ORACLE FUSION Finance CLOUD R13

Oracle Fusion Applications:- (OFA) Oracle fusion application are a complete set of
business applications that sets the new standard for innovation work, adoption and
developed to changes in business technology via a web browser.
:
SAAS Software as a service, saas is software delivary model where a fully functional and complete software product (No
Customization).

:
PAAS Platform as a service, Paas cloud service model where the cloud is used to deliver a platform to users and they can develop.
(Customization).
:
IAAS Infrastruture as a service, Iaas is the lowest level cloud service and pre- configured hardware resouces and provide to users
through a virtual interface. (Customization).

1) User Creation setups


First click on setup and Maintaince,

Then click on setups for financials

Then change task into Financial then click on create implementation users.
Then click on add user account

Then enter only mandatory field.

Click on Add role.


ROLE BASED ACCESS CONTROL
There are 4 types of roles
1) Application Implementation Manager: - It is responsibilities for managing the overall implementation of fusion
application configuration. (ORA_ASM_APPLICATION_IMPLIMENTATION_MANAGER)

2) Application Implementation Consultant: - This is super user role for FSM; these individuals will have full access to all
functionality supported by setup manager. (ASM_APPLICATION_IMPLIMENTATION_CONSULTANT).

3) It Security Manager: - This role will provide access to create new implementation user and to assign roles.
(FND_IT_SECURITY_MANAGER_JOB).

4) Employee: - This role will provide access into schedule process screen where you run process and process check
status.
(ORA_PER_EMPLOYEE_ABSTRACT)

Then click on Add Role & one by one Add 4 Roles then save & close

Abstract roles: Generic role with no specific job function. E.g.:- employee, contingent worker, and manager.
Data roles: Data role determine what data you can access. E.g.:- which company data you can access.
Duty roles: These are the granular what data you can access. E.g.:- Invoice creates duty, invoice approval duty, GL journal
entry. GL Posting.
Job roles: These role get mapped to one or more duty roles, because person that takes a job in company, then they are
perform
several duties, E.g.:- Account payable manager job, GL accounting manager job etc.
Then save and close.

Logout & Login with (shakeel1) user Password (shak1234)


1.1. IMPLEMENTATION USER
This user only for creating the initial enterprise structure and is not a real person in HCM.
Setup and maintained work area in the oracle fusion functional setup manager is used to manage the configuration of our
enterprise.
We must create implementation project to configuration oracle fusion for company.

Then create implementation project for enables specific Options.

Then click on Next.


Click on Save & Open Project/
Click on Edit button
Status is (Not started but we keep as (In Progress) & Then click on done.

It is a one application in the oracle fusion application suite, it is a central to access and perform all of the setup steps a cross
products. It is central repository where we can maintain organization, generating report and defining major control feature.

2. CURRENCY
Currency determine amount for accounting transaction. Each country having their own currency

Save & Close.


3. CALENDAR
Calendar determine date for accounting transaction.
There are two type of calendar
Accounting calendar
Transaction calendar

Click on NEXT---

Then Save & Close it.


3.1 TRANSACTION CALENDAR
Which day are the working days and which day is the holiday in the org, Transaction calendar it is used in average balance processing
future.
N>S&M>Financial>FRS>All Task>Manage Transaction Calendar/ …….. Click on Plus +/

Click on Generate Calendar the Then Click (Save & Close) click on Done.

4.Values Sets
Value set will determine the future of segment values.

New feature in fusion (There are 3 type of Flex field)


1) Key flex field:- It is mandatory flex field which is used to capture the key information of org.
2) Description flex field:- Descriptive flex field it is an optional flex field which is used to capture additional information of the
org.
3) Extensive flex field:- (it is like Descriptive flex field)

Save & Close.

Click on Plus (+) Business Unit OR Department

Click on Plus (+) Natural Account (Maximum Length : 5)

5. Chart Of Account Structure
N>S&M>F>FRS>Manage COA Structure/----------Click on Manage Structures/
Click on (+)

Click on Save.

