Information Systems
Name: Nguyen Kim Anh
Student id: 103525920
Executive summary
This report is from Golden Dairy Farms (GDF), a cow milk trading
company that was founded in 1961 on a small scale and has since
grown tremendously into a large business and company
cooperating with large and small enterprises at home and abroad.
Below will show and show more clearly the process steps,
procedures, and new technology, as well as the change of the
system to respond more effectively. The majority of businesses
run the system on their own, not in collaboration with other
departments. The next part will look at ways to enhance, grow,
and overcome the constraints of this firm.

Introduction
In the 20th century, a farmer in East Gippsland opened a cow's milk processor
for farmers in that town and has since grown into a business and is now a
company. The company cooperates with many major distributors. The
company's products are mainly made from cow's milk every day, a fleet of
stainless-steel tank trucks of the company depart from the factory to the dairy
farms to collect 50,000 liters of carefully selected pure milk. After the cars
return, the milk has been pasteurized and homogenized, and then packaged or
processed cow's milk products with different ingredients and flavorings. After
completing the procedures as specified. Products will be packed and moved
onto refrigerated delivery trucks for transportation to the company's major
distributors. The company's goods include a wide variety of milk products (such
as whole milk, reduced-fat milk, skinny milk, flavored milk, and so on) as well
as a variety of specialist milk products such as A2 milk, UHT milk, Lactose-
free milk, and Organic milk.
The company's previous restrictions were that many departments worked
separately and autonomously, without exchanging data with other divisions, and
that the majority of the firm still does not have any data network access. In any
event, contact is normally done by casual phone conversations or informally
over Gmail, sometimes while going through paperwork that will be delayed for
up to 1-2 days. These companies are nonetheless extremely lucky to be trusted
and used by a large number of homes.
I. Evaluations of the business
1. Model of Current Processes:

Current Process Model: GDF is a corporation with a very common and basic manufacturing
process, similar to that of other factories, but it is extremely sanitary, completely prepared,
packaged, and sent properly. The primary goal remains to provide items to contractual
distributors. Furthermore, GDF has not seen a visible change in the connectivity in the system
at the departments as well as in customer care at this time. Everything is still done by hand or
separately. Those items cause delays in the job, are prone to mistakes, and the data is not
synced. The emphasis is on high-quality resources, materials, and preparation, but the most
vital aspect is overlooked.

2. Proposed Process Model

Enterprise resource planning (ERP) is software that has a highly handy functionality for large
organizations and is used to manage and integrate key company information and data.
Currently, huge corporations employ it primarily by combining all of the operations required
to operate their business into a single system. It is appropriate when it is advised to correct
things when there is a big issue in the enterprise's data connection system. Enterprise resource
planning (ERP) is used by businesses to grow their business sectors and minimize expenses.
Integrating and automating corporate operations reduces redundancy, increases accuracy, and
boosts productivity. Departments with integrated processes may now coordinate efforts to get
faster and better outcomes. Using change management concepts throughout the ERP lifecycle
can help to avoid or reduce mistakes that could jeopardize complete adoption.

At Uncle Bob's milkbar, there are many items and small services here, and there are limited
hours for refueling, which is why many people are concerned about coming here. BP and 7-

It this obvious from Figure 4 that the best-selling product is "milk that is obtained
directly from cows, has undergone pasteurization and treatment without adding any
substances and contains about 3.5% fat content. – 5%" but the most undesired product
(with the lowest sales) is Organic Milk. The information received from the company
report may be used to focus on the best-selling product to assure supply, as well as
adjust campaigns and redesign the sorts of items that are being overlooked.
=> Small services must be enhanced; commodities are not widely available, so
importing and distributing in big numbers should be limited; and consumer attitudes
and reviews must be comprehended and extensively examined in order to absorb and
adapt.

