Formatting Text in Ms-Word

Formatting a text is to make the text more attractive and readable to the user.
Formatting text in Microsoft Word involves tasks like changing the text font styles such as
bold, italic, underline, and changing the font and size. It is also possible to apply special
effects such as changing all to capital letters or to lower case letters.

Many of these formats can be done using the ‘Font Group under’ in the ‘Home’ Tab.
Other features can be changed using the Font dialog box. Alternatively, we can use the
keyboard shortcuts for those commands.

Using Font Group Ribbon:


The Font Group Ribbon on Home tab can be used to change several font effects,
such as changing the font type and size. Additionally bold, italic, and under line can be
done using the buttons on the formatting toolbar.

Using Font Dialog Box:


- Select the text
- Click on the ‘Home’ Tab
- Select ‘Dialog Box Launcher’ button, in the Font Group ribbon
- Select the Font Type under Font
- Select the Font Styles from the Font Style List
- Options in Font Style List are :
o Regular
o Bold
o Italic
o Bold italic
- To change font size, select the size

To Change the font color:


- Click the Font color List arrow
- Choose the color from gallery

To change color for the underline:


- Click the underline Color Box
- Choose the color from gallery
To Apply Special Effects:
- Click one of the options under ‘Effects’, the options are:
o Strike-Through
o Double Strike -Through
o Super-Script
o Sub-Script
o Small Caps
o All Caps
o Hidden and etc.
- Click on ‘OK’ after finishing the formatting

Formatting Paragraph in Ms-Word
Paragraph formatting refers to formatting commands that affect entire
paragraphs settings such as indenting, bullets, line spacing and paragraph spacing.
Paragraph formatting lets us to control the appearance if individual paragraphs.

There are several formatting options available, such as line spacing, spacing before
and after paragraphs, paragraph alignments, and applying bullets and numbering.

Many of these formats can be done using the ‘Paragraph Group’ under the ‘Home’
Tab. Other features can be changed using the Paragraph Dialog Box. Alternatively, we can
use the keyboard shortcuts for those commands.

Using Font Group Ribbon:

There is a Paragraph Group under the ‘Home’ Tab as well as under the ‘Page
Layout’ Tab. Each of these groups is used to perform different paragraph formatting tasks.

Using Paragraph Dialog Box:

The Paragraph Dialog Box is used to apply formatting to paragraphs in a document.


The formatting can also be applied to selected text within a document.

- Click on the ‘Home’ Tab or the ‘Page Layout’ Tab.


- Click on the ‘Paragraph Dialog Box’ launcher button.
- Paragraph Dialog Box will appear
Indents and Spacing:

The features in this area are used to change the spacing between paragraphs, to
set the paragraph alignment, and to change the indent.

- Select the text or paragraph


- Click on ‘Home’ Tab
- In the Paragraph Group Ribbon :
o Click the ‘Increase Indent’ command to increase the indent by 1/2 inch.

o Click the  Decrease Indent command to decrease the indent by 1/2


inch.

- If we would prefer to type our indent amounts, we can use the Indent fields on
the Page Layout tab.

Line and Page Breaks:

To Set Line and Page Breaks,

- Click on ‘Home’ Tab


- Select Paragraph Dialog Box Launcher
- Paragraph Dialog Box will appear
- Select ‘Line and Page Breaks’ Tab
- The available options are
o Window/Orphan Control
o Keep with next
o Keep lines together
o Page Break Before
- The paragraph exceptions area is used to add or remove line numbering in
paragraph or to prevent hyphenation of text in the paragraph.
- Click on ‘Ok’ button when finished.

Ribbon:

The ribbon is a user interface element in Ms-office application. It was introduced


with Microsoft Office 2007 version. It combines the Menu bar and Tool bar into a single
floating panel. By default, the ribbon is located at the top of the screen in Ms-Office
applications. This ribbon is composed of 3 components, they are Tabs, Groups, and
Commands.