Click on (+) Create (1) COMPANY


Click on SAVE & CLOSE.

Click on (+) Create (2) BUSINESS UNIT

Click on SAVE & CLOSE.

Click on (+) Create (3) NATURAL ACCOUNT


Click on SAVE & CLOSE

Click on (+) Create (4) FUTURE

Click on SAVE & CLOSE; Again Click on Save & Close…….Then Click on DONE.
5.5 CREATE COA INSTANCE.
N>S&M>FRS>Manage COA Structure/---------- Click on Manage Structure Instances/
Click on (+)
Structure Name: - (Assign Old COA Structure). If you define COA already then we need to take old existing COA
structure, while creating E.P.S, No need to create new COA structure.

Click on Save.
LOG OUT & LOG IN

Click on Edit Company


Click on Edit Business Unit

Click on Edit Natural Account


Click on Edit Future

Click On Save & Close,--------------Click On Done.

6. Create Values
It used to identify for segment value
N>FRS>Manage COA Value Set Value>
Then Query (S Company1)….. Then Click on Manage Value/

Then click on Plus Button (+)

Create Value with 1Company


In case summary, allow posting and allow budgeting these parameter not appear then we can search or query below screen.

Save and close.

Click on 2 Manage Value/


Then click on Plus Button (+)……………Create Value with Business Unit

Click on 3Manage Value/

Then click on Plus Button (+)…………… Create Value Nature Account (Take Default Corporate Account) No need to create
Natural Account.
Click on 4Manage Value/

Then click on Plus Button (+)…………… Create Value Future


Save & Close

Click on Deploy Flex Field.


Click on (Deployment Flex Field) OR Compile in E-bus R12

Click on Deploy Flexfiel.

7.CREATE LEDGER
N>S&M>F>GL>Manage Primary Ledger/---------------------- Click On (+)
Click on S&C.
7.1 SPECIFY LEDGER OPTION
N>S&M>GL>Specify Ledger Option/---------------------- Click On (+)
Then click on Specify Ledger Option.

Then select & add

Then click on Apply & Go to Task.


Enter New Primary Ledger.

Click on Save & Close.

Create New Ledger.


N>General Ledger>All Task>Specify Ledger Options/

Click on below of Scope (Rahil new Primary ledger).

Click on Apply & Go to Task.


8. Review & submit accounting configuration
N>S&M>GL>Review & Submit Accounting Configuration/

Click on Submit.
N>Tools>Schedule Process/

Click on Schedule Process.

Assign Data Access Set to User.


9. Assign 5 Data Roles to User.
N>S&M>F>User & Security>All Task>Manage data access for User/
Click on (+)
1) RAHIL Chief financial officer DATA Science Rahil new primary ledger new
2) RAHIL Controller DATA Science Rahil new primary ledger new

Click on Save & Close------------------ Then Click on Done.

10. Open period in ledger.


N>General Accounting>Period close> Data access Ledger>--Change/

Click on Never Open Period----- Then Period will appear below screen.
Click on DONE.

14. Close GL Periods


N>GL>General Accounting>Periods Close/

Click on line symbol

Then click on General Accounting …. Then Click on Period Close

Click on General Ledger

Click on {Change} and select our Ledger name


Click on Target Period to Open

If required then follow this one

Just Keep your curser on OCT-18 closing of month then click on Close Period Then Click on Ok ….Then Click on Done.
Then Click on Refresh to see Status Period Close

15. Re - Open GL Periods


N>GL>General Accounting>Periods Close/

Click on line symbol

Then click on General Accounting …. Then Click on Period Close


Click on General Ledger
Just Keep your curser on Re Open-18 Closing of month then click on Open Period Then Click on Ok ….Then Click on Done.

Then Click on Refresh to see Status Period Open


16. Journal Source
It is a one of the journal component and it will determined of original Journal, generally we will create when will use legacy system.

Click on (+)

17. Journal Categories


It is a one of the journal component and it will determine purpose journals.

