➢ Clip the mat to the case to provide a grounded surface on which


you can place parts as you remove them from the system.

Proper Use of Hand Tools


It is important to use the right tools for the right functions. This would prolong
the life of your hand tools and equipment.

A. Screws
➢ Match each screw with the proper screwdriver.

➢ Place the tip of the screwdriver on the head of the screw.

➢ Turn the screw clockwise to tighten the screw and counterclockwise to loosen the
screw.
➢ Do not over-tighten screws for they can be stripped. A stripped screw may get
stuck in the screw hole, or it may not tighten firmly.

➢ Discard stripped screws.

B. Flat Head Screwdriver


➢ Use a flat head screwdriver when you are working with a slotted screw.

➢ Do not use flat head screwdriver to remove a Phillips head screw.

➢ Never use a screwdriver as a pry bar. If you cannot remove a component, check
to see if there is a clip or latch that is securing the component in place.

C. Phillips Head Screwdriver


➢ Use a Phillips head screwdriver with crosshead screws.

➢ Do not use this type of screwdriver to puncture anything. This will damage the
head of the screwdriver.

D. Part retriever, Needle-nose or Tweezers


➢ The part retriever, needle-nose pliers, and tweezers can be used
to place and retrieve parts that may be hard to reach with your
fingers.

➢ Do not scratch or hit any components when using these tools.

➢ Pencils should not be used inside the computer to change the


setting of switches or to pry off jumpers. The pencil lead can act as a
conductor and may damage the computer components.
1. Steps in Proper Cleaning
A. AVR/UPS
➢ Turn off the AVR/UPS and make sure to unplug the power cord
before cleaning.

➢ Clean with compressed air blower or paint brush.

➢ Wipe the case and cord with dry and clean lint-free cloth.

B. Computer System Unit


➢ Turn off the computer

➢ Unplugged all devices attached to it.

➢ Remove all the screws on the rear case with screwdrivers and slide off the side
panel

➢ Clean the CSU with compressed air blower or paint brush. You must wear a face
mask to avoid inhaling dust particles.

➢ Use cable ties to arrange or bundle the wires neatly. Cut the excess wires using
wire cutter.
➢ Screw the case and wipe with lint-free cloth.

C. Keyboard
➢ Detach the keyboard from the CSU.

➢ Tilt the keyboard on its side and use compressed air


blower or paint brush to blow the dust and debris out of it.

➢ Wipe it down afterward and the cord with lint-free cloth.


D. Mouse
➢ Disconnect the mouse from the CSU.

➢ Wipe down the external part of the mouse with glass cleaner
and a soft cloth. Try to keep the cloth away from the openings
of the mouse.

➢ Clean the scroll wheel if applicable. Spin the scroll wheel under
a bright light.

E. Monitor
➢ Turn the LED or LCD monitor off, unplug the cord and let it cool
for a few minutes.

➢ Clean the frame of it, wipe gently with a lint-free cloth.

➢ Do not spray any liquid directly to the LCD/LED screen.

➢ Let the screen dry completely before you plug it back.

➢ Wipe the power cord and data cord (HDMI/VGA) with lint-free cloth.
Note: Never spray anything directly onto your monitor screen.
LED monitor screen are fragile and can be damaged if you press too hard.

F. Headset
➢ Detach the headset from the CSU.

➢ Wipe it with a lint-free cloth.

G. Digital Foot Pedal


➢ Detach foot pedal from the CSU.

➢ Wipe with clean dampened cloth.


H. Printer
➢ Make sure to turn off the printer and detach to the computer.

➢ Wipe the case with lint-free cloth.

➢ Perform head clean regularly using computer to maintain the good printing quality.

➢ Always check the ink level. Don’t let the cartridge empty or below the ink level.

2. Anti-virus Protection
Anti-virus protection is an act of protecting your computer through the use
of anti-virus software.

Anti-virus software is a program or set of programs that are designed to


prevent, search, detect, and remove software viruses, and other malicious software
like worms, Trojans, adware, and more.

Examples: Avast, Kaspersky, Bitdefender, Norton, Avira

Basic functions of Anti-virus


• Scan specific files or directories for any malware or known malicious patterns.

• Allows you to schedule scan to run automatically.

• Remove any malicious code detected, sometimes you will be notified of an


infection and asked if you want to clean, remove or quarantine the file.

• Show the health of your computer.


What is Preventive Maintenance?

Preventive Maintenance – is the systematic care and protection of tools,


equipment and machines in order to keep them in a safe and usable condition, limit
downtime, and extend productivity.

We must always be aware that maintenance tasks themselves are potentially


hazardous and can result injury.

The successful maintenance program is:


• Well organized and scheduled.

• Control hazards.

• Defines operational procedures.

• Trains key personnel.

6 General requirements for tools and equipment maintenance include:


1. Obtaining a copy of maintenance schedule recommended by the manufacturer.

2. Ensuring the maintenance is performed as required.

3. Ensuring that the person(s) performing the maintenance are competent (e.g.
licensed mechanic).

4. Retaining records of maintenance/service conducted.

5. Specifying who is responsible for overseeing equipment maintenance and where


the records are kept, and

6. Setting up a system for removal and tagging of damaged or defective tools and
equipment.
