DMS - Characteristics and Classes

Characteristics and classes play an important role in SAP DMS by creating business-relevant fields for storing and reporting data. To create and use them, you first generate characteristics and then assign them to a class, which is then linked to a document type. When that document type is used in transactions like CV01N, the defined characteristics will appear in the additional data section for user input. The steps shown create a sample characteristic for a class called "ZTEST" to demonstrate this functionality.

SAP DMS

Characteristics and Classes


Characteristics & class plays very imp role in DMS, it helps in creating business relevant
fields, storing data, reporting etc. Process flow to create and use as below :

• Create the characteristics first , then class


• Assign characteristics with the class
• Then assign class to document type
• In CV01N use same document type, characteristics will be displayed in additional
data tab in DIR

Steps to create characteristics:

• Run transaction CT04, below screen will appear

• Enter name for the new characteristic and press enter, below screen will appear
• Press yes
• As displayed & highlighted below, enter description, choose data type & enter
number of characters
• Finally save the characteristic

• You may check the Entry required checkbox, if this characteristic is required.
• After creating characteristic, create class.
Steps to create class:

• Run transaction CL01


• In the appearing dialog choose the standard class type for the document
management system (default: 017).
• Enter a name of the new class.

• Press create button , below screen will appear


• Enter description as below
• In order to add characteristics click the Char. Tab, below screen will appear
• Enter the characteristic created here and press enter below screen will appear
• Save the class after adding the characteristics.

• In spro for the document type config, opt the class as created, in my case it is “ZTEST”

• In cv01n, cv02n – characteristic appears
