Project Management for VAs

Project management is the process of working toward a certain objective while keeping in mind many
factors that can affect it, such as money, time, quality, and people. It involves planning action points,
and the fulfillment of those actions, all to accomplish a specific outcome.

Take a look at this video, which explains project management clearly.

Project Examples

A project can be anything, big or small. They can be completed by 1 person or many, many people
working in coordination. As with most VA tasks, it's very important to define what the goal of a project is
and what it includes.

Examples of projects include:

 Successfully completing the VA Program


 Sending your CVs to a set number of potential employers
 Signing contracts with 3 new clients
 Create a new app
 Writing and publishing a book
 Putting on a conference
 Throwing a party

Project Management Tools

There are various options on how to manage (keep track of) a project. In the video below, Grace shares
the 3 project management tools she uses the most.

Grace mentioned the well know project management tools; Asana (Links to an external site.), Trello
(Links to an external site.) and Slack (Links to an external site.). We have linked them here so you can
open the web pages to explore them further.

If you and your client prefer managing a project in collaborative spreadsheets then Google Sheets is
your best friend. It's free and can be updated in real-time by all the parties involved. We have a simple
template that we will explore on the next page.

As with everything, there are pros and cons to each project planning tool. Our personal favorite is
Google Sheets, however if you want to go deeper and learn more about the other platforms and their

platforms.
Project Management in Google Sheets

A good way to use Google Sheets to manage a project is to create a project plan. A project plan is a
schedule of the tasks and deadlines that must be followed to accomplish a particular objective. A project
plan is also referred to as a work plan or a Gantt chart.

What does a simple project plan look like? Well, before we jump in to answer that, let's start by looking
at a scenario that could benefit from the use of a project plan...

Project Management Scenario

Scenario:

Ayo wants to support managers and executives so he can learn more about leadership and running a
business. His friend, Kaleb, tells him about the ALX VA Program that starts in July 2022. It's a clear
pathway to working closely with executives, managers, and visionaries so Ayo decides to enroll.

His end goal is clearly defined: Ayo wants to work closely with executives for at least 2 years so he can
be exposed to the ins and outs of running a business.

His process is also fairly clear but it needs to be tracked so he doesn't drop the ball and forget to do
something important. To get there, he will take the ALX VA Program, graduate, create quality resumes
and a profile on LinkedIn, apply for opportunities, land 3 good contracts and keep them for 2 years.

His aim is to have completed all this by 7 October 2022. The VA Program enrollment deadline is 14 July
2022. There is a lot to consider. One action affects the next so to keep track of everything Ayo takes time
to plan what he needs to do using this simple Google Sheet Project Plan. (Links to an external site.)
