GENERAL INSTRUCTIONS.

All security personnel of SIS Securities deployed at the facility will ensure that
they are fully conversant with client’s business activities and its related security
requirements. Hence the security staff will observe/ensure the following:

FACILITYLOCATIONAND LAYOUT.

1. Security will understand the location in relation to the surroundings i.e.


whether it is peaceful or violent, crime prone area and accordingly take
necessary precautions.
2. The security staff will know the locations of Fire Hydrants, Fire Alarm
System and Main control panel (power supply) and will also be fully
familiar with their operations.
3. They will maintain general observation over and along with
perimeter/boundary wall of the facility.
4. Will caution if anyone is seen frequently loitering around the perimeter
wall facility.
5. Security will always Endeavour to protect the units assets and property.

CONFIDENTIALITY

1. The location and movements plans of the Managers/Officers will not be


divulged to anyone on telephone.
2. No information about residential address and telephone numbers will be
given to anyone.
3. The following information should not be divulged to anyone:
 Telephone numbers/ any other information.
 Car make, color and registration number.
 Location and movement plans.
 Meetings and Conference schedule.
 Site plans of the premises.

CODE OF CONDUCT

The Security staff of SIS securities will strictly observe that they:-

1. Are always smartly turned out and vigilant.

2. Are punctual and arrive 15 minutes before the start of their shifts/duties.

3. Take charge of their duties properly and thoroughly.

4. Perform their duties with honesty and sincerity.

5. Security in charge has to monitor whether all are aware of the site and
post instructions.

6. Extend respect to all the staff of the Unit.

7. Do not speak or listen against own or client’s organization.

8. Will not drink on duty and do not allow the workers to drink on duty.

9. Will not gossip or chit chat while on duty.

10.Will not leave the post until the reliever comes to the post.

11.Will never sleep or slumber on duty post.

12.Will not read newspaper or magazine while on duty

13.Will immediately report, if any untoward incident/misconduct or


misbehavior, to the Personal Manager.

14.Endeavour to develop ability to :-

 Remember important Telephone Numbers.


 Identify Car of important personnel by their make, color and
registration numbers etc.
 Foresee next day’s events and their repercussion Security duty so
as to prepare themselves accordingly.

DUTIES OF SUPERVISOR – MAIN GATE

1. Roll call should be conducted regularly.

2. Ensure that all the persons (including officials) moving via main gate should
have authentication and check them thoroughly before allowing inside.

3. Check all persons (including officials) thoroughly, before leaving the


premises.

4. All the vehicles (including the company vehicles) should be checked


thoroughly both during ingress and egress.

5. Any material taken out of the premises should be checked for gate pass,
invoice etc., and seal the same.

6. Check the material quantity, type of material etc., by comparing it with the
invoice or gate pass.

7. On the arrival of visitor, get permission from concerned person, check the
visitor, make entry in the Register, issue pass and then allow the visitor
inside the premises.

8. Attend phone calls, gather information and transfer it to the concerned


person if required.

9. Try to solve problems smoothly, else inform to the higher officials.

10.Should gather all the information from the reliever.

11.Handing over and taking over of duty responsibility should be proper.

12.Stop any unauthorized person or vehicles outside the main gate and
immediately inform to Officials.

13.Should update all the incidents in the G.D.

DUTIES OF SECURITY GUARD – MAIN GATE

1. Check the duty post and the things under custody before handing over /
taking over.

2. Should do first aid during emergencies.

3. Should abide by the orders of higher-ups.

4. Always be alert to avoid thefts and untoward incidents.

5. Do not accept bribe in any forms.

6. Should maintain Registers properly. No columns should be left blank.

a. G.D.

b. Key Register.

c. Staff Sumo Movement Register

d. Staff Bus Register

e. Carg in-out register.

f. Water register

7. Check all the personnel thoroughly during their IN and OUT time.

8. Do not allow anyone without permission.

9. Visitors should be allowed after getting permission from Authorized person.

10.Check the vehicles thoroughly and note its number and other details in the
Register.

11.Instructions received via telephone should be noted in a separate register.

12. No Workers or materials can be allowed outside without gate pass.

13.Do Head counting and inform to MARG office.

14.Persons arrived to the port through the ship (including foreigners) should not
be allowed outside the Main gate.

15.Contract Labors should produce ‘ContractPass’ issued by the Contractor,


‘TemporaryPass’ issued by KPPL and Head counting before entering the
premises. Do not allow person without pass.

16. Check for the customs seal and signature, before the egress of Coal and
Sugar vehicle.

17.Report all incidents to the Management.

18.Regulate the traffic during heavy movements.

