* APPR - the notification has been checked or validated by the supervisor and approved
for creation into a work order.
«REY - the notification has been rejected. A notification can be rejected because work is
not required or work is not approved by relevant parties. The reason for rejecting the
notification needs to be recorded in the long text of the notification. If rejecting
because the work has already been completed, it is recommended the work order
number the task was completed on is recorded in the long text.
Rejecting a notification does not close the notification and will therefore still display as an
outstanding item. The concept being you may require more information to be added and once
received, the notification can be approved. If rejecting due to lack of information, it is
recommended the INFO status check box is selected as well.
If the work is not to be done, the notification needs to be set as TECO'd by clicking a
instead of saving as the last step.
There are times when duplicate notifications are created for the same work. Do NOT reject or
TECO these notifications as it may appear that the work is not to be completed. Duplicate
notifications are all assigned to one work order.

confirmations. For example, you can list work orders by:
* Work order status — display all outstanding or completed work orders
* An individual piece of equipment e.g. loader, dozer, coal hauler.
* Area (or work centre) such as Mobile, Field or Prep Plant.

shown above. What you are looking for will determine which fields you fill in.
AREA 1 — order status. The check boxes correspond to the status of the work order:
* Outstanding — work order has a status of created (CRTD)
‘In process ~ work order has status of released (REL)
* Completed - work order has status of technically completed (TECO). The job is finished.
AREA 2 - order selection.

* Functional Location — will list an area or specific piece of machinery
+ Main work centre — wil list work areas (MM20 = CHPP, MM30 = Surface Services,
MM40 = Underground Prod Maintenance, MM50 = Underground Maintenance.)
* Period — default date assigned to an order when created
AREA 3 — general data / administrative data.
= Entered by - SAP user name of person who created the job
Revision — unique code created by planners to group orders together (for example,
Y11W06 relates to all orders in week 6 of the 2011 schedule — jobs that are planned in
to start on a date falling between 7” February to 13" of February).

Work order types
The main work order types that are related to the maintenance process are as follows:
+ PMO01 — Corrective (Non-routine) or Breakdown Work. These are either generated
from a notification and planned and scheduled by the planner (corrective) or breakdown /
emergency work created by the supervisor.
PMO2 — Planned Preventative. These are generated automatically by SAP for standard
activities and do not have notifications. For example: Equipment mechanical inspections,
component change outs due to hours of operation etc.
PMO6 — Non maintenance work. Used for any work that is not to be recorded as a
maintenance cost. This is usually used for any accident damage work.

progressed to. The status can be displayed as part of the work order list or identified on the
header page of the work order itself.

“The user status of a work order is divided into two parts, completion codes and planning codes.
Each type has to be manually assigned and multiple codes can be used for each work order.
The main completion codes are:
CNCI — No Completion Code Identified. This is the user status default.
CDND — Completed No Defects. Reported work completed and no other defects were
found. For example, mechanical inspection completed and no defects found.
CDDR — Completed Defects Rectified. Reported work completed and additional defects
rectified. For example, mechanical inspection completed and minor defect found and
repaired. Extra work needs to be recorded in the notification history.
CDFW — Completed Further Work Required. Completed tasks as per the work order.
Further work was identified that can be planned in for another time. Another notification
needs to be raised.
HOLD — On Hold. Not done on the scheduled date, needs to be rescheduled. For example
the task could not be done on the day due to lack of labour resources.
SAP automatically assigns a system status based on the stage of the business process that the
work order is currently at. Some of the main ones are as follows:
CRTD — Created. SAP automatically assigns this status to an order that is created,
indicating that an order is in place but work has not been approved or commenced.
Components and time confirmations cannot be booked against this status.
REL — Released. Indicates the work has been approved and has commenced. Hours can
be booked against this status and parts ordered as needed.
GMPS — Goods Movement Posted, Assigned when any parts ordered are issued by the
stores,
TECO - Technically Completed. Indicates that the work has been completed. Hours can
still be booked against this status but further parts cannot be ordered. Any store stocked
items that are on the order but not issued will be deleted.
CLSD — Closed. If no action has been performed on an order with the TECO status for 90
days, SAP will close the order out and display this status. Nothing can be booked to this
status type.
PCNF — Indicates that time has been booked but work not completed.CNF — Indicates that
the work is complete and the final confirmation box ticked.

Breakdown work is any task identified that can not wait until the next scheduled week to be
planned in. Some examples include: plant or equipment that has failed or failure is imminent,
serious damage will occur through continued operation of the plant or equipment or
equipment failure has caused a safety or environmental problem or loss of process capability.

The Plant level quantities show stock levels across all storage locations on site.
The Storage level quantities show levels associated with a specific storage location. For example,
a site may have one location as the main warehouse and another as an oil storage shed.
The storage bin location tells you the exact location on the shelves of where the part is kept in
the warehouse.
If someone has booked out items but not collected them yet, the number will show up in the
reserved column. This will also be the case if they have booked out more items then are carried in
stock.

If the SAP stock number for a part is not known, the following methods can be used to search
through SAP to find out if a part is carried in stock in the warehouse. There are two main
methods to do this, either using the manufacturer's part number, or a general description search.

Page 29 of 91A search in SAP will look for a string of characters from left to right. Not like the internet where it
will show you everything that matches the search criteria. For this reason, it is important how you
enter your search criteria to ensure a greater success rate.
Always start with the noun or main word. For example, oil filter would be filter oil.
Do not leave spaces between words, as a space is a character and remember SAP searches for
the exact match of a string of characters, from left to right.
No plurals, Do not place an “s” at the end of your word, type Filter not Filters.
Wildcards — are indicated by an * (asterisk). An * replaces letters or a string of letters. Therefore
you should always start with *, end with * and if you type two words place an * between the two
words,
Maximum two words, it is recommended until you become more familiar with the system that you
use a maximum of two words when searching for a material.
Based on the above guidelines, if you were searching for Oil Filters
1° no plurals so it is Oil Filter
2m Always start with a noun so it is Filter Oil
3"°— without Wildcards the system would only return an exact match. Most oil filters have sizes,
types etc so the likelihood of finding what you require is minimal.
If you typed:
Filter* * system would only display everything that starts with Filter
Filter Oil* — * System would only display everything that started with Filter (space) Oil and
anything else thereafter.
If the description was Filter, Oi/it would not be displayed because you didn’t
type the ( , ) comma in the search criteria.