Click on (+)
If you want to get default journal category in journal so need to assign our user name below screen (Optional)
18. Journals
It is used to record day to day business transaction of org, it contained debit and credit lines, Always debit must be equal to
the credit.
Step1 Enter Journal
N>General Accounting>Journals>Task>Create Journal/ ------ Click on line symbol ---- Then Click on Journal.

Then click on Task then Click on Create Journal


Create Journal

Click on Save……………….Then it show status: Incomplete

Then click on Complete………………Then Status: Completed.

Then click on Post. ,,, Then batch status is posted

Click on Tool>Schedule Process/

Click on Post journal for single ledger/

Then click on More/


Then Click on File Name or URL/ to Download File

Step: 2 Check journal status


N>Journal>Task>Manage Journal/

Click on journal

Click on search,

Then see the batch status


Step: 3 Check account Balance.
N>Period close>Task>Inquire on details balance/

Click on Search. ……. For seeing balance.


18.1 Mix Journals
It is used to record day to day business transaction of org, it contained debit and credit lines, Always debit must be equal to
the credit.
Ex: If you want to record a journal with Rent Expense of USD................. and TRAVEL Expense of GBP ...... Then you can
mix both the lines in one single journal.

Step1 Enable the Check Box Allow mixed statistical and monetary journals
N>General Ledger>All Task>Specify Ledger Option/

Click on Save ======= then S&C


Step2 Enable the Check Box Allow mixed statistical and monetary journals
N>General Accounting >Journals>Tasks>Create Journal/

Before we define the mix journal need to create (Rate type & Exchange Rate type)

19. Journal Reversal


It is used to create new reversal journal which is entered by mistake or as per the organization requirement.
There are 2 type
1) Switch Dr/Cr: in this method system will create new reversal journal entry with exact opposite line of original journal.
This method is used reversed journal and which are current month book entry purpose, as per accounting principle
requirement.
2) Change sign: in this method system will create new reversal journal entry with negative amount. This method is used
to reversal journal which are enter by mistake.

Step: 1 Query journal which you want to reverse.


N>Journals>Task>Manage Journal/

Click on search/
Place cursor on Journal/

Then click on Show more/ then enter as in reversal period and then click on SAVE.

Then click on Reversal.


N>Tools>Schedule Process/

Step: 2 Query reversal journal and post it.


N>Journals>Task>Manage Journal/
Click on search

Then click on Reverse journal.


Then batch status is Unposted we need to click on POST

Then see the Posted status in reversal.

20. Change Sign


It is used to create journal entry with negative amount.
Step: 1 Enter Journal & Post It.
N>General Account>Journals>Task>Create Journal/
Click on Save, then click on Complete then make Post.

N>Tools>Schedule Process/
Click on Post Journal for Single Ledger.

Step: 2 Query Journal which you want to reverse or change sign.


N>General Account>Journal>Task>Manage Journal/
Click on search, ,,,,,,, Then Click on Journal Change,

After get the screen click on Save.


Click on Show More/
Then click on Reversal
Then enter as a change sign

Then Save it.


Then Click on Reversal.

N>Tools>Schedule Process/
Click on Post Journal for Single Ledger.

Step: 3 Query Reversal Journal & Post It.


N>General Account>Journal>Task>Manage Journal/
Click on Search and Click on Reversal RR12 Journal /
Then Post it.

Then see the balance change into negative balance.

21. Journal Batch


This feature is used to group batch based on certain parameter.
Step: 1 Create Journal Batch.
N>General Account>Journals>Task>Create Journal/
Click on Save.

Click on Journal Action and Select Add/

Click on Save, Click on Complete, and then click on Post.


21.1 Mixed Currency Journal
Journal can be entered with journal line containing different currencies.

Ex: - If you wan to record a journal with RENT Expense of USD ……… and TRAVEL Expense of GBP……….Then
you can Mix both the lines in one single journal.

Step: 1 Enable Mixed currency journal at Specify ledger Options.


