Activity 11-Project Management Cycle
A project is defined start and end, specific scope, cost and duration. It is a temporary
endeavor undertaken to create a unique product, service or result. It is a series of activities
aimed at bringing about clearly specified objectives within a defined time period and with a
defined budget.
Project management was developed to save time by properly planning a project and
considering all relevant factors which may affect its outcome. Even though project
management gives you set of tools to schedule and organize, there are many factors that
need to be considered if projects are to be successful. It is not a magical solution
Project management does not do the work for you, but helps you to be specific and
organized without losing the overview of what you are doing and why. With limited
resources, project management can be very important by: Increasing productivity; Boosting
efficiency; Making the most of every resource and Making sure that deadlines are met.
The project management cycle describes high-level processes for delivering a
successful project. Whether you’re working on a small project with modest business goals or
a large, multi-departmental initiative with sweeping corporate implications, an
understanding of the project management life cycle is essential.
For project managers seeking to understand their process and work according to best
practices, they are often guided by standards of practice which outlines the project
management life cycle. The life cycle of any project can get confusing. There are a lot of
activities going on at different phases of a project. Plus, those phases tend to overlap.
The delivery process is what your team members are primarily engaged in. Usually,
that’s the nuts and bolts of the project in action. That’s distinct from project manager’s
process for running a project from start to finish.
By remaining on task even though the project’s work is completed, you will be
prepared to take everything you’ve learned and implement it for your next project.

- A project management life cycle is a framework comprising a set of distinct
high-level stages required to transform an idea of concept into reality in an
orderly and efficient manner. Life cycles offer a systematic and organised way
to undertake project-based work and can be viewed as the structure
underpinning deployment.

Project Initiation
- The first of the project management stages is all about giving the project a
relatively broad definition and establishing whether or not it is feasible. The
stakeholders responsible will usually use two methods to decide whether or
not the project gets the go-ahead:
● Business Case Document: This will set out the justification for the project in
terms of what the organization needs, how it will benefit them and produce
potential financial profit.
● Feasibility Study: This document assesses the resources necessary for the
project to be completed and compares them to what the organization has
available. In this way the project is judged on its timeline and cost and
whether it is the right option for the organization.
Project Planning
- In the project planning stage, a more in-depth outline of the project’s goals
and requirements is created. This is where a project manager really brings
their skills to bear. Project planning includes:
● Defining the scope of the project
● Identifying what exactly needs to be done
● Finalizing the timeline for deliverables
● Organizing a work flow schedule
● Assessing and arranging necessary resources
Project Execution
- This is the beginning of the creative stage, where the carefully laid project
plans are turned into tangible deliverables. There will usually be a kick-off
meeting to give everyone an overview of what their objectives are and after
which, each team member will be aware of what is expected of them.

Project Monitoring
- The project manager is a key point of contact between the project team
working at the “coalface” and the other stakeholders who are more removed
from the day-to-day details of what’s happening. For this reason and to make
sure that everything is progressing as it should, a project manager needs to be
able to effectively measure and communicate project progress.
Project Closure
- This is the last of the project management stages, when the final deliverables
are handed over or go live. This stage provides you, your team and
stakeholders with an opportunity to evaluate how successful the project was
and what lessons were learned during the process. It is also wise to create an
ongoing process to capture this knowledge and formally and feed it back into
your project management system. Tools that give you an audit trail and a way
of recording what’s taken place are useful for leveraging past projects and
team efforts. Flexible systems that can easily incorporate change are especially
powerful as they can be optimized quickly and immediately take advantage of
new knowledge.

You should look at this phase both strategically and practically. Try to understand
how each task leads to the ultimate goal of solving the problem, and keep in mind
that the tasks should be practical and easy to accomplish.
3. Project Management Life Cycle: Execution
The execution phase is the one where communication can really make or break a
project. During this phase, you should communicate both with your team to make
sure they are advancing as predicted, and the stakeholders to keep them updated.
You should also establish key performance metrics for project tracking. This way,
you’ll be able to see how everything’s going and adjust if needed.
4. Closure
Finally, when the project is done, it’s time to evaluate the success of it, the
performance of your team, and write a report. You can use this stage to say “thank
God it’s over,” or you can use it to understand how you can be even better in the
future. Ideally, you want to look at both how satisfied the clients are, and how
satisfied your team members are. You shouldn’t just guess and try to remember if a
team member met their goals in time.
