ISSUES RELATED TO THE SECURITY OF FILES

Data security is the system of safeguards that protects software, files and databases
from theft and modification.

Data security refers


to protective digital

databases and

Methods of protecting software and data include:


 Use of passwords
 Firewall
 Disaster Recovering Mechanisms:
o Backup systems
o Fireproof and waterproof storage

A person wishing to secure a computer or individual files can set


a password. A password is a security measure used to restrict access to sensitive
files. In order for access to be granted, the correct password must be entered. To apply
password protection there are two restrictions:
 Formatting – limits formatting to a selection of styles
 Editing – allows only certain kinds of changes.

A firewall is a program that identifies certain weaknesses in a computer network and


tries to prevent the resources from intrusion by users on another network. A firewall
makes it difficult for hackers to gain unauthorized access to the computer. A hacker is
someone who accesses a computer or network illegally.

Firewalls are often installed on computers that access the Internet. Companies use
firewalls to protect network resources from outsiders and to restrict employee access to
sensitive data such as payroll and personnel records.
Disaster Recovery Mechanisms
Files may become damaged, corrupted or lost. Sources of threat to data security may
be internal or external. External sources include hackers and natural disasters such as
fire, flood, hurricane and earthquake. Internal sources include clerical errors and
computer virus.

Mechanisms used to safeguard data are:


 backup and recovery
 fireproof and waterproof storage
 offsite storage

Fireproof and Waterproof Cabinets - files are stored in fireproof and waterproof
cabinets or vaults to physically protect them from water or fire.

Backup in order to prevent data loss, computer users should back-up files
regularly. Backing up data is the process of making a duplicate or copy of the file and
store it on another storage medium. Data should be backed up on a regular basis. The
storage media most commonly used for this process are:
 CD-RW (CD -rewritable)
 Magnetic tapes
 Floppy diskettes
 Zip disks

If the original data is lost, misplaced or destroyed, it can be recovered by copying the
backed up files to their original location on the computer.

Off-site Storage means in a location separate from the computer site. Some back-up
files are stored in an offsite or remote location, to protect against disasters such as
hurricanes, volcanic eruptions, fire, flood and earthquakes that would destroy both the
original and back up copy in the same environment. An offsite location can be a safe
deposit box at a bank or a briefcase.

An online (cyberspace) storage is an alternative offsite location. Online storage,


however is prone to deletions or the risk of files being overwritten. Some companies
may subscribe to an online backup service or website that automatically backs up files
to an online location.