N>General Ledger>Specify Ledger Options/

Click on Save & Close.

Step: 2 Create Journal for different currency line.


N>General Accounting>Journals>Tasks>Create Journal/
Select BLANK line for currency Field. Then Scroll Down line then enter in line level.
Save>Complete>Post/

And DAILY RATE is mandatory for above lines because which kind of currency is available on this that all
currency daily rate we need to defined.

Check the Journal Status

22. Auto Copy Journal Batch


This feature is used to create new batch by copying existing journal batch.
Step: 1 Query journal batch which you want to copy.
N>General Account>Journals>Task>Manage Journal/

Search journal Batch,


Then click on journal batch,
Then Click on Copy

Just enter name and say Copy journal Batch

Click on save, then click on complete and post it.


Then query and see the Auto Copy journal batch is posted are not.

23. Journal Spread Sheet (ADFDI)


(Application Development Framework Desktop Integration)
Step: 1 Install ADFDI Excel.
First download link from Gmail or anywhere……. Click on Link. (Or) N>Tools>Download Excel Spreadsheet/

Click on Install

Go to Ms Excel then click on Install.

Go to Excel & Click on File then click on (Excel Option)

Then click on Trust Center,, then click on Trust Center Setting.,,,,, Then Click on ActiveX Settings. (Enable all controls without
restrictions & without prompting)

Click on Micro Setting (Disable all macro Except (Not Recommended; potentially dangerous code can run)

Click on Ok.
Step: 2 Create journals in Spreadsheet.
N>Journals>Task>Create Journal Spreadsheet/ Then save Spreadsheet journals in Desktop

Then Open the Journal Spreadsheet at Desktop.

Then Click on Enable Editing


Then Login with Our Own User ID & Password

Double Click in RR12 Company Below Column.

Then Enter Account details then click on OK.


Then enter Debit and Credit Amount. Then click on submit.

Again Click on Submit.


Then enter all row and columns and Submit and click on OK

Step: 3 Query journals to check Spread Sheet result.

Keep cursor on Batch Status (Posted) and click on Search/

24. Suspense Journal
It is used to post unbalanced journals.
Suspense account is an account in general ledger that store temporary any transaction for which is uncertain accounts in which should be
recorded & it transaction out from suspense account correct account.

Step: 1 Define Suspense Account.


N> FRS>Manage chart of account value set value/
Enter in Value set code as a RR%

Place curser on Nature account then Click on Manage Value, then Click on (+)
Click on Save & Post. Again save & close

Step: 2 Enable Suspense account feature at ledger level.


N> General ledger>Specify ledger options/

Save and Close.


Step: 3 Enter Unbalance journal and Post It.
N> Journal>Task>Create Journal/

Click on Save, Click on Complete, and then click on Post.

N>Tools>Schedules Process/

Step: 4 Query journals to check result.


N> Journal>Task>Manage Journal/
Search Suspense account. Then click on suspense account.

Then see the Unbalance of suspense account.


24. Sequential Numbering
Sequencing number used to assigned unique number to various oracle concept.
Step: 1 Enable Sequence number ledger.
N> S&M> F>General ledger>Specify Ledger Option/

Save & Close

Step: 2 Define sequential numbering and assign to category.


N> F>GL>All Tasks>Manager Accounting & Reporting Sequence/
Click on (+)
Click On Save & Close

Click on Sequencing Assignment Tab


Then click on (+)

Click on Save & Close ……. Then Click on Done.


Step: 3 Enter Journal & Post.
N> Journal>Task>Create Journal/

Click on Save,,, Then Click on Complete and Post It.

Then See Batch Status: Post

Click on (Show More)…………. Then Click on Sequencing


25. Reporting Currency
It is used for reporting purpose to translate transaction from functional currency to foreign currency at transaction level.
Following five data roles are require assign to access reporting ledger.
1) Chief financial Officer
2) Controller
3) General Accounting Manager
4) General Account
5) Financial Analyst
Primary ledger Reporting Ledger
(Functional Currency) - INR (Foreign Currency) - US

Step: 1 Create Reporting Currency.

