OUTPUT DETERMINATION

Output Determination:
Output Determination is the process to determine the medium such as
Invoices, PO Printout, Telexes, Faxes or E-mails that are sent from one
business to any Customers or Vendors.
The output can be sent to the Customer or Vendor in the document format
such as Printout for PR, PO, Invoices, Order Confirmations, Delivery Notes, or
many types of Notifications.

FLOW CHART OF OUTPUT DETERMINATION

As shown in the flow chart Condition record is a condition technique where it


search valid keys available with help of access sequence and access sequence

search valid condition record available for existing message type (PO Output
Type) which result triggering message output during PO creation.

Condition record is a master data where you store the relevant output
relevant data.. But condition record is not mandatory for PO output. If you
maintain condition record, system automatically picks the condition type to
PO, If you dont maintain, you can still manually assign the message type in PO.
This is possible because of purchase schema assignment to PO (shown in 4.2)
in SPRO.

Steps Involved in the Output Determination are:

Step 3: Define Message Types
Step 4: Message Determination Schema
Step 5: Create Purchase Order

The path to customizing the OUTPUT DETERMINATION is as follow:

SPRO – SPRO >Material Management> Purchasing -> Message -> Output

Step 1: Maintain Condition Table

SAP PATH - SPRO >Material Management> Purchasing -> Message -> Output
Control->Condition Tables->Define Condition Table for Purchase Order

Condition table where we can save all the fields with combinations for
individual condition record.

Note: We can create the Condition Table from 501 to 999 as before 501 uses
by the SAP system.

The above figure shows the creation of Condition tables in left hand side
wherein the right-hand consists of a field catalog, in which the selected field

from the field catalog, comes on the left-hand side. Hence if we save this
Condition table it takes the table number as 567 as shown in the figure.

Note – We can create more Ccondditions table.

Step 2: Define Access Sequences

SAP PATH - SPRO -> Material Management-> Purchasing -> Message ->
Output Control->Access Sequences->Define Access Sequence for Purchase
Order

It searches the condition record for message type from the conditions table.

We can create the new Access Sequence by clicking on new entries/ copying
from existing and then we can give the Condition table.

In the Access Sequence 5566, we will add the condition table 567.

From the above screenshot, we have a connection in ACCESS SEQUENCE 5566


and CONDITION TABLE 567 for MESSAGE TYPE

Step 3: Define Message Types

SAP PATH - SPRO -> Material Management-> Purchasing -> Message ->
Output Control->Message Types->Define Message Type for Purchase Order

Copying the standard message type NUE and make a new one YNUE

Now select Message Type YNUE and click on Mail Title and texts to select the
LANGUAGE for PO.

4. Message Determination Schemas

4.1. Message Determination Schemas

SAP PATH – SPRO -> Material Management-> Purchasing -> Message ->
Output Control->Message Schema->Define Message Schema for Purchase
Order-> Maintain Message Determination Schema

Create a new schema (ZCXDTM) by clicking on NEW ENTERY

Now assign MESSAGE SCHEMA (ZCXDTM) to MESSAGE TYPE (YNUE).

4.2. Assign Schema to Purchase Order

SAP PATH - SPRO -> Material Management-> Purchasing -> Message ->
Output Control->Message Schema->Define Message Schema for Purchase
Order-> Assign Schema to Purchase Order

STEP 5: CREATE PO FOR OUTPUT DETERMINATIONRUN:

Now we will create the PO using the Material, Purchase Organization & Plant
combination, which I mention in the CONDITION TABLE & observe the
OUTPUT DETERMINATION as per our customization.

Click on Message Icon

Here we can see output type is picked up automatically while creation of


purchase order
