Supplier Open Balance in Ap: Gharbeya

The document discusses uploading open supplier balances in an accounts payable (AP) system for the first time. A supplier has an open balance of $1000 from invoices, $200 in future dated payments, and $300 in uncleared cash payments. To upload this balance: 1) Load all unpaid invoices for the supplier through an interface to create payables records. 2) Manually recreate future dated payments by either loading individual invoices or creating a single invoice for each payment amount. 3) The uncleared cash payment can be reconciled once it clears by creating a journal entry. 4) If migrating old general ledger balances, reverse the journal entries created for the loaded invoices and payments, as

Are you talking about open data conversion from a legacy system?

For the open balance you would need to load all of the open invoices for the supplier. As far as the future dated
payments, you would need to load those invoices as well and then recreate the payments manually in Oracle.
The uncleared payment can be reconciled to a GL journal entry once it finally clears.

Are you also migrating old GL balances? If so, then you would also need to reverse all of the journal entries
created by the loaded invoices/payments.

We load the unpaid amount of every individual invoice. To execute this we load the invoices into the payables
open interface using a .CSV file(there are many ways to accomplish this) and then run the open interface
import program, invoice validation, and create/post accounting to GL. To migrate the future dated payments
you have 2 options; load the individual invoices that make up each payment or simply create a single invoice
for the amount of each future dated payment. You then manually recreate the future dated payment. Once
it is confirmed that all invoices loaded and future dated payments recreated and accounted successfully, we
reverse the GL Journal entry created by the loaded invoices and payments since these account balances were
already transferred when we migrated the old GL account balances.