Click on Save & Close.

Step: 2 Create User and Assign GL Roles to User.


N>S&M>Initial Users>All Tasks>Create Implementation Users/
Click on Add User Account

Click S&C

Step: 3 Assign Reporting Ledger to User Roles.


N>S&M>Users & Security>All Tasks>Manage Data Access for Users/
Click on S&C

Step: 4 Run LDAP.

Step: 5 Define the Daily Rates

Check Conversion Rates.

Sign Out and Login in Reporting User.


Step: 6 Open Periods in reporting ledger.

Then Click on Task>Manage Accounting Periods/


Then Click on SHIZ Reporting Ledger/
Then Click on Open Period
Step: 7 Create and Post Journal in Primary Ledger.
N>GL>Journals>Task>Create Journal/

Click on Save,, Then Click on Complete,,,, Then Click On Post/


Step: 8 Check Journals in Reporting Ledger.

Click on Search then click on Journal and see the difference amount in Reporting ledger.

28. Secondary Ledger


SECONDARY LEDGER
Secondary ledger represents primary ledger accounting information in another accounting format it will be created when there is change
in.
Following 4 level;
1) COA, 2) Currency, 3) Calendar, 4) Convention method

Then Create five Data Roles are required to assign for access secondary ledger.
1) Chief financial ledger
2) Controller
3) General Accounting Manager
4) General Accountant
5) Financial Analyst.
Secondary ledger here using for different COA That is the reason.
Step 1: Create COA for Secondary Ledger: 2 Segments
Step 2: Create secondary ledger
Step 3: Set ledger options
Step 4: Map Chart of Accounts
Step 5: Map Primary & Secondary ledger
Step 6: Create User & Assign GL roles to user
Step 7: Assign Secondary Ledger to User roles
Step 8: Run LDAP Job
Step 9: Open periods in secondary ledger
Step 10: Create & Post Journal in primary ledger
Step 11: Query journal in secondary ledger & post it.

Enter in Retained Earning.

Click on Save & Close.

Step 4 Create chart of Account Mapping.

Click on (+)

Click on Save & Close. === Done.


Step 5 Map Primary Ledger to Secondary Mapping.
N>S&M>GL>Complete Primary to Secondary Ledger Mapping/

Click on Save & Close.


Step 6 Create User & Assign GL Roles to User.
N>S&M>Initial User>All Tasks>Create Complete Users/

Click on Save & Close.

Step 7 Assign Secondary Ledger to User Roles.


N>S&M>User & Security>All Tasks>Manage data access for Users/

Click on Save & Close.


Step 8 Run LDAP Job.

Click on Schedule Process/

Click on Ok.

Log Out & Log in Secondary Ledger.

Step 10 Open the Periods in Secondary Ledger.

First Click Jan Period Ok.

Click on Done.
Step 11 Create & Post journal in primary ledger.
N>S&M>General Ledger>Journal>Task>Create Journal/

Click on Save>Complete>Post/

Step 12 Find the journal in Secondary Ledger.

Query is pending to see the output.
BUDGETS
 It is used for better planning & controlling purpose.
 Budget can be defined up to 60 periods
There are 2 types of budgets
Planning Control Budget Journals
Planning YES NO NO
Funding YES YES YES

1 Planning budget: In case of planning budget just we can plan either expenses or revenues but there will not
be any controlling & budget journals.

2. Funding budget: In case of planning budget, we can plan either expenses or Revenues and controlling will
be there & also budget journal can be created.

Budget Organization: It will determine list of account and budget controlling features for budget.

There are two types of budget controlling methods.


1) Absolute: In this case, application will not allow us to entering transaction more than the budgets amount.
2) advisory: In this case, application will through warning message when we try to enter transaction more
than budget amount, leaving decision to user.
Encumbrance: It is a separate reserve which has taken from budget balance and will be used for specific purpose.