DUTIES OF LADY GUARD – MAIN GATE

1. Ensure that all guards are at their duty post and update in the Duty Note.

2. Update Muster role and Daily Duty Roster.

3. Update monthly Duty Roster.

4. On the arrival of visitors,

a. Gather information from the visitors like their name, address, to


whom to meet etc.,

b. Check whether the visitor can be allowed, with the Official in-charge.

c. Record the details in the Visitors’ Register.

d. Issue Visitor pass and allow them to meet the concerned person.

5. Collect the details about the number of Contractors and Contract labors
working on a particular day and fill up the head count details.

6. Details of the contract labors working in a particular day should be


submitted to Head Security.

7. Ensure S/Gs are deployed TRP Godown of Nagore Railway Station and
record their details.

8. If S/G deployed at Nagore Railway station is in need of help, inform to
Supervisor.

9. Check the women labors thoroughly.

DUTIES OF SECURITY GUARD – ADMIN

1. Check the area and the materials under custody before handing over/taking
over.

2. Regulate two wheeler and car parking

3. Do not allow unauthorized persons inside the Admin block.

4. Collect empty water cans before supplying filled water cans.

5. Report all untoward incidents to the Management.

DUTIES OF SECURITY GUARD – DIESEL BANK

1. Check the materials kept under custody of S/Gs with the inventory list,
while taking over /handing over of duty.

2. Record, the Reg. Number of the vehicle and the quantity of Petrol being
filled in the vehicle in the register.

3. If diesel is taken in a barrel, instead of in a Tanker lorry, check the


destination address, record it and then allow the vehicle.

4. Do not allow company vehicles or private vehicles to be parked in the Diesel


Bank.

5. Ensure the diesel in the tanker lorry came to unload diesel is fully emptied.

6. Regulate the vehicles to prevent traffic congestion.

7. Report all untoward incidents to the Management.

DUTIES OF SECURITY GUARD – NORTH BACK WATER

1. Check the materials kept under custody of S/Gs with the inventory list,
while taking over /handing over of duty.

2. Ensure that the fishermen are not entering the Port through North Back
Water Area.

3. Ensure the materials in the area are not stolen.

4. Ensure the batter of the solar light in the tower is not stolen.

5. Do not allow unauthorized persons inside the premises.

6. Report all untoward incidents to the Management.

DUTIES OF SECURITY GUARD – PORT GODOWN T.R. PATTINAM

1. Collect all necessary information from the reliever before taking over the
duty.

2. Check the Godown, whether it is locked and sealed before signing the Duty
Taken over Register.

3. All incidents should immediately be informed to AM/SO and the


Management.

4. Carry out rounds for every half an hour.

5. Raise whistle sound frequently during nights.

6. Record the Reg. No. of the loaded lorry, driver name and other details in the
Register.

7. Do not allow unauthorized persons inside the premises.

8. Note the name of the officials coming for night check and the time of arrival
in the G.D.

9. Check the vehicles thoroughly before loading/unloading.

DUTIES OF SECURITY GUARD – BIRTH – I & II

1. Do not allow unauthorized persons inside the birth.

2. Do not allow vehicles inside the birth.

3. Do not allow officials or workers without wearing safety shoes and helmet.

4. Do not allow anyone to smoke in the birth area.

5. No persons should go beyond the yellow line marked in the Birth area.

6. Ensure that all vehicles are parked outside the birth area.

7. No person is allowed to go under the Marg Crane Area.

8. Note the arrival and departure time of the ships.

9. Passengers from the ship are not allowed to enter the Birth area.

10. Do not allow alcohol or the person who consumed alcohol inside the birth
area.

DUTIES OF SECURITY GUARD – CUSTOMS GATE

1. Check the materials kept under custody of S/Gs with the inventory list,
while taking over /handing over of duty.

2. Collect all necessary information from the reliever.

3. Instruct the vehicles plying in the port area to maintain 20 K/H speed.

4. Instruct the drivers of the vehicles (loaded with two wheeler) to get their
vehicles sealed from the Customs Gate.

5. Regulate vehicles to avoid traffic congestion.

6. Make the vehicles parked on the roadside until it is verified and sealed by
the Customs Department.

7. Help the officials in the Customs Gate.

DUTIES OF SECURITY GUARD – MARINE CONTROL GATE

1. Should have complete knowledge about the officials working in the Marine
Control Area.

2. Collect /provide necessary information to the Contractors, Visitors, workers


etc.,

3. Should avoid trespassingof local villagers into the premises through sea.

4. Should be the sole responsible of the Materials in this area.

a. Motor pump - 1

b. Fire safety bucket – 3

c. Barrel – 4

d. Rope – 3 roll

e. Wooden ladder – 1

f. Generator and power point

g. Air conditioner – 8

5. Check the materials kept under custody of S/Gs with the inventory list,
while taking over /handing over of duty.

6. Collect all necessary information from the reliever.