III. GENERAL QUESTIONS

1. Question 1: Business Process Modeling
GDF may have begun as a modest firm, but it is now a well-known multi-million dollar
corporation. Customers' habits have evolved over time, as has the market, but it appears
that United Milk Commodities has frozen time and preserved the majority of the
processes that were in place years ago. According to GDF's sales statistics, which
includes a forecast for the coming year, the company is performing well and has space
to develop. Understanding the present business model and trying to improve it would
make this possible, as would allowing operations to be carried out more effectively.
Business process modeling is recognized as an activity of producing visual charts
(detailed maps) of processes and ways of conducting business in the ordered order of a
corporation (Swinburne Online 2018a) (Swinburne Online 2018a). According to the
IMB (2021), giving visual presentations in the form of data on business processes, as
well as business process modeling, would assist businesses such as GDF in their
capacity to assess and optimize operations. GDF has developed from a tiny firm to a
corporation worth millions of dollars over the years, but the method for preserving the
company's operations is still in its early phases of growth. As a result, it is the moment
to more effectively adjust the company's operational model while also reducing the
pressure on the overall reduction of this firm. The present model provides us with an
impartial picture of how the business operates, allowing us to identify areas that need
to be improved or removed. The to-be process demonstrates how the application of
current improvement possibilities to the present process model evolves. According to
Swinburne Online (2018b), this strategy improves decision-making accuracy by
ensuring that all relevant information is available. In part II, two models were shown.

2. Question 2: Information importance

According to Valacich (2017a), knowledge is one of a company's most
significant assets, simply because decision-making is meaningless without
the right information. Anyone in a management position is responsible for
making multiple decisions per day, and they must obtain reliable
information quickly in order to accomplish their job. Capturing information
is very important in making informed decisions for organizations that want
to change, such as GDF. Understanding and capturing the amount of
information related to the business will help them improve the
performance of the business, knowing users' behaviors, buying preferences
helps them improve their company's income, and so on. On the other hand,
a lack of knowledge, or erroneous and incomplete information, will lead to
poor decision-making and cost the organization hundreds of millions of
dollars (Swinburne Online 2018c).
Managers and business owners are GDF's main customers, but they all have
one thing in common: they are all very busy. To be able to do this,
information technology will be a powerful tool in creating an up-to-date
digital customer interface frequently. through and continuously in terms of
inventory count, delivery status, and CRM system. The ordering process
will be sped up, and GDF will be able to attract new consumers since they
will be able to collect data from existing customers and offer specials
depending on the characteristics of each client.
3. Question 3: Mobile app development justification.
Customers will be able to buy, sell, and pick items more easily with the use
of a mobile system or a separate business application, as well as assess and
remark, and receive superior customer care. To do this, the corporation
will need to spend some money setting up and developing the application,
then broadly publicizing it so that customers are aware of it, and finally
creating customer attraction. The application will be licensed, and users
will be able to download and buy retail or wholesale on the app, which is
also extremely handy and may be linked with major e-commerce sites such
as Lazada, Amazon, and so on…
4.Question 4: Analytics and CRM discussion
Website analytics, social media analytics, and customer relationship management are all effective
ways for organizations to gain a better understanding of their consumers. The table below contrasts
the environment of information collecting and client interests.

5. Question 5: Privacy and security

GDF shall comply with the confidentiality laws as well as the protection of
customer information while collecting personal and financial information
from consumers in order to improve their services. When establishing its
privacy authority, the GDF must adhere to the government's customer
privacy protection (APPS) laws. Businesses can safeguard client
information by restricting access to some critical customer information and
granting access only to a restricted group of managers for the purpose of
augmenting or altering when anything goes wrong, making it simpler to
control and track if something goes wrong, facilitating control and tracing if
something goes wrong Because cybersecurity is a challenge that every
major firm faces, implementing a complete protection system is difficult;
nevertheless, decreasing the danger of exposing client information is
doable.
A number of security measures include coping options in the event of a
cyber-attack, important customer information being decentralized based
on its sensitivity, training employees on customer data processing as well
as cyber safety protection measures, having a separate department or team
dedicated to handling and preventing data theft attacks.
IV. CONCLUSION
GDF cannot currently afford to expand the firm if the existing business procedure is
maintained. To boost business efficiency, the organization should use the ERP system to
take advantage of the enterprise's multi-manufacturing capabilities, as well as link
processes or reduce manual procedures. An ERP system with cloud-based services also
aids in the better management of data and customer interactions, allowing you to
optimize earnings by making the appropriate decisions. Unifying and sharing an
operational procedure with the assistance of new technology will be very beneficial, but
it will also bring GDF new challenges such as securing the company's internal network
environment, anti-theft, and leaking customer information from other parties.