Step 1: Setup budgetary control

Find our primary ledger and click on Edit/
Click on Save & Close == Done.

Step 2: Create control budget


N>S&M>Budgetary Control and Encumbrance Accounting>Manage Control Budgetary/
Click on (+)
Click on Action Prepare for Use ==== DONE.

Step 3: Assign budget Roles to user


N>S&M>Initial Users>All Tasks>Create Implementation Users/
Click on Add Role

Click on Done.
Step 4: Assign budget to user roles
N>S&M>User & Security>All Tasks>Manage Data Access For Users/

Click on Save & Close.

Step 5: Run LDAP Job


N>S&M>Tools>Schedule Process/
Click on Schedule New Process/

Click on Ok === Submit/


Sign out & Sign IN
Step 6: Open budget periods
N>S&M>Budgetary Control>Tasks>Budget Period Status/

Click on Save & Close.

Step 7: Prepare budget data.


N>S&M> Budgetary Control>Tasks>Enter Budget in Spreadsheet/

Click on Create Spreadsheet/


Click on Import Amounts as Entered/ === Ok/

Step 8: Create journal & Check the Result

Click on Search/

Click on Save>Complete>Post/

Only imported Budget spreadsheet that we can see after click on Search/ but this part only pending.
JOURNAL APPROVAL OR BPM
Current User (ADRO = 10000 Limit) ADRO More than amount 10000

Another User (ADRO2R = 10000 Limit) ADRO2R Same or Less Than 10000

It is used to define approval authorized limits to approve journals,


Step 1: Create Approval group
N>S&M>Application Extension>Manage Approval Group/
1) Click on (+)

Click on Save.

2) Click on (+)
Step 2: Create Approval Rule: (More Then 100)
N>S&M> Application Extension>Manage Approval Group/
Click on Task Configuration
Search (*FinGlJournalApproval)
Click on Go to Rule
1) Select which you want that you can select node

Select Node then click on Advanced after that Disable check box. == Click on Save
Click on Ok .

Click on Commit Task


Click on Task Configuration>Edit>Assignees/

Then click on Go to Rule

1) Current User (ADRO = 10000 Limit) ADRO More than amount 10000
Then Click on (+) === IF Condition
Select the Journal Batch>Batch Amount>Long Value/

Select limit amount for approval 1000

Then Click on (+) === THEN Condition


Click on Validate>Save>Commit Task/

2) Another User (ADRO2R = 1000 Limit) ADRO2R Same or Less Than 1000
Then Click on (+) === IF Condition

Click on Task Configuration


Search (*FinGlJournalApproval)
Click on Go to Rule
Select the Journal Batch>Batch Amount>Long Value/

Select limit amount for approval 1000


Then Click on (+) === THEN Condition

Click on Validate>Save>Commit Task/

Then drill down and see there will be one message === (No validation errors/warnings found)

One thing if budgetary control check box enabled so we should have to disable because limited amount we entered in
Budgetary control so kindly disabled it check box.
Step 3: Enable Approval at Ledger

28. Revaluation
It is used to unrealized gain/ loss which is occurring due to the exchange rate fluctuation for foreign transaction.
=) It will perform current month and as a part of period end activity.
=) This process will create revaluation journal which will post in current period of month book entry purpose and revenue the
next period starting.
=) Auto reversal feature used reversal revaluation journal automatically

It is used to identify unrealized gain/loss amount which occurred due to foreign exchange rate fluctuations.
The difference in revaluation will be transferred to unrealized gain/loss a/c. We run revaluation in two modules- i.e., GL &
FA. In GL we run the revaluation to know the current asset & liabilities due to fluctuation in the currencies and In assets we
run the revaluation to revalue the assets.

Note: Revaluation can be done only before making the payment or before receiving the amount in GL.

Create invoice or journal suppose if your ledger account is In INR then we need to create in USD Dollar,
If you have Ledger Account is in USD, then we can create in INR.
