Functional Activities

(a) HR Operations
 Coordination with various departments to discuss on required resources criteria to be hired.
 Process RRF approvals, searching candidates via recruitment portal, local references, other sources.
 Initial screening of the candidates, scheduling interview with reporting managers, departmental heads.
 Processing IEF approval along with HO coordination for candidate finalization.
 Employee onboarding, induction, asset handover & other post joining support to the employees, exit process.
 Conducting employee R&R events, Training & Development session.
 Performance appraisal co-ordination with HO.
 Festival celebrations, birthday/anniversary celebration, parties/events organizing, CSR co-ordination, other employee
engagement activities.
 Compliances proceedings for certificates under shop act, trade act, principal employer certificate & timely
amendments, quarterly/annually returns submission for shop act, employment exchange return, Labour welfare
fund, Professional tax return & other legal compliances.
 Attendance tracking via biometric, mobile app, manual attendance data.
 Processing employees’ claims for local/outstation travel, boarding, travel advances, relocation & others as
required.

(b)Administration and Facility Management


 General office administration gamut to support smooth & efficient official activities.

(c) Transportation & Travel Management


 Arranging travel vendor to serve the company in terms of monthly / on-call vehicles fleet.
 Quotation arrangement or processing online bidding form various prospectus vendors to analyze best out of them on
the basis of parameters such as quoted amount, service quality, payment grace period, market goodwill.
 Suggesting & getting approved best option by the management to proceed further with legal contracts to onboard the
vendor.
 Contract drafting followed by legal team’s validation to finalize it, signoff by the vendor then sign-off by the authority &
sharing final copy to vendor.
 Fleet management in terms of scheduling travel plans, ensuring best route, rostering of drivers accordingly employee’s
transportation requirements.
 Ensuring efficient and enhanced vehicle usage by monitoring it via real time tracking devises i.e. GPS, OBD & usage
analysis to control misusages.
 Ensuring manual log books, duty slips are properly filled & signed-off on every usage & cross checking it with app data.
 Arranging DDT (Drivers Defensive Training from authorized legal training agency).
 Vehicle/driver compliances audit to validate legality such as RC, PUC, DL, Insurance, Permit, to ensure availability of
other health & safety tools i.e. fire safety equipment, basic medical help first aid box, tool kit etc.
 Ensuring timely service/repair & keeping a track of it to maintain vehicle performance & avoid any health/safety hazard
to the user.
 Invoices approval from authority to process payments & follow-ups with concerned dept. to ensure timely closure.
 Dealing GST, TDS or other payment related issues for timely & satisfactory closure.
 Arranging outstation travels as required by the management.
 Travel desk handling to arrange travel tickets for other mode of travel (in case regular cab is not being used or not
feasible) to travel intra cities, overseas travels dealing with visa etc.
 Dealing with logistic service providers for cargo arrangements.

(d)Courier Services Handling


 Managing the track of the inward and outward courier.
 Dispatch bookings via customized online portal.
 Interaction with vendor in case of issues.

(e) Procurement and Vendor Management


 Procurement of operational, capital materials as per requirement
 Vendor coordination & negotiations to arrange proposals.
 Analysis of the quotations on the various parameters such as cost, credibility, delivery schedule, guarantee and
warranty period, post sales services etc.
 Finalization of the vendor basis approval from the concern officials.
 Preparing and placing the purchase order/work order/SLA/LOI.
 Preparing the GRN on material receipt and processing the bills.
 Payment follow-up with concerned dept. to settle as per agreed terms.
 AMC vendor management to ensure timely smooth services of the office equipment.
 New vendor addition and coordination with the vendor to resolve their queries and issues.

(f) Accommodation Management


 Room allocation to the employees at Guest house.
 Guest House occupancy management.
 Guest house’s general management in terms of staff deployment, maintenance, timely meeting with society committee
or in case of issues, ensuring sufficient inventory (Housekeeping, pantry consumables, grocery, other consumables
electrical/electronic equipment etc.).
 Corporate tie-ups with hotels for employee’s accommodation services.

(g)Correspondence, MIS Management


 Inter-Organizational Correspondence.
 External Correspondence with vendors, business partners, govt departments.
 Documentation & Filing System Management.
 Liasioning with vendors, various government & other departments as required.
 Monthly/quarterly/annual Provision preparation.
 Petty cash handling with reports as desired by the management.
 Guest house/hotel occupancy tracking.
 Providing expenses / provision, employee or any other relevant reports as per the management requirement.

(h)Invoices Processing
 Routine monthly invoice processing for Housekeeping/Pantry, petty cash, electricity, courier, broadband, mobile,
printer, lease line etc.
 Office supplies invoices such as stationery, printed stationery, water.
 Opex/capex invoices, hotel, travel, vehicle invoices.
 Disposition of the TDS certificate to the vendors and arranging the no dues certificates from the vendors.
 Co-ordination with HO & vendors to support on TDS & GST issues closures.

(i) Canteen/Cafeteria Management:


 Refreshment/food coupons distribution to employees
 Ensuring MRP counter Inventory
 Ensuring timely food services and hygiene level
 Food and Water lab testing
 Ensuring proper functioning of amenities provided to or deployed by the vendor
 Feedback and Suggestion from the employees to improve the services

(j) Security & Safety Surveillance Management:


 Ensure safety of the employees & office security by managing security service provider, their deployed security staff &
Security surveillance system monitoring.
 Ensure basic EHS/OHS safety measures for betterment for all.
 Ensure the proper upkeepment, periodically testing, maintenance of the safety equipment such as CCTV, Fire
extinguishers etc.
